How to use a scanner on your mac os x computer

Your scanned files can show up in different places depending upon what brand of scanner you use since each brand uses its own proprietary software to process and save your scans. Even if you can’t locate your file though, Windows, macOS, older versions of OS X and Linux all offer ways to find any type of file, including your scanned documents.

Finding Your Documents on a Windows PC

Most scanners connected to Windows PCs save scanned documents in either the My Documents or My Scans folder by default. On Windows 10, you may find the files in the Pictures folder, especially if you saved them as images, such as JPEG or PNG. If you don’t see your document in any of those folders, you can search your entire hard drive for it.

When searching in Windows, start typing the name of your document. Another good way to narrow down your search for a saved scan is to look only for documents of a certain file type. Most scanners save scanned documents as PDF files by default, though some might save them as JPEG image files or even as standard document file types. Document files typically end in .doc, .docx or .rtf on Windows machines. Search for a specific file type by putting an asterisk before the file extension to act as a wildcard character, such as .pdf, .doc, .docx, .jpg or *.jpeg.

In Windows 10, click in the search bar to the right of the Start icon in the taskbar and begin typing to search through your files.

In Windows 8, move your mouse to the upper right corner of the screen and swipe down, then click on “Search” and enter your file information in the search box that appears.

If you’re using Windows 7, click the Start icon and begin typing in the search box that appears at the bottom of the Start menu. If you don’t see your file in the list that begins populating as you type, click on the “See more results” link to open a separate search window that shows any files that match what you typed.

Finding Your Documents on a Mac

Mac users can use Finder or Spotlight to locate scanned documents. To open Finder, click on the blue smiley face icon in your dock. Click on “All My Files” on the left in the Finder window and enter your search criteria, such as the file name or file extension in the search bar at the upper right of the Finder window.

Spotlight is another way you can search for a scan if you’re using a Mac. To use Spotlight, simply click on the magnifying glass icon in the upper right corner of the menu bar and begin typing your search terms. Scanned files commonly end in .pdf and .jpeg or you may see .pages as a file extension for a document. Spotlight offers suggestions as you type to help you find files quickly.

Tips and Tricks

If you didn’t see a “Save As” prompt appear when you initially created your scan, your scanner might have given your document a default name. For many scanners, this includes the date as a sequence of numbers at the beginning of the file name. When you begin searching, try starting with the four-digit numerical year to see any documents that contain those numbers.

Document scanners with a feeder enable your business to automatically scan receipts, reports and other paper materials, outputting them directly to your computer. The NeatDesk is one of the fastest scanners on this list, boasting scan speeds of up to 24 pages per minute in both monochrome and color. Additional features include Mac and PC compatibility, duplex scanning support, 600dpi maximum scan resolution and text recognition.

Canon ImageFORMULA DR-C125

Canon’s ImageFORMULA DR-C125 is a high-speed document scanner with a unique upright configuration designed to help save desk space. As with the Visioneer Strobe 500, the PC Mag website awarded the DR-C125 an Editor’s Choice award and named it one of the top five best scanners for Macs. Features of the DR-C125 include single-click image adjustments, PC and Mac compatibility, scan speeds of up to 25 pages per minute, folio scanning, automatic color detection and background smoothing.

Fujitsu ScanSnap S1300i

The Fujitsu ScanSnap S1300i is a Mac- and PC-compatible duplex color scanner with an automatic document feeder. Lifehacker named it one of the best document scanners on the market in 2013. Features of the ScanSnap S1300i include an optical scanning resolution of 600-by-600 dots per inch, 10-sheet paper capacity, USB bus power and scan speeds of up to 12 pages per minute.

For your business to function efficiently and productively, all of your office hardware devices must be working correctly, so issues with a scanner should be addressed as quickly as possible. If the scanner is not detected at all, the fault may lie with the scanner itself, with the connecting cable or network, or with the software installed on the computer.

Check the Scanner

Check the scanner is connected to a working power supply if required and that it’s powered on. Read through the supplied documentation for details of a self-test you can perform on the scanner without a computer to diagnose any problems. If you have lost the original documentation, a digital copy is usually available via the manufacturer’s website. Testing the scanner on another computer can help determine whether the scanner itself has developed a fault or whether the problem lies with the connection or the computer setup. Use a scanner compatible with your current operating system.

Check the Connection

Check the cable between the scanner and your computer is firmly plugged in at both ends. If possible, switch to a different cable to test for problems with the existing one. You can also switch to a different USB port on your computer to check if a faulty port is to blame. If you’re connecting the scanner to a USB hub, connect it to a port attached directly to the motherboard instead. Unplug any other devices, particularly scanning devices, that may be causing a conflict with the scanner.

Check the Software

New drivers may be required for your scanner to function correctly with your computer. These can be downloaded from the manufacturers website once you have specified your scanner model and operating system. Installing new drivers ensures compatibility with the other hardware and software on your system as well as applying the most recent bug fixes for your platform. If you’re having trouble scanning using a third-party program, it may be incompatible with the type of scanner you have installed; switch to the scanner’s bundled software and attempt the scan again to check if this is the case.

