How to use multiple user profiles in microsoft edge

Like Internet Explorer before it — although perhaps not to quite the same extent — Microsoft Edge is shunned and ridiculed by most web users. Despite this, Microsoft has this week claimed that its web browser has a huge number of users. “Microsoft Edge users are active on 330 million monthly devices!” proclaims the Microsoft Edge Dev team on Twitter. (File under: You Must Be Bloody Well Joking).

The claim, made on Twitter and repeated during an Edge Summit webinar attracted some attention — not least that of Paul Thurrott. He’s not alone in wondering how on earth Microsoft came up with this number; the suggested usage figure seems out of sync with reported browser usage stats.

During the Edge Summit webinar on Thursday, Microsoft said: “I’m really thrilled to announce today that, earlier this month, Microsoft Edge passed over 330 million active devices worldwide. This number has more than doubled since the Edge summit last year.”

The extraordinarily high-sounding number is in line with a claim made on Twitter the previous day:

Microsoft Edge users are active on 330 million monthly devices! Tune in now to Edge Summit keynote https://t.co/ji5PQOQppb #msedgesummit

As Thurrott points out, even if we are generous and go along with Microsoft suggestion that there are 1.5 billion PC users in the world, for there to be 330 million Edge users, it would mean that 20 percent — one fifth — of them were actively using Edge. That seems more than a little unlikely.

It’s not only unlikely-sounding, it’s also completely at odds with figures from Stat Counter which suggest that Edge has under a 4 percent usage share. The figure from Netmarketshare is slightly higher at 5.66 percent, but these numbers still don’t add up.

During its webinar Microsoft also made the claim that: “This number has more than doubled since the Edge summit last year.” This is not borne out by any browser usage statistics out there.

There are various explanations for Microsoft’s number — excluding the idea that it is made up and conjured out of thin air. One — as posited by Thurrott — is that because Edge is the default PDF reader in Windows 10, opening PDFs is artificially inflating Edge’s usage numbers.

But there’s also the question of Microsoft’s wording of its claim.

The word “active” is open to interpretation. What does it mean? Microsoft does not elaborate. The phrase “monthly devices” is also interesting. What’s the difference between “active devices” and “active users”? They clearly do not mean the same thing, and yet the same figure is ascribed to both — this seems odd. (“Microsoft Edge users are active on 330 million monthly devices!” and “Microsoft Edge passed over 330 million active devices worldwide” are not necessarily the same. )

Microsoft certainly has some explaining to do, and some evidence to provide.

How to use multiple user profiles in microsoft edge

Using a web browser means building up a profile with your own settings and bookmarks. You can create multiple user profiles in the new Microsoft Edge browser, letting you share it with other users or separate work and play.

Thanks to the new Chromium engine, using a new user profile in Microsoft Edge is as simple as using user profiles in other browsers like Google Chrome. To start, you’ll need to install the new Microsoft Edge.

Creating Multiple User Profiles in Microsoft Edge

When you install the new Edge browser, your user profile will default to a standard profile called “Profile 1” with no personalization. Signing in to your Microsoft account will link this profile to your account, allowing you to share bookmarks and settings across devices.

If you want to add a second profile to Microsoft Edge, click the user profile icon in the top-right corner of the Edge browser. This icon is placed between the Favorites icon and the hamburger menu icon.

When pressed, click the “Add a Profile” button.

How to use multiple user profiles in microsoft edge

In the “Add a Profile” menu that appears, click the “Add” button.

This will create a second, blank user profile named “Profile 2” in Microsoft Edge. A new Edge browser window will open automatically using this new profile.

You can then sign in to a Microsoft account to personalize it, or you can maintain it as a local profile. If you want to sign in to your Microsoft account, select the user profile icon in the top-right corner and then click “Sign In” to begin the process.

How to use multiple user profiles in microsoft edge

If you’re on Windows 10, you can select the same Microsoft account as your Windows 10 user account. Otherwise, you’ll need to click “Microsoft Account” or “Work or School Account” to sign in.

How to use multiple user profiles in microsoft edge

Press the “Continue” button to proceed. Edge will ask whether you want to sync your new profile to allow you to use the same extensions and settings, as well as share browser history and bookmarks, across multiple devices.

