It’s tax season , which means you’ve likely received those important documents from your employer that help you file your 2021 tax returns. Some employers may have sent you an electronic copy of your W-2 or 1099 forms. If that’s the case, you’re ready to file your taxes online through TurboTax, H&R Block or other service. But if you got those documents in the mail, you should digitize them first.

That way, you can easily upload the files to whatever service you’re using and not have to manually input all your information, like your tax identification number and sources of income, which could be a pain if you’ve got more complicated taxes.

However, you can convert any physical tax papers you have into a digital format using only your phone or tablet. Whether you have an iOS or Android device, there are built-in tools on either iPhone or Android that allow you to use your camera to quickly scan a physical document and convert it into a PDF with ease. You can use the Files app to scan physical documents on iOS.

If you’ve got an iPhone or iPad, you have a couple of ways to scan your documents with your camera, but we’ll be focusing on using the Files app. This method is preferred because the document is saved in Files, which makes it easy to then edit and share to your computer or other device.

1. To start, open the Files app.

2. Next, tap the three-dot menu icon in the top-right.

3. Hit Scan Documents.

Your camera will then open, and you’ll be asked to position the document in view. The best way to scan your tax document is to place it on a flat surface, like a table or desk, in a well-lit area. Stay away from any surfaces that are white or reflect too much light, or else the camera won’t be able to scan the document properly.

Now, position the phone or tablet so that it’s directly over the document and you’ll see a blue overlay appear on the document, indicating it’s being scanned. If the document is scanned correctly, it’ll automatically be placed into your completed scans, allowing you to scan more documents if you wish.

You can then tap the document preview in the bottom-left to rescan or edit your documents. You can crop them — in case the automatic scanning wasn’t great — and add a filter (such as grayscale) to improve their readability. If you’re happy with the scans, tap Save to store the document as a PDF in the Files app. You can then rename the document or share it via email. If you plan on filing taxes on your mobile device, you can also upload the PDF to any tax apps via the Files app.

On Android, you can scan tax docs with Google Drive.

How to scan your tax papers with your Android

On Android, there are a few ways to scan documents, but it usually varies slightly depending on the model of the phone. While the Pixel 6 and the S21, for example, both have a built-in document scanner in the Camera app, the OnePlus 9 Pro and the Moto G Power do not. So instead, we’ll be scanning documents through the Google Drive app, which technically isn’t built-in, but most Android devices have the Google Drive app preinstalled, so it’s just as good.

1. First, open the Google Drive app.

2. Next, tap the blue + button on the bottom right.

3. Then, tap Scan.

With your physical tax document laid flat on a non-reflective surface, place the camera directly over the paper and position it in the frame. Make sure the tax document looks in focus, and then hit the shutter button to take a photo. If the image looks good, tap OK. You should then see an automatically cropped image of your tax document. You can then add a filter to the document (such as black & white), rotate it and edit the borders. If you want to add more documents, tap on the + icon on the bottom-left.

If you’re happy with your scans, hit Save on the bottom right. Then, you can give the document a name, choose an account (in case you have multiple) and select a folder to save the document (as a PDF) in. Once you do that, hit Save again on the bottom-right. With your tax document saved to Google Drive, you can add comments, search through it via keywords and of course share it via email or directly to any tax apps you might have on your Android.

    Two workarounds to change the file name of a photo directly on the iPhone.

    The photos taken with a smartphone have an “IMG_xxx” prefix by default while those captured with a DSLR or digital camera have a DSC_ prefix, followed by a serial number. As you might have noticed, the Photos app on iOS has no option to change the name of photos taken with the iPhone camera. iOS users can rename photo albums and change the cover photo on their device though.

    While it’s not common to rename photos on iPhone, some users may find the need to do so. Renaming a photo or video to a relevant name such as Scanned Invoice instead of the default IMG_3300 has a couple of use cases. For instance, when you need to send a media file as an email attachment to a corporation. In such a case, changing the file name of pictures would look better and professional.