Further Troubleshooting

If the scanner worked initially but now can’t be detected, the Windows System Restore tool can help roll back your operating system’s configuration to a previous point in time. If a different scanner was installed before the existing one, leftover files may be preventing the new device from being detected. Open the Device Manager utility from Control Panel and uninstall older scanners from under the Imaging devices heading to resolve this issue. With the all-in-one printer or stand-alone scanner turned on and connected to the Mac, place a document, publication, or image you want to scan in the scanner. Then:

Open Image Capture on the Mac. Find the app in the Applications folder to launch it or type Image Capture into the Spotlight search field.

Select your scanner from the pane at the left of the main window. If you don’t see your scanner, click Shared to reveal shared devices and then make your selection.

Image Capture opens on the default scanning window, which can be used for basic scanning needs, although advanced options are available.

In the Pictures drop-down menu, select a destination for the scan.

Select a size for the bounding box. US Letter is the default, and you can opt to draw several bounding boxes to scan several portions of the document.

For additional control over the scan, click Show Details to open the options in a panel to the right of the main window and see an overview scan, or preview, of the image you’re scanning.

Change the bounding box around the document by dragging. In the Show Details panel, select between color or black-and-white scans, set a resolution and size, name the scan, and view more options.

When you’ve made your choices in the Show Detail panel, click Scan to start the scan. It is saved to the location you chose.

More About the Scan Options in Image Capture

The options in the Show Detail panel give you control over the finished scan.

  • Scan Mode: Choose between Flatbed and Document Mode.
  • Kind: Select either Color, Black & White, or Text. Changing this updates the overview scan to reflect your selection. If your scanner is calibrated, the colors are similar to the original document.
  • Resolution: Set the DPI, or dots per inch, for your scan. Each dot of the DPI represents a single pixel. The higher the DPI, the more pixels in each square inch.

A basic black-and-white document looks good at 150 dpi, whereas color images look better at 240 or 300 dpi. A higher DPI setting should be reserved for scans that benefit from a higher resolution, such as photo prints.

  • Size: Enter the size of the selection box in inches.
  • Rotation Angle: Rotates the selection box clockwise by a specific number of degrees.
  • Auto Selection: During the overview scan, Image Capture automatically detects the document edges and places the selection box or boxes around them. Choices here include:
  1. Detect Separate Items: Locates multiple items on the scanning bed. Each item gets its own selection box and its own file.
  2. Detect Enclosing Box: Places one box around one or multiple smaller documents. All of them are scanned at once in a single file.
  • Scan To: This shows where the scanned file will be saved. By default, scans are saved to the Desktop.
  • Name: Give the scan a name here.
  • Format: Set the file format of the scan. PDF is best for documents or a mix of text and images. JPG is best for photos. If you’re not sure which to pick, PDF is a good choice. A PDF can easily be turned into a JPG later if needed.

If you select PDF, you see a check box labeled Combine into single document. This setting combines all your scans into one multipage PDF. If you forget to click this box, PDFs can also be combined in Preview after the scans are complete.

Scanning a document in Mac OS X is extremely simple, but for those who might not be familiar, or are coming from Windows, it’s useful to take a quick tour through how it works.

It’s worth noting that a good percentage of the time you can just use your smartphone’s camera and scan it to PDF easily. For most common scanning tasks, that option will work really well, and it’s an especially great option for scanning a picture of a receipt to save into your digital archive.

Scanning in OS X is Easy

You can open the Printers & Scanners app through System Preferences, but it’s easier to use CMD + SPACE to pull up Spotlight and type in “Scanner” to bring it up.

Once you’ve opened the preferences panel, you’ll see your printer, and you’ll want to click on Scan, and then Open Scanner.

At this point you’ll see the Scanner window, and you can click the Scan button, but we’d recommend using the Show Details option to get into the settings for the scanner. If you have a sheet feeder, you could select that checkbox, and change the drop-down from Pictures to something else before scanning, but it’s easier to just get into the details first.

Once you’ve arrived at the Details screen, your scanner will usually warm up and take a preview scan before you select the options for the actual scan, although this will load from the flatbed.

Most of the options make sense and are straight-forward, but we’ll list out the important ones just in case.

  • Scan Mode – If your scanner has a sheet feeder, you can use this to select that instead of the flatbed.
  • Kind – If you only want black and white you can change to that mode for documents, although the default Color option is probably just fine.
  • Resolution – You can almost always leave this at default for documents, unless you are trying to scan photographs, in which case you would want to use a higher resolution. 300 dpi will be just fine for a document.
  • Scan To – You can choose a different folder than the default, which is your Pictures folder for some reason, even though the default format is PDF. It would make more sense to have Documents as your default folder, but whatever.
  • Name – This is what the file is actually going to be saved as. Change this to something descriptive.
  • Format – The default is PDF, but you can change it to an image format instead if you are scanning pictures. You can also use the “Combine into single document” checkbox to take everything off the sheet feeder and put it into a single document.