Click “Sync” to allow this or “No, Thanks” to refuse permission.

How to use multiple user profiles in microsoft edge

You can begin using your new user profile at this point, adding bookmarks and installing new Edge extensions.

When you sign in to Microsoft Edge on other devices, your profile settings and extensions should sync across.

Switching Between User Profiles in Microsoft Edge

It can sometimes be beneficial to switch between user profiles, especially if you’re using them for different purposes like work and play. Thankfully, it’s simple to switch between different user profiles in Microsoft Edge.

In the Edge browser window, select the user profile icon in the top-right corner, located between the Favorites and hamburger settings menu icons. This will bring up a list of your existing user profiles.

Click another user profile to switch to it, which will open a new browser window in the process.

How to use multiple user profiles in microsoft edge

You can also click “Browse As Guest” to switch to a temporary guest profile. This would be, as the name suggests, a good option for guest users.

Once you close a guest profile window, any settings or browser history will be erased.

Managing Microsoft Edge User Profiles

If you want to edit or delete your user profiles in Microsoft Edge, click the user profile icon in the top-right corner and then select the “Manage Profile Settings” option.

How to use multiple user profiles in microsoft edge

This will bring up the settings for your user profile. Click the “Manage” button under “More Profiles” to switch to another profile.

How to use multiple user profiles in microsoft edge

To rename or delete a user profile, click the horizontal settings button next to the “Sign Out” option (or next to “Sign In” if you’re using a local profile rather than a Microsoft account profile).

How to use multiple user profiles in microsoft edge

Click “Edit” to rename your profile and assign a new profile icon to it from the pre-selected list, clicking “Update” to save your settings.

How to use multiple user profiles in microsoft edge

Click “Remove” to permanently delete your profile instead. Confirm the action by clicking the “Remove Profile” button.

How to use multiple user profiles in microsoft edge

This will remove the profile from Microsoft Edge. If you’re using a Microsoft account, your settings will remain synced to that account and can be used elsewhere.

If you delete a local user profile, you won’t be able to recover your settings or bookmarks.

Our customers tell us that they like to keep their browsing data separate as they take on various roles in their lives. For people at home working from their own devices, this is particularly important.

Microsoft Edge’s “Profiles” feature is a great way to do this, whether you’re switching between work and personal browsing, juggling your job and freelancing business, or managing your tasks as an admin alongside other responsibilities.

In this post, we’ll share some improvements coming to browsing with multiple profiles in Microsoft Edge, and walk you through how to get started with this feature.

Setting up multiple profiles

To get started with multiple profiles, click the profile icon to the right of your address bar and click “Add a profile”. Then, on the consent screen that comes next, just click “Add”. Your profile is now added.

Each profile opens in a new window and gets its own desktop icon. You can pin each desktop icon independently to your Windows taskbar by right clicking on the Microsoft Edge icon.

If you’d like to roam your data across devices, you can sign into each profile with a Microsoft Account or a Work or School Account and choose to sync your data. Since browsing data is separated between profiles, each profile will sync independent of the other.

How to use multiple user profiles in microsoft edge

Switching between profiles

You can switch between profiles any time by clicking on the desktop icon or window associated with a profile. You can also switch using the profile flyout by clicking the profile icon or you can switch from the edge://settings/profiles page.

Getting to the right profile

We’ve heard that two things that users find challenging is getting links to open in the right profile and making sure that you don’t mistakenly open work content in your personal profile. Today, we’re excited to announce two features that we hope will make this easier:

Selecting a default profile (available in Microsoft Edge 81 and higher)

To ensure that links you open from another app open in the profile of your choice, you can now select a default profile in Microsoft Edge. To select a default profile to open external links, do the following:

  1. Navigate to edge://settings
  2. Select the “Multiple profile preferences” option (Note: This will only show if you have multiple profiles.)
  3. Use the drop down menu to select which profile you’d like external links to open with.

How to use multiple user profiles in microsoft edge

Automatic profile switching (available in Microsoft Edge 83 and higher)

We’re also excited to announce a new feature to help you get to your work content more easily while using multiple profiles. We call it Automatic Profile Switching. If you’re a multiple profiles user, you can check it out by trying to navigate to a work site (a site authenticated with your work or school account) while in your personal profile.