    How to change the image file name in iOS 13

    There are two ways to rename pictures directly on the iPhone and without using a computer. The methods involve using a third-party app or the new Files app in iOS 13.

    Method 1 – Using Metapho, a free app

    Metapho is a great app to rename photos on iPhone without affecting the original file.

    I suggest using Methopho as it ad-free, boasts a clean UI and integrates well with the Photos app. With Metapho, you will be able to change the photo name from within Photos on your iPhone or iPad. Metapho also makes it easy to check photo details such as the file size and resolution of a photo. The only prerequisite is that the app requires iOS 13 or later.

    To proceed, install Metapho from the App Store. Then follow the steps below.

    1. Open Photos and tap the picture that you want to rename.
    2. Tap the Share button at the bottom left.

    1. Go to Photos and open a picture.

You might need to wait a second for the new page to appear. To delete a page, consolidate all of your apps to another Home Screen. When there are no apps present the page will delete.

    iPhone, iPad and iPod touch do not have centralised file systems. Instead, each app has its own folder called sandbox. An app’s sandbox is not shared with other apps, and is not accessible from a computer.

    However, some iOS apps let you access their sandbox’s Documents folder. These are referred to as File Sharing enabled apps. Simply put, these apps let you browse, upload and download files in their Documents folder.

    iTunes provides a limited and simplistic interface to add, copy, or delete files from file sharing enabled apps.

    iMazing provides a much more full featured way of interacting with file sharing enabled apps, via USB or Wi-Fi. It greatly expands on what is possible with iTunes:

    • Browse and transfer folder hierarchy
    • Preview files
    • Rename files and folders
    • Display items in multiple view types (list, icons, columns)
    • Sort files by name, date, size, or kind
    • List all ongoing transfer operations

    All file sharing enabled apps are not created equal. What app is right for you will greatly depend on the type of document you want to use it with. In this guide, we use FileApp, but the instructions below apply to any file sharing enabled apps such as VLC or Kindle.

    Before you begin

    Download and install iMazing on your Mac or PC computer

    Instructions

    To transfer files from a Mac or PC computer to an iPhone, iPad or iPod touch:

    1. Launch iMazing and connect your device.
    2. In the left sidebar, select Apps.To see your most recent data, you may need to refresh your view.

    If you’ve backed up your device, you’ll notice that you have a Backup folder in addition to the app’s Documents folder.

    In this folder you can browse backed up app files from the backup folder, even if the app is not sharing enabled. This is a great way to access data that is usually hidden, and find out precisely which files are included in your backups.

    What to keep in mind

    Not all apps support file sharing; it’s up to the app’s developer to enable file sharing.

    You can filter out apps which are not compatible with file sharing: click Options in the bottom toolbar, and select Only show sharing enabled apps.

    You can also check whether or not an app is file sharing enabled by looking at the icon of its Documents folder.

    The Kindle iOS app, enables file sharing: it’s Documents folder is accessible.

    The Spotify iOS app, does not have file sharing enabled: its Documents folder is not accessible.

    If your device is running iOS 8.2 or below, the sandbox of all applications is fully accessible. To protect user privacy, Apple disabled this in iOS 8.3.

    Copying files or entire folders can be done with AirDrop, but if you want to browse, copy and even rename documents on another other iPad then you can use FileBrowser ‘s iPad connection wizard.

    AirDrop

    To use AirDrop from FileBrowser, tap a file or folder’s context menu or select several files and choose “Share” from the toolbar menu. Now select “AirDrop” and choose from the list of devices to start the transfer. On the other device you’ll need to tap Accept, and then select an app to save the files or folders in.

    If you want to browse, copy or even rename files or folders on another iPad then follow these steps on how to enable it and connect to it:

    Open up an iPad or iPhone for sharing its content:

    • From FileBrowser’s “Home” screen, tap “+ Add Location”
    • Select “iPad/iPhone”
    • Tap “Start server on this device”

    You can stop the server on this device at any time by tapping on this icon to the right of the path breadcrumb.

