We often find ourselves creating the same sets of slides for different presentations—weekly presentations for company meetings, for example. Using slides from another PowerPoint presentation is a great way to save time and effort while still giving your presentation the professional appeal it requires.

Importing slides can save a ton of time. Not only does it keep all the animations and other settings when imported, but you can also have the imported slide adopt the theme of the presentation you’re working on.

First, go ahead and open the PowerPoint presentation that you’re working on—the one into which you want to import slides. Next, select the correct location on your presentation where you’d like your imported slide to appear. For example, if you want the imported slide to appear as slide number three, you’ll need to click the space between the existing slides two and three.

Next, switch to the “Home” tab and click the arrow under the “New Slide” button.

The Reuse Slides pane opens at the right side of your window. This is where you can browse your computer (or network) for another PowerPoint presentation. After selecting the file, you’ll see all of the slides from that presentation appear in Reuse Slides pane. Click any slide to insert it into your new presentation. You can’t select multiple slides at once to import; you’ll have to click them one at a time.

When you import a slide, it automatically takes on the theme of the current presentation. You can, however, choose to keep the original theme of the slide or even apply that theme to all of the slides by right-clicking one of the slides in the “Reuse Slide” pane and selecting “Apply theme to selected slides” or “Apply theme to all slides,” respectively.

PowerPoint 2013 enables you to add one or more slides to your presentation from a different presentation that is either located on your computer or on a network without having to open the other file.

    To insert one or all of the slides, right-click on any slide and select Insert Slide or Insert All Slides. To maintain the formatting of the source presentation, check the box Keep source formatting before you insert any slide.

This article explains how to copy a slide in PowerPoint from another PowerPoint presentation. Instructions in this article apply to PowerPoint 2019, 2016, 2013, 2010, 2007, 2003, and PowerPoint for Microsoft 365.

Copy and Paste Method in PowerPoint

A quick way to use slides from one presentation in another presentation is to copy the slides that you want to use and paste those slides into the new presentation.

Open both presentations to show them at the same time on the screen. The original presentation contains the slides you plan to copy, and the destination presentation is where they will go. The destination presentation may be an existing presentation or a new presentation.

On the ribbon, go to the View tab.

In the Window group, select Arrange All. In PowerPoint 2003, choose Window > Arrange All from the main menu.

In the Slides pane of the original presentation, right-click the thumbnail of the slide to be copied.

Choose Copy from the shortcut menu.

In the destination presentation, right-click a blank area of the Slides pane where you want to place the copied slide. It can be placed anywhere in the sequence of slides in the presentation.

Choose a Paste option. In PowerPoint 2019, 2016, 2013, and 2010, you have three options:

  • Use Destination Theme (H): The copied slide will use the same theme as the PowerPoint presentation it is pasted into.
  • Use Source Formatting (K): The copied slide will keep the original theme and formatting as the original presentation.
  • Picture (U): The copied slide will be pasted as a graphic into the active slide.

For PowerPoint 2007 and 2003, choose Paste from the shortcut menu.

Click and Drag Method in PowerPoint

If you’d rather use the mouse to copy slides from one presentation to another, follow these steps:

In the Slides pane of the original presentation, select the thumbnail of the desired slide.

Drag the thumbnail to the Slides pane of the destination presentation in the preferred location for the slide.

The pointer changes to indicate the placement of the slide.

Place the slide between two slides or at the end of the presentation.

When you use this method, you don’t have the option to choose which theme the newly copied slide will use. The newly copied slide takes on the design theme in PowerPoint (or design template in PowerPoint 2003) of the second presentation.

If you started a new presentation and haven’t applied a design theme or design template, the newly copied slide appears on the white background of the default design template.

Reuse Slides in PowerPoint on Mac

When you import slides from another PowerPoint file on Mac, all slides are imported automatically. Therefore, you can delete those imported slides that you don’t want to use.

With your current presentation open, go to the Home tab. In the Slides section of the ribbon, click the arrow next to the New Slide button. Select Reuse Slides.

Browse for the presentation in the Choose a File window that appears, select it, and click OK.

As mentioned, all slides from the chosen file will appear in your current presentation. And they retain the original slideshow’s style and formatting.

  • To remove more than one slide, hold your Command key as you select each slide. Then, press your Delete key or right-click and choose Delete Slide.