When we detect this, we will prompt you to switch to your work profile to access that site without having to authenticate to it. When you choose the work profile you want to switch to, the website will simply open in your work profile.

We hope that this will help you keep your work and personal data separate and help you get to your work content more seamlessly. In case this doesn’t work for your flows, you can choose “Don’t ask me again,” and it will get out of your way.

How to use multiple user profiles in microsoft edge

We are excited to release this improvement for your multiple profile scenarios—give it a try and let us know how you like it! If you run into any issues or have any feedback on using multiple profiles, use the in-app feedback button (or Alt-Shift-I) and we’ll use it to make the experience better for you.

Thank you for helping us build Microsoft Edge be the best browser for you.

The Chromium-based Microsoft Edge web browser that Microsoft is working on currently supports a number of features that the classic Edge browser does not support.

One of these is the ability to add multiple Microsoft Accounts and non-Microsoft accounts to the browser to switch between them.

Each profile comes with its own set of personal data and saved data, e.g. passwords or browsing data, and if a Microsoft Account is used, may use synchronization to sync the data between devices.

Using multiple profiles in Microsoft Edge

How to use multiple user profiles in microsoft edge

Microsoft Edge displays a profile icon in the top toolbar; a click on the icon displays information about the current profile. If you did not sign in to a Microsoft Account previously, you will find that a local profile is used.

The core difference between local and Microsoft Accounts in Edge is that the former don’t support syncing while the latter do.

The option to sign in to a Microsoft Account is provided in the popup that opens when you click on the profile icon.

How to use multiple user profiles in microsoft edge

All existing profiles are listed in the popup as well as options to start a guest browsing session, add a new profile, or open the profile settings.

A click on “add profile” displays options to create a new user profile in Microsoft Edge right then and there. You may pick a different profile icon and select a name for the profile. Options to sign-in using a Microsoft Account are not provided in the menu; this needs to be done in the settings or when you switch to the profile.

The best way to manage profiles is to either click on the “manage profile settings” link or load edge://settings/people directly in Microsoft Edge.

All profiles that exist on the local machine are displayed on the page that opens. One is expanded and you get options to edit or remove it, and to sign in to a Microsoft account or sign out.

Options to manage passwords, payment information, addresses, and to import browser data are provided regardless of account type. Sync is only activated for Microsoft Accounts.

Synchronization

How to use multiple user profiles in microsoft edge

A click on Sync displays the syncing preferences. You may use these to select the types of data that you want to synchronize. Note that syncing means that that data is stored in the cloud.

The following information may be synced using Microsoft Accounts in the new Microsoft Edge:

  • Favorites — The browser bookmarks.
  • Extensions — Browser extensions.
  • History — The browsing history, e.g. visited pages.
  • Settings — The preferences.
  • Open tabs — All open webpages.
  • Addresses, phone numbers, and more — form data.
  • Passwords — Saved passwords for online services.

Using multiple profiles in Edge

The main benefit of running multiple profiles in a browser is that you may use it to separate data. You could create a work and home account and use them accordingly. Doing so would isolate work-related data, e.g. favorites, browsing history, or passwords, when the home account is used and vice versa. Means, among other things, that you won’t get work related suggestions when you type in the address bar.

Local and Microsoft accounts can be mixed. You could use one Microsoft Account and a local account in Edge on a system, and two Microsoft Accounts on another.

Now You: do you use multiple profiles in your browser of choice?

How to use multiple user profiles in microsoft edge

If you share your computer with other members of your household, you will do well to enable different user profiles on your browser. Separate user profiles give each user access to their own extensions, settings, history, bookmarks, credit card information, and emails when they log on to the browser.

Up until recently, the best browser for using multiple profiles was Google Chrome. They were the first to add the function back in 2016. Other browsers added the feature, but they weren’t as intuitive as Chrome’s profiles feature.

How to use multiple user profiles in microsoft edge

Recently, though, the new Microsoft Edge came on the scene with a multiple profiles feature. Because it’s built on Chromium, the feature works similarly to the Chrome versions. So if you like using various profiles but would rather not use Google, you can use Edge.

How to create a new profile

You can create another profile for a family member or separate user profiles for personal use and work use, among other reasons for creating a new profile.

Here’s how to create a new user profile.