    Now connect from your other iPad or iPhone, so switch devices and follow these steps:

    • From FileBrowser’s “Home” screen, tap “+ Add Location”
    • Select “iPad/iPhone”
    • Tap “Next” and wait for the shared device to appear
    • Enter the user name “fb” or “filebrowser” and the password (if you haven’t yet set one on the other device in its Config, leave the box empty)
    • Tap the newly created location to connect and browse.

    The Notes app is even better in iOS 15 because you can now use tags in your notes to keep all your lists, important memos, and other notes organized.

    You can think of tags in Notes kind of like social media hashtags. They are keywords with the “#” symbol in front of them that allow you to easily search the Notes app — like #shopping or #gaming. You can create, delete, rename, and even add tags to multiple notes at once, all from the Notes app.

    Type #tag anywhere in the note.

    When a tag is properly created, the tag will turn yellow. Now that the tag is created, you’ll be able to browse for that tag in the Note app or add it to other notes. Remember, you can stage a single note with multiple tags.

    Sorting your photos into albums is a great way to only show off the photos you want to to the people you want to show them off to (follow that?). It’s also the way some third party apps, like Instagram or Camera +, will sort the photos you edit within them. Renaming those albums, however, isn’t entirely intuitive. Here’s how to do it, simply and quickly, right from the comfort of your own iOS device.

    On the iPhone (and the iPod touch, of course), launch the Photos app with a tap. On the screen with all the photo albums in a list, tap the Edit button in the upper right-hand corner. Now, tap right on the album name, and the iOS keyboard will slide up from the bottom. Go ahead and hit the X to delete the current album name, or tap at the end of the name to append to it. Hit the Done button to finish.

    On the iPad, do the same thing, launching the Photos app. Then tap on the Albums tab at the top of the screen. Once in the Albums view, hit the Edit button in the upper right-hand corner of your iPad screen, then tap the name of the album, just below the thumbnail of that album. You’ll get the familiar iOS keyboard sliding up from the bottom, and you can tap the X inside the field to delete the current name of the album, or just tap at the end to add to it. Hit the DOne button when finished.

    You can rename any of the pages, sections, or section groups in your notebook — or you can rename the entire notebook itself.

    Rename a page

    Tap the page you want to rename.

    When the page header text at the top of the page is selected, type the new name for the page, and then tap Return.

    Tap and hold the tab of the section you want to rename, and then at the bottom of the section list:

    On iPad, tap the Edit icon and choose Rename.

    On iPhone, tap the Rename icon.

    When the section tab text is selected, type the new name for the section, and then tap Done.

    Rename a notebook

    To help prevent broken links by accidentally renaming notebooks that are shared with other people, you’ll need to first go to the notebook location on OneDrive.

    Caution: Before renaming notebooks that you have already shared with other people, consider giving the other notebook authors some amount of advance notice about your plans to rename the notebook they’re working in. This way, the change does not unexpectedly prevent them from accessing important information in the shared notebook.

    When you’re ready to rename a notebook, do the following:

    First, you need to close the notebook. In OneNote, tap the Show Notebooks button to open to the notebook list.

    Tap and hold the notebook you want to rename. At the bottom of the notebook list, tap the Close Notebook icon, and then choose Close.

    Go to OneDrive to complete the renaming of the notebook. In Safari or in any other Web browser, go to www.onedrive.com.

    If necessary, sign in with the same Microsoft account or organizational account where the notebook you want to rename is currently stored.

    When you are successfully signed into OneDrive, navigate to the Documents folder for your account.

    Note: You might need to navigate to a different folder if the notebook was initially saved to a folder other than Documents.

    Tap and hold the notebook you want to rename.

    You’ll see a small check mark next to the notebook. If the check mark doesn’t appear, you may need to need to tap and hold a little longer.

    On the OneDrive menu bar, tap the three dots icon located in the upper right, and then choose Rename This File.

    Type the new name for the notebook, and then tap Done.

    On the same page, tap the notebook icon to open the renamed notebook in OneNote.