Known Issues With the Reuse Slides Feature

While the Reuse Slides feature in Microsoft PowerPoint is certainly a handy one, it comes with issues for some users. As of this writing, here’s what we know.

One known problem is the lack of this option in PowerPoint for the web. While Microsoft shows the feature in their screenshot on the topic, you may not see it yourself (as you can see in the image below, Reuse Slides should be in the Slides section). The issue has been pointed out in places like the Microsoft Community forum.

Another known issue is the feature’s disappearance in the PowerPoint desktop version after upgrading to Microsoft Office Version 2104, Build 13929. If you still have this Office version on your computer, consider upgrading to a newer one to solve the problem.

Save Time and Reuse Slides in Microsoft PowerPoint

If you find that using a slide or two from another PowerPoint file can save you a bit of time, why not? While the feature is slightly less flexible on Mac versus Windows, it can still be a huge help when creating those lengthy presentations on either platform.

Steps to import slides from another presentation

The first thing we are going to do is the PowerPoint presentation that we are working on or we are going to start creating in which we want to import and reuse certain slides. Next, we select the correct location within our presentation where we want the imported slide to appear.

Mark the place to insert

Suppose we want to include it between position three and four, so we will have to click in the space between one and the other, so that a red line will appear right in the space where we want to add the slide that we are going to import.

Later, within the toolbar we go to the Home tab and click on the down arrow found on the “New slide” button. This will open a new drop-down menu in which we must select the option shown at the bottom called “Reuse slides” .

Once this is done, a new panel will appear on the right side from where we can browse our files and select the presentation from which we want to import the slide, directly open a slide library, a PowerPoint file, etc. We do this by selecting the “Browse” button or clicking on the “Open a PowerPoint file” option and navigating to the file that contains the slides we want to import.

Add the slide to the presentation

Once the file is selected, it will show us all the slides that are part of that file within this panel. From there, we can select the one we need to reuse to incorporate it into the new presentation. Next, we will see how the bar is completed with all the slides of that presentation, so we can do one of the following:

  • If we want to insert a single slide , just click on it in the sidebar. The slide will appear in your current presentation using the style and format it was set to.
  • In the event that we want to insert a slide and keep its original format, we must check the ” Keep original format” box at the bottom of the sidebar.
  • If we want to include all slides, we right-click on any slide in the list and choose ” Insert All Slides” .
  • We can choose to keep the original slide theme or even apply that theme to all slides. To do this, we right-click on one of the slides and select “Apply theme to selected slides” or “Apply theme to all slides”, respectively.

In this simple way it is possible to reuse slides that we have previously created and take advantage of them in our new project.

Reuse Slides doesn’t appear

Although the reuse slides function is really useful, sometimes we can run into problems that prevent us from carrying out this function. In the event that errors arise or that the “Reuse slides” function simply does not appear, within the “New slide” tab, we can do the following:

Update PowerPoint

If we find this error or the available function does not appear, it may be because we are using an old version. That is why it is convenient that we update to the latest version available, since it not only includes the correction of security and stability errors but also the integration of new functionalities.

This is something that we must do by clicking on the “File” tab and then we click on “Account”. From here click on the “Office Updates” section and then on “Update Now”. Once this is done, PowerPoint will start updating.

Repair office

If the problem persists, we can always choose to reinstall office. First of all, we make sure we have a backup of our files and then we access the Settings menu. To do this, press the Windows + I keyboard shortcut. Once here, click on Applications and then on Applications and features.

This will open a new window where we will find our entire list of applications installed on the computer. Here we must look for the one corresponding to the version of Office that we have or Microsoft 365. In the case that we use Windows 10 we click on it and in Windows 11 we click on the three vertical points. In both cases the Modify option will appear. We press it and a new window will appear, where we choose Quick Repair.

Remove and reinstall Office

In the event that the problem persists, we can try to uninstall Office completely and perform a clean installation again. In this case, the first thing will be to make sure to close any problem that we had open. Later we return again to the Configuration menu. Click on the Applications and Applications and features section.

Once here, we select our version of Office or Microsoft 365 again, but now we choose the Uninstall option. We wait for the process to finish and then we download it again from the Microsoft website and install it. Once finished we should have no more problems and the Reuse Slides feature should be present and working properly.

Here, copy the slides – and that’s it! When you adopt this method, the slides will assume the new presentation style and lose their formatting.