1. Click on the user profile icon in the top-right corner of Edge.

2. Select “Add a profile.”

4. A new Edge browser window will appear. This action will also create a new, blank user profile called “Profile 1” (or Profile 2 if you already have a profile called Profile 1).

5. If you have another Microsoft account, you can log into it on this screen.

6. To create a local account, close the box and click on the profile icon again.

7. Click “Manage profile settings.”

11. Click Update.

You can also import browser data from another browser by clicking “Import browser data.”

How to use multiple user profiles in microsoft edge

If you want to be able to sync the information on this browser to other devices, you will need to create a Microsoft account for it. Otherwise, you can only use it on one computer. Doing this will also let you use other images for your user profile than the pre-made ones you use in a local account.

Switching between profiles

To switch between profiles, all you need to do is click on the profile icon and select the profile you want to work under.

You can also click “Browse as Guest” to switch to a temporary guest profile.

If you want to edit or delete user profiles in Edge, click the profile icon and then “Manage profile settings.” All your profiles will display on this page. If you choose to remove a local profile, know that you will not be able to recover any of your settings, history, or data. They will be gone forever.

How to use multiple user profiles in microsoft edge

Separate user profiles are a useful feature. In fact, you can use each profile without closing the others, so if you feel like taking a break from your work browser, you can switch to your personal profile and leave the other open in the background. That’s one way to have a little fun when work gets dull.

Introduction

Until today, I assumed everyone knew about this.

I was speaking to a co-worker –someone I respect and always assumed he knows way more than I do– when he talked about how frustrated he was with having to log-in and out of Office 365 when working on multiple tenants, or when working as more than one user.

“Don’t you have user profiles in Edge Chromium or Chrome?” I asked.

So I used Microsoft Teams to demo him how to leverage user profiles in Edge Chromium (which solved the issues he was complaining about).

I often choose not to blog about things because I assume that they’re just too obvious and that someone is going to call me out for writing about something that everybody knows.

But I figured that if he didn’t know about browser user profiles, maybe there’s someone else out there who can benefit from learning about this.

If you already know about browser user profiles, this article isn’t for you.

But if you haven’t heard about them, you’re in for a treat!

What are profiles

User profiles have been available in Chrome for a little while now, but they recently started appearing in Microsoft new Edge Chromium browser.

They allow you to create different sets of browser favorites, history, passwords, and various other settings.

For example, you may want to keep your personal settings separate from your work settings.

When you switch between your browser user profiles, all those profile settings change.

You can log-in to Office 365 as one user, open a whole bunch of tabs, then switch to another user profile to log-in as another Office 365 user and open another whole new set of tabs.

When you switch back and forth, your browser remembers who you’re logged in as, what tabs you had open, and everything else — like cookies, history, etc.

In the following animation, you can see how switching between profiles shows two different Office 365 tenants and browser tabs.

How to use multiple user profiles in microsoft edge

You can even open multiple browser windows with a different user profile in each window!

Creating user profiles in Edge Chromium

Once you complete the steps, the new profile will open as a whole different process.

Repeat the steps above to create additional profiles.

How to customize your profile

When you create a new profile, the profile usually gets a default name — something like Profile 2.

If you have a lot of profiles, it may be easier to rename them so that you can tell them apart.

To do so, follow these steps:

  1. From Edge Chromium, tap the profile icon in the upper-right corner then select Manage profile settings
  2. From the Your profile window, select the ellipsis then Edit
How to use multiple user profiles in microsoft edge
  3. In the Edit profile dialog, change the name of the profile to whatever you’d like, then select Update

Setting your new tab experience

Did you know that, in Edge Chromium, you can show your latest Office 365 files when you open a new browser tab?

All you have to do is follow these steps:

  1. From a new browser tab, select the settings icon in the upper-right corner
How to use multiple user profiles in microsoft edge
  2. Select Office 365
  3. You’ll probably get prompted to log-in. Once you do, the you’ll get your Office 365 start page.

Conclusion

The concept of user profiles in your browser isn’t new, but it is new to Edge Chromium. It allows you to work as multiple users across multiple browser windows without having to use the Private mode.

If you use Chrome, I encourage you to find instructions to create new profiles. If you use Edge Chromium, I hope you’ll find the above steps useful!