Once you’ve selected your options, which mostly consists of selecting between sheet feeder or flatbed, picking the folder, and changing the name of the document, you can simply click Scan to start the scanning process.

Сканирование изображений при помощи планшетного сканера

При помощи планшетного сканера можно отсканировать несколько изображений одновременно и сохранить их в разных файлах, а также выровнять изображения, которые лежали на стекле неровно.

Положите изображения на стекло сканера.

Если Вы хотите сохранить каждое изображение в отдельном файле, заранее проверьте, чтобы между изображениями, лежащими на стекле сканера, был достаточный зазор. Если в изображении много белого цвета, оно может быть воспринято как несколько отдельных изображений.

Вы можете выбрать один из стандартных форматов или один из следующих вариантов обработки:

Распознавать отдельные объекты: Каждое изображение будет выравниваться и сохраняться в отдельном файле.

Распознавать общую рамку: Все объекты на стекле сканера будут сохранены в виде одного изображения. Если какой-то из документов лежит неровно, он выравниваться не будет.

Предварительное сканирование позволяет определить, какие объекты лежат на стекле. Для каждого из создаваемых файлов будет выполнено дополнительное сканирование.

В большинстве случаев отсканированные файлы сохраняются на Вашем компьютере. Чтобы узнать точное место сохранения файлов или выбрать другое место, см. документацию сканера. Если Вы уже настроили принтер, объединенный со сканером, то Вам не нужно производить никаких дополнительных действий для использования функций сканирования. Просто выберите принтер в списке слева и нажмите кнопку «Сканировать».

Перед настройкой сканера убедитесь, что в macOS доступно новейшее программное обеспечение сканера. На Mac выберите пункт меню «Apple»

При наличии многофункционального принтера и сканера с поддержкой AirPrint проверять наличие обновлений программного обеспечения не нужно.

Следуя инструкциям, прилагающимся к сканеру, распакуйте его и подключите к компьютеру Mac.

Resolution: if we talk about the documents this option can remain unchanged and can be left to default. But if you are working with the photographs this option is highly useful and you want to use higher resolution. For the document 300 dpi will be fine.

Scan to: this option will help you to choose different folder than the default folder. Like, for some reason your picture folder is change, however the default format is PDF. It will be much better and more sense creating if your default folder is document, but whatever.

Name: this is the default name by which the file is actually going to be saved as. This can be changed to some descriptive or name can be replaced with some meaningful word which will help in store and search in the near future.

Format: by default it is in the PDF format, but it can be changed to some other format, specially when you are dealing with the images. The option “combine into single document” can be checked to take everything off the sheet feeder and put everything to a single document.

If you need to scan documents onto your Mac computer, you’re in luck: If you have a scanner, or a printer with a scanner, you may not need to install any software to get it up and running with your Mac.

You’ll need to set both your computer and scanner up properly, of course, but that’s an easy task and won’t take more than a few minutes. Then you’ll be able to start scanning documents onto your Mac.

How to setup your scanner on a Mac

Before setting everything up, make sure that your Mac has the latest version of Image Capture, the default scanning software that comes preinstalled on your computer. You can skip this if you use a multifunction AirPrint printer and scanner.

1. Following the directions listed on your scanner or printer, connect the scanner to your Mac, plug it in and turn it on. However, do not install any software that came with your scanner; your MacOS computer will download that automatically.

2. Go to the Apple icon in the top-left corner of your screen and click “System Preferences.”

3. Select “Printers and Scanners.”

4. Select your scanner.

5. If you don’t see your scanner listed, you’ll need to first click the plus sign in the lower-left corner of the screen. Click “Add.”

How to scan a document on a Mac

Now that your scanner is set up properly, here’s how to start using it with your Mac. The methods will differ depending on whether you use a document-feeding or flatbed scanner.

In either case, however, the first step remains the same: You have to open your scanner. Here’s how:

1. Connect your scanner to your Mac, plug it in and turn it on.

2. Click the Apple icon in the top-left corner, then select “System Preferences” followed by “Printers and Scanners.”

3. Select the scanner from the list on the left side of the window.

Next, follow the directions that match the type of scanner you have:

Scan with a document-feeding scanner

1. Place your pages in the scanner’s document feeder.

2. Select “Use document feeder.”

3. Set your scanning options (like color, two-sided pages, document size and save location).

4. Click “Scan.”

Keep in mind that if you want to use different settings (like color for some pages and black-and-white for the rest) you’ll need to scan those as separate groups.

Scan with a flatbed scanner

1. Place your items onto the scanner bed.

2. If necessary, deselect “Use Document Feeder.”

3. Choose the save location.

4. Chose the document size.

5. Click “Scan.”

If you want to scan multiple images at once and save each as separate files, make sure that there’s empty space between each item on the scanner bed.

Be aware that documents with a lot of white space may automatically save as multiple files as well.