Besides being able to copy slides from one presentation to another, there are other hacks and tips you should know. Without further ado, let’s see what these are.

Hack #1: Embedding Fonts

Fonts are a huge part of any PowerPoint presentation as they draw the attention of the audience. If you choose a font that isn’t clear, your audience won’t be able to see the content of the presentation itself. However, another problem may arise when you share your presentation with someone who doesn’t have the font you’ve used in PowerPoint. To avoid this, here’s what you can do:

Open both presentations: the one you want to copy a slide master from, and the one you want to paste the slide master into.

In the presentation that has the slide master you want to copy, on the View tab, select Slide Master.

If you create presentation slides or even manage presentations for your company, you’ve likely wanted to find a slide or graphic in an old presentation that you or a colleague has created. Reusing slides versus creating new ones helps drive productivity, promotes knowledge sharing, and aligns communication across your team.

However, scanning through dozens of files in a variety of locations (e.g Box, email attachments, SharePoint) to finally find the slide you want to use only to copy-and-paste it into your new PowerPoint presentation is extremely frustrating. Depending on the number of presentations you have and how sharp your memory is (like you could remember the exact location of the Gantt chart you created 3 years ago), this process could waste a significant amount of time.

Thankfully, it’s no longer necessary to copy-and-paste slides from a previous presentation into the new one you’re working on. PowerPoint offers a “ Reuse Slides ” feature to appease this issue.

Search & Save Time
The enterprise version of Reuse Slides allows you to search for slides and presentations, which is much more helpful than the basic version where you have to manually browse and open a presentation.

Slide Search Connections
Reuse Slides can connect to SharePoint & One Drive so you don’t necessarily have to have the file on your computer.

Not a Slide-level Search Tool
When you search for a term, let’s say “sales”, Reuse Slides will show you the title slide of the presentation file that matches the search term NOT the actual slide in the Reuse Slides pane. So you have to actually click into that file to see the slide previews and determine if it contains the “sales” slide that you were looking for.

No Filters
You are very limited in your search by only being able to search for a term. There are no filters for date, SharePoint columns, or other metadata (e.g. author).

It Doesn’t Always Work
Sometimes the “Browse” option on Reuse Slides will completely go away, most commonly after updates. A common search on Google is “PowerPoint reuse slides not working” – red flag alert! Microsoft moderators state that the reason people can’t select files or browse files is that you have to have Office 365 for the enterprise version of Office. A workaround “solution” is to run PowerPoint in Safe Mode.

It Only Connects to Microsoft solutions
The enterprise version of Reuse Slides only connects to solutions created by Microsoft – so that leaves you with SharePoint and OneDrive. If you don’t use either of those solutions and use Box, Egnyte, Dropbox, etc. you are out of luck if you want to use PowerPoint’s Reuse Slides.

Access Rights
On the enterprise level, Reuse Slides does not take into consideration who has access to different files which can cause difficulties in finding the slides you’re looking for.

Images
You are unable to search for images in Reuse Slides, only PowerPoint presentation slides.

You may have slides in other presentations that you would like to use. In PowerPoint, there is a tool called Reuse slides that we can learn to reuse slides from another PowerPoint presentation.

This makes combining presentations that you’ve previously written very quick and simple. The reuse tool, as well as all the tools you need to become a PowerPoint expert, is covered in our course offerings.

When To Insert Slides From Other Presentations

Inserting Slides from other presentations is ideal for when you have work finished that you are at risk of repeating. Instead of creating a New Slide and copying the information over, you can just use the Reuse Tool.

A great example of this would be if you were presenting revenue projections to different parts of a company. Lower levels of the company would only need to know the predictions and expectations for their branch. Whereas the executive team would need to know the entire companies financial information.

Inserting Slides from other Presentations main benefit is that it saves you work and copies your slides in any way that you want. If you were to copy and paste the content from one slide to another, there would be no choice for formatting. The Reuse tool gives you this choice.

Step-by-Step Guide to the Reuse Tool

Here we will take you through a clear guide on how you can utilise the Reuse Tool.

1- Start by opening the PowerPoint file you would like to merge into.

2- To merge slides from another presentation file, navigate to the Home tab.

3- Click on the New Slide command and select Reuse slides at the bottom (shown below).

4- The Reuse slides panel will open on the right of the PowerPoint screen.

5- Click on the browse button and choose browse file or library. This will depend on where the presentation is located.

6- Select the relevant presentation, and the slides are now shown in the panel.

7- The slide will magnify when you point to it.

8- Click on the slide you want to add to insert it. You can click multiple slides, and all the selected slides will appear in your presentation.

9- You can also insert all the slides in a presentation. Just right click and insert all slides. By default, they will keep source formatting. This means they resemble the slide in the format of the old presentation (more on this later).

Just like that, you have your slide from another PowerPoint Presentation in your current one! There are just a couple more factors to consider for your imported slides.

Keep Source Formatting

This little button will allow you to either use the original formatting or not. When you select reuse slides for the first time, it is checked. This means the format for the New Slide you want to add will stay as it was in the original PowerPoint Presentation. All selected slides you import will format according to this button.

You may want to keep the format in the situation where you want the audience to know you are referring back to a previous presentation. However, generally, it will simply make this slide seem out of place if it follows a very different format to the rest of the presentation.

Remove Format

When you untick the box, it will remove the source formatting. This will push the slide into the format you have been using for the current presentation. This can be a bit of a more involved process as there may be strange issues that occur with this formatting change, but it will fit in nicely after you simply change a couple of things.

If the page format it has chosen for you after removing the original does not suit you, simply go to the Home Tab, and click Layout to find one that works better. The Layout button also can be found if you right click the slide on the left of your screen.

You can also click the Reset button under Layout in the Home Tab to reset the formatting of individual elements like text boxes.

Let’s look at these different methods in detail.

Merge PowerPoint with Reuse Slides

This is probably the simplest way to copy slides over from one presentation into another, choosing which slides to add and where to insert them in your final presentation.

  1. Open the PowerPoint presentation that you wish to add slides further slides to.
  2. Using the slide thumbnail panel on the left, select where you wish to insert the new slide. Clicking in between two existing slides will put a red line between the existing slides to indicate where the new slide with be placed.
  3. Click the Insert tab, followed by the New Slide icon on the left side of the menu.
  4. This will open a dropdown menu; click Reuse Slides.

    The Reuse Slides box will open on the right. Click the Browse button. If you check the box next to Keep source formatting, the newly inserted slides will remain as they were in the original presentation. Unchecking the box will adjust the slide/s formatting to presentation it’s being imported into.

    If you want to discard the theme of your main presentation in favour of the external presentation’s theme, select Apply Theme to All Slides when clicking the slides you wish to insert.

    This method is great if you want to add a slide or two to your main presentation. Also, if you want to add further details and design elements from various presentations to your main presentation, this is the easiest way to go.

    Merging PowerPoints with Insert Object

    This method is the best option for inserting all slides from one presentation into another while ensuring all animations and transitions remain intact during the copy over.

    Since slides are being copied over, any changes made to the original files won’t affect the new slides inserted into your presentation and edits to your main presentation will not impact on the slides’ original file it was copied from. Also, note that this method doesn’t allow you to edit the slide’s design elements individually as the whole slide is imported as an object.

    1. Open the PowerPoint presentation that you wish to add slides further slides to.
    2. Using the slide thumbnail panel on the left, select where you wish to insert the new slide. Clicking in between two existing slides will put a red line between the existing slides to indicate where the new slide with be placed.
    3. Click the Insert tab, followed by the New Slide icon on the left side of the menu. You’re better off selecting Blank as your imported Object will cover the text boxes.

      Click Create From File, then hit the Browse button. You will see the Insert Object dialog box. There, you should pick the Create from file option. You can enter the address of the document into the text box and press Enter or click the Browse button.

    1. Browse your computer for the presentation you wish to insert and double click it.

    You will then see the first slide of the imported presentation on your new slide. Stretch the inserted object to fit the size of the slide of your main presentation to avoid changes in the size of the slides when you present them.

    Merge PowerPoint with Merge Documents

    This method allows you to compare and merge PowerPoint presentation files into a single file.

    Finally, you can opt to completely merge two PowerPoint presentations into one. Here’s how this method works:

    1. Open PowerPoint and open the main presentation.
    2. Click the Review section of the Main Menu.
    3. Click the Compare button. You will find it in the Compare section.

  1. Browse for the presentation you want to merge with your main presentation. Select it by double-clicking on it.

Once the merging is complete, you will see the Revisions pane on the right of the merged presentations. In the Presentation Changes portion, you’ll see the differences between the presentations and can choose which changes you want to keep or discard.

Provided your PowerPoint files aren’t too big, and your device has the processing power, this is the easiest and most intuitive method for merging PowerPoint presentation files.

  1. Simply open both presentations on your device, ensuring you can see both windows on your screen.
  2. Using your mouse, long-press the slide you need to move You may need to do this for each slide, or you can click the first slide, hold the shift key, and click the last slide to copy your selection into the new presentation.

    Importing Slides from Another Storyline Project

    You can import individual slides, full scenes, or entire courses into Storyline. Here’s how:

    1. Open the project you want to import slides into, and then do any of the following:
      • Go to the File tab on the ribbon, scroll to Import, and click Storyline.
      • Go to the Home tab on the ribbon, click New Slide, scroll to Import, and choose Storyline.
      • Go to the Slides tab on the ribbon, click New Slide, and choose Storyline.
    2. Browse to the Storyline file you want to import and click Open.
    3. If you opened the wrong Storyline file or want to select a different one, click the ellipsis button (. ) in the upper right corner to browse for another file.
    4. Storyline will display thumbnail images for all slides in the project file, divided into scenes. Select the slides you want to import.
      • By default, all slides will be imported unless you choose otherwise. You can tell which slides are selected by their blue outline.
      • To select or deselect a slide, just click it. The blue outline will either appear or disappear to indicate its status.
      • You can also click Select All or None in the upper right corner to quickly select or deselect all slides at once.
      • To select or deselect an entire scene and all the slides it contains, click the scene name.
      • To make navigation a little easier, you can also collapse and expand scenes by clicking the triangle to the left of each scene name. (Note that collapsing and expanding scenes doesn’t impact whether they’ll be imported or not.)
    5. Use the Insert into scene drop-down list at the bottom of the window to choose where the imported slides should appear in your course.
      • The default option, Same as imported project, creates a new scene for each scene you import and names each scene with the same name it has in the original project.
      • If you select New Scene, use the accompanying Scene field to give the new scene a name.
      • To import the selected slides into the current scene, choose Current Scene.
    6. Click Import to complete the process.

    Copy & paste slides in PowerPoint and keep slide formatting

    In this post I will show you how to copy & paste slides in PowerPoint and keep slide formatting. Some of you may know this already but if you are like me you may have never had the need for it and when you do, like me you may realise that the instructions on the PowerPoint help centre are less than straightforward so I intend to explain it in simple terms as it is actually a very straightforward and quick process.

    You will notice that if you try to copy slides from one PowerPoint presentation and paste them into another just using the standard copy (command+C for mac) and paste (command+V for mac) buttons the format of the slides change. They try to pick up or merge with the format of the presentation you are copying the slides into. Well this does not need to be the case. You can easily copy and paste multiple slides from one PowerPoint presentation to another and maintain formatting really easily.

    Below is a quick video and a written guide as ever I have tried to keep it to simple quick instructions so I hope you find it useful.

    STEP 1
    Select the slides from the presentation you wish to copy from by clicking on each slide you wish to copy whilst holding down the command (on mac) button. Then press command+C (on a mac) or right click to copy those slides.

    STEP 2
    Now open the presentation you wish to copy the slides into. Click on the slide in that presentation which you want the new slides to follow. Now in the top ribbon find the paste button and click the arrow to see the dropdown menu. Then select ‘Keep source formatting’.

    This will paste the slides into your new presentation but keep the formatting of the presentation they came from.

    Can you copy master slides from one project to another project in Storyline if they are both aready completed?

    I know you can import from a current project to create a new one, but I have two already created and want to copy one master slide to another.

    You can copy master slides from one project into another. Follow these steps:

    Go into the Storyline project you want to copy the master slides FROM. Go to Slide Master view, and right click on the Master Slide (the one at the very top) and Copy it.

    Then go into the Storyline project you want to copy the master slides INTO. Go to Slide master view, and rick click in the slide column on the left. Click Paste. This will bring over your Slide Master from the first project, and all the other slides that go with it, but will also preserve your original Slides as well.

    Is it possible to create a master slide in a new project, and then import content only from another project? I had someone create a template which we no longer want to use, but we do want to preserve the content.

    You can import the content from another project.

    1. Open a new, blank presentation in PowerPoint.
    2. Go to the Home tab, click the drop-down arrow beside New Slide, and choose Reuse Slides.
    3. In the Reuse Slides panel, click the Browse button and choose Browse File.
    4. Browse to your original PowerPoint file and click Open.
    5. At the bottom of the Reuse Slides panel, mark the box to Keep source formatting.
    6. Right-click the first slide in the Reuse Slides panel and select Insert All Slides.
    7. Save the new presentation and republish.

    Note: Articulate resources, such as audio and video, will need to be inserted again into the new presentation. You may need to export the narration from your original presentation, then import it into the new presentation.

    Leslie, do you know how to do this without the imported slide master duplication? Specifically, when the slides are imported, their slide master(s) are imported also, even though there are already slide master(s) with the exact same naming in the storyline project I’m working in.

    So sorry this is causing you headaches. We’re seeing this happen in Storyline 360 when one project is imported into another project. Are you using Storyline 360?

    Suppose you have a nice slide you have used the last time but want to use it again in another presentation. In Microsoft PowerPoint, you can add one or more slides to the current presentation without reopening that file to make changes. The file opened will not make changes to the original it is just a copy of the original file. Microsoft PowerPoint has a feature that allows you to reuse slides from a previously saved presentation.

    In older versions of Microsoft PowerPoint, there used to be features that will enable you to store saved slides in a library and reuse saved files from the library, but not available in Microsoft PowerPoint 365.

    In PowerPoint slides are layouts that can be customized to display data for your presentation. There are various slides offered in PowerPoint and each as a purpose for your presentation. These slides are title, title and content, section header, title only, content with caption, and more.

    Open PowerPoint.

    On the Home tab, click the New Slide drop-down arrow in the Slides group.

    In the drop-down list, select Reuse Slides.

    A Reuse Slides pane will appear on the right.

    In the Reuse Slides pane, click the Browse button.

    A Browse dialog box will open, select the PowerPoint presentation you want, then click Open.

    The Slides from the presentation you selected will appear in the Reuse Slides pane.

    On the Reuse Slides pane, click the slides you want in your current presentation.

    Once you select the slides, you need they will appear on the Slides navigation pane on the left.

    Close the Reuse Slides pane, and make changes to your slides if desired.

    In Microsoft PowerPoint, a presentation is made up of multiple slides. There are several ways to create or add a slide in a PowerPoint presentation. After adding slides, you can move the slides around, and you can delete slides.

    Insert new slide

    To insert a new, blank slide into a presentation, follow the steps below.

    1. In the slide preview pane on the left, left-click with your mouse in-between two slides where you want to insert a slide.
    2. In the PowerPoint Ribbon, on the Home or Insert tab, click the New Slide option.
    3. In the drop-down menu that opens, select the type of slide to insert. The new slide will be inserted into the presentation where you clicked in step 1 above.

    To add a slide from another presentation, follow the steps below.

    1. In the slide preview pane on the left, left-click with your mouse in-between two slides where you want to insert a slide.
    2. In the PowerPoint Ribbon, on the Home or Insert tab, click the New Slide option.
    3. In the drop-down menu that opens, click the Reuse Slides option at the bottom.
    4. In the Reuse Slides pane that opens on the right, click the Browse button and select Browse File.
    5. Find the PowerPoint presentation file with the slide you want to add to the currently open presentation, and click the Open button.
    6. A preview of the slides is displayed below the Browse option. Left-click the slide you want to insert into the currently open presentation. A new slide will be inserted, with text from the selected slide included in the new slide.

    Move a slide

    To move a slide to another location in a PowerPoint presentation, follow the steps below.

    1. Open the PowerPoint presentation.
    2. In the left preview pane, find the slide you want to move.
    3. Press and hold the left mouse button on the slide, then drag the slide up or down to where you want to move it.
    4. Release the left mouse button when you have dragged the slide to its new location.

    Delete a slide

    To delete a slide in a PowerPoint presentation, follow the steps below.

    1. Open the PowerPoint presentation.
    2. In the left preview pane, click the slide you want to delete.
    3. Press the delete key to delete the slide.

    Save yourself time and work by copying a slide — either from the presentation you’re working on or from a separate presentation. When you copy one or more slides from a presentation to a location within the same presentation or to another presentation, you can specify the theme that you want the new slides to adopt.

    Where is the Paste Options button?

    When you paste a slide into a new location, the Paste Options button automatically appears near the pasted slide in Normal view. Alternatively, you can use the CTRL + V paste shortcut to paste the slide. Below the slide, you’ll see a tab that allows you to select the formatting options – Use Destination Theme and Keep Source Formatting

    You can get to Paste Options by clicking Home and then clicking the small arrow under Paste.

    In the pane that contains the Outline and Slides tabs, click the Slides tab.

    Select the slide that you want to copy by doing one of the following:

    To select a single slide, click it.

    To select multiple sequential slides, click the first slide, press SHIFT, and then click the last slide that you want to select. Feel free also to make use of the SHIFT + CURSOR down command which allows you to select the slides sequentially one by one until you get to the last preferred slide. You can press CURSOR UP while still holding onto the SHIFT button to go up and deselect the last slide.

    To select multiple non-sequential slides, press CTRL, and then click each slide that you want to select.

    Right-click one of the selected slides, and then click Copy.

    In the destination presentation, on the Slides tab, right-click the slide that you want your copied slides to follow, and then click Paste. You can also use the paste shortcut CTRL + V to save time

    To retain the original design of the copied slides, click the Paste Options button , which appears near the pasted slides on the Outline or Slides tab in Normal view, or in the Slides pane, and then click Keep Source Formatting.

    Tip: To move slides to another location, select the slides that you want to move, and then drag them to the new location. Use the Paste Options button as described above to retain the original formatting.

    Where is the Paste Options button?

    When you paste a slide into a new location in a presentation, the Paste Options button typically appears near the pasted slide on the Outline or Slides tab in Normal view, or in the Slides pane. The Paste Options button enables you to control how your content appears after you paste it — also known as paste recovery.

    The following are reasons why you may not see the Paste Options button after you paste a slide:

    You pasted by using Paste Special from the Clipboard section of the Home tab. You must use the Cut or Copy and Paste commands, or you can copy and paste by using the Office Clipboard to see the paste options.

    You pasted a group of objects from another program, such as Microsoft Office Word.

    There is no style discrepancy between the source and destination for the slide that you are pasting.

    Two ways to consolidate PowerPoint slides and save time

    You can reuse slides and combine presentations to save a bit of time and trouble. Susan Harkins explains.

    Trying to create a presentation quickly is unpleasant, because they take time! If you’re lucky, you can piece together parts of other presentations, add a few new slides, and save the day. In this article, I’ll show you two ways to use what already exists to create new presentations. Even when you’re not pressed for time, you’ll want to use these time-saving features:

    • Reuse Slides
    • Custom Slide Show

    PowerPoint’s Reuse Slides feature lets you quickly add slides from one presentation into another. In addition, you can use the Custom Slide Show to define multiple shows within the same presentation file.

    There’s no demonstration file for this article; I’ll be working with two templates, Open House and Classroom Expectations. You can work with these two templates or existing presentations of your own. In addition, I’m working with PowerPoint 2013, but PowerPoint 2007 and 2010 support both features.

    Reuse Slides

    Repurposing content is an efficient way to work by reusing what you already have. Why recreate what you already have? You could cut and paste slides from one presentation into another, but that’s a bit awkward at best. Fortunately, there’s an easier way–Reuse Slides. I’ll illustrate this feature’s value by adding a slide from the PowerPoint template Classroom Expectations.pptx into the Open House.pptx template as follows:

    1. Open Open House.pptx (or any presentation) in Normal view.
    2. In the slide pane to the left, click in the space between the slides where you want to insert a new slide or slides. In this case, click between slides 6 and 7. PowerPoint will display a line guide (Figure A) between the two slides.

    3. On the Home tab, click the New Slide drop-down (in the Slides group) and choose Reuse Slides from the bottom of the list (Figure B). Doing so will open the Reuse Slides pane (to the right).

    4. Click the Open A PowerPoint File link.
    5. Use the resulting Browse dialog to locate the presentation file that contains the slides you want to insert. Select it and click Open. PowerPoint will display all the slides from that presentation in the Reuse Slides pane (Figure C).

    6. At this point, you must decide if you want to retain the source formatting or have the slide adopt the target presentation’s formatting. If you decide to retain a slide’s formatting, click the Keep source formatting option at the bottom of the pane. Double-click a slide to insert it (Figure D). To insert all of a presentation’s slide into another, right-click any slide and choose Insert All Slides.

    I kept the original formatting so you could more easily see the inserted slide. If you enable the Keep source formatting option and change your mind, do the following:

    1. Click the Design tab.
    2. Click the appropriate theme in the gallery.

    That’s it! Next, I’ll show you how to turn one presentation file into many presentations.

    Custom Slide Show

    You can create several presentations, but if you’re reusing many of the same slides, you might consider consolidating all of your slides into one presentation. Then, you can use the Custom Slide Show feature to run different shows. Working with one file is certainly easier than working with several.

    Once you have all the slides you need in one presentation file, you’re ready to start building your custom shows. Fortunately, the process is simple, as you’ll see:

    1. I added the remaining slides from the Class Expectations template to the Open House template using Reuse Slides, but you can work with any presentation. With the Open House.pptx (or any) presentation open, click the Slide Show tab.
    2. In the Start Slide Show group, click Custom Slide Show and choose Custom Shows.
    3. In the resulting dialog, click New.
    4. In the Slide show name control, enter a meaningful name, such as Open House Custom Show.
    5. Start checking the slides that you want to add to this custom show and click Add (Figure E).

    6. Click OK.

    This custom slide show contains all of the original Open House.pptx slides plus the Student Behaviors slide from the Class Expectations.pptx presentation file. Repeat this same process to create a second slide show for students, as shown in Figure F. Notice that this show contains only the slides that were in the original Class Expectations.pptx presentation file. After adding the appropriate slides, I used the Up button (to the right) to reposition the first and second slides. To run a custom show, choose the show from the Custom Slide Show drop-down.

    Working smarter

    The examples are simple on purpose, but you can see how convenient both of these features are. With just a few clicks, you can add existing slides into another presentation. The alternatives would be to recreate slides or to open multiple presentations and cut and paste. In addition, maintaining a single presentation for different groups is certainly easier than maintaining multiple files. Be careful when creating custom shows that contain confidential or proprietary information–you don’t want to accidentally display information to the wrong audience!

    How to reuse or import slides from another powerpoint presentation

    There may be times when you want to apply a theme from an old presentation to a new presentation, but don’t remember the name of the theme or are unable to find it in the themes gallery. While you certainly could spend your time sifting through the themes gallery or searching for the theme on Microsoft’s site, there’s a much easier way: simply copy the theme from the old presentation to the new one using the Format Painter tool on the Home Ribbon.

    Quick Guide: To Copy the Design of One Presentation to Another

    1. Open the presentation that contains the theme you want to use and the presentation to which you want to copy the theme.
    2. Click the View tab on the Ribbon and then click the Arrange All icon on the Windows group of the Ribbon to display the presentations side-by-side.
    3. Click any slide thumbnail in the presentation whose theme you want to copy (either in Normal or Slide Sorter view).

    In the new presentation, click the thumbnail for each slide to which you want to copy the theme.

    If there are 2 or even more related PowerPoint presentations, and you want to merge them into one to make the presentation more informative, there’s a simple method to insert the slides from different files.

    1. Open PowerPoint and create a new blank presentation.

    2. Click Home > New Slide > Reuse Slides…

    3. Hit Browse button on the Reuse Slides pane and choose Browse File… in the drop-down menu.

    4. Find the PPT presentation you want on the computer and Open it.

    5. Check the option of Keep source formatting on the bottom of Reuse Slides.

    6. Right-click any of the slides and choose Insert All Slides in the menu. Then all the slides from the selected file will be inserted to the presentation.

    7. Now you can click Browse > Browse File… to insert the slides from another presentation in the same way.

    8. Similarly, you can insert the slides from more PowerPoint presentations to merge them into one. You just need to save the file after finishing all the settings.

    How to reuse or import slides from another powerpoint presentation

    There may be times when you want to apply a theme from an old presentation to a new presentation, but don’t remember the name of the theme or are unable to find it in the themes gallery. While you certainly could spend your time sifting through the themes gallery or searching for the theme on Microsoft’s site, there’s a much easier way: simply copy the theme from the old presentation to the new one using the Format Painter tool on the Home Ribbon.

    Quick Guide: To Copy the Design of One Presentation to Another

    1. Open the presentation that contains the theme you want to use and the presentation to which you want to copy the theme.
