How to annotate an image in word

If you’re writing a document that includes images, you may want to add annotations to those images to clarify what they represent. You can add callouts to your images to point out particular parts of the image and add text to describe those parts.

We will show you how to annotate an image directly in Word so you don’t have to use a third-party program.

First, insert an image into your document. To do this, click the “Insert” tab.

In the “Illustrations” section, click “Pictures”.

On the “Insert Picture” dialog box, navigate to the folder containing the image file you want to insert, select it, and click “Insert”.

Make sure the image is selected by clicking on it. In the “Illustrations” section of the “Insert” tab, click “Shapes”.

Click on one of the shapes in the “Callouts” section of the drop-down menu to select that shape.

The cursor changes to a big “+” symbol. Click and drag on the image to define the size and location of the callout.

Once you’ve defined the size of the callout, the cursor is automatically inserted into the center of the callout. Start typing to enter your text.

You can change the font, font size, and font style by selecting the text in the callout and selecting options from the mini toolbar that displays. If you’ve disabled the mini toolbar, you can use the formatting commands on the “Home” tab to format your text.

The fill color and outline color can also be changed. We’ll start with the fill color. Move your mouse toward the edge of the callout until it becomes a pointer with a crosshair.

Select a color from the “Theme Colors” section or the “Standard Colors” section of the drop-down menu. You can also access more colors or define a custom color by selecting “More Fill Colors”, experiment with a “Gradient” or a “Texture”, or use a “Picture” as the background on the callout.

To change the outline color, right-click on the callout again and click “Outline”. Select a color for the outline of the callout, or select “No Outline” if you want to remove the outline. Select “More Outline Colors” to access additional colors or create a custom color for the outline. You can also specify the “Weight” of the line and whether the line is composed of “Dashes” rather than a solid line.

If you don’t like the position of the callout, move your mouse over the callout until it turns into a pointer with a crosshair. Click and drag the callout to the desired location.

Once you’ve moved the callout, you may need to reposition the callout arrow to point where you want. To do this, move the mouse over the callout until you see the pointer with the crosshair and then click on the callout to select it. Move the mouse over the handle at the end of the callout arrow until the cursor becomes a small arrow.

Click and drag the handle to move it where you want. The whole callout arrow moves to the appropriate side of the callout.

If your Word document has images, add annotations to make images easier to understand. Adding annotations to these images directs your audience to a specific area of the graphic, and you can add text descriptions, too. Annotating images also helps you create professional presentations and documents for work and school. Here’s how to add annotations to images in a Word document.

Instructions in this article apply to Word for Microsoft 365, Word 2019, Word 2016, Word 2013, and Word 2010.

Get Started With Annotations

To annotate an image in Word, insert the image in a document, then draw a shape over the image.

Go to the Insert tab and select Pictures.

To find and download a picture from the internet, select Online Pictures and search for an image.

Basic Themes and Customization of Appearance

To customize the formatting of the text (such as the font, font size, and font style), highlighting the text and select an option from the mini toolbar. Use settings on the Home tab to make other formatting changes to the annotated text.

You can also customize the fill and outline colors. To change the fill color, hover over the edge of the annotation balloon shape so it turns into a crosshair symbol, then right-click and choose Fill.

Choose the color you want (Theme or Standard). Or, to choose a custom color, select More Fill Colors. Then, experiment with different features such as Gradient, Texture, and Picture.

To change the outline color, right-click the edge of the annotation balloon shape and choosing Outline. Then, choose a color (Theme or Standard), No Outline, or Select Outline Colors for more color options. Change the weight of the solid line or turn it into dashes.

Reposition and Resize Annotations

To reposition the annotation balloon shape, hover over the edge of the shape so that the cursor turns into a crosshair, then drag the annotation balloon shape to a new location.

You may need to relocate the annotation balloon arrow as well. Hover over the annotation balloon shape to display the crosshair, select the annotation balloon, then move the cursor over the diamond-shaped handle so the cursor turns into an arrow. Drag the handle to relocate it.

You can use the other handles to resize the annotation balloon shape. Hover over a handle to turn it into a double-ended arrow, then drag the resize handle.

It is actually easy to hilight.

1. Select a shape, like a rectangle

2. Draw the rectangle where you want it. Don’t panic when part of the picture disappears.

3. Right click on the shape, select Format Shape (or select Format – Shape from the top)

4. Select Fill and change to a solid color, like the Standard Color Yellow. Change the Transparency to about 75%, and click OK

5. Click on Layout, and select “In front of text”

Copyand paste this shape to the various places on the picture.

I’d suggest a shape rather than a line (as suggested by Deepa), but you’d need to set some transparency. A better approach would be to use an application dedicated to taking screen shots. I recommend SnagIt by TechSmith. Not only does it have great tools for screen capture, it has an image editor that includes a highlighter among many other tools. You can get a free, fully functional trial version from http://www.techsmith.com/download/snagit/. Before the end of the 30-day trial period, I think you’ll decide it’s worth the purchase price.

You can add captions to figures, equations, or other objects. A caption is a numbered label, such as “Figure 1”, that you can add to a figure, a table, an equation, or another object. It’s comprised of customizable text (“Figure”, “Table”, “Equation” or something else that you type) followed by an ordered number or letter (“1, 2, 3. ” or “a, b, c. ” typically) which can be optionally followed by some additional, descriptive, text if you like.

If you later add, delete, or move captions, you can easily update the caption numbers all at once.

You can also use those captions to create a table of the captioned items for example, a table of figures or a table of equations.

Select the object (table, equation, figure, or another object) that you want to add a caption to.

Note: Word inserts the sequential caption number as a field. If your caption looks similar to “Figure “, Word is displaying field codes instead of field results. To see the caption normally, press ALT+F9.

If you want to be able to wrap text around the object and caption, or you want to be able to move the object and the caption as one unit, you need to group the object and the caption together.

Insert your figure.

Choose Layout Options and select one of the With Text Wrapping choices.

Important: You should do this step before you insert your caption. If you’ve already inserted the caption, delete it, do this step, then re-add your caption.

Select your caption then hold down the shift key and select your figure.

Right click on either item and choose Group > Group.

Now text should flow around your figure and caption as expected, and the figure and caption will stay together if you move them somewhere else on the page or in the document.

Note: If you move your figure it’s a good idea to update your caption numbers (see below) just to make sure your numbering is still in the correct order.

If you insert a new caption, Word automatically updates the caption numbers. However, if you delete or move a caption, you must manually start a caption update.

Click anywhere in the document and press CTRL+A to select the entire document.

Right-click, and then choose Update Field on the shortcut menu. All of the captions in the document should now be updated.

Tip: You can also update captions by selecting the entire document and then pressing F9.

Once you’ve added at least one caption to your document you should see a new style displayed on the style gallery called “Caption”. To change the formatting of your captions throughout your document simply right-click that style on the gallery and choose Modify. Here you can set font size, color, type and other options that will apply to your captions.

To delete a caption select it with your mouse and press Delete. If you have additional captions in your document when you’re finished deleting the ones you want to remove, you should update them. Press CTRL+A to select all of the text in your document and then press F9 to update all. That will ensure that your caption numbers are correct after you’ve removed the ones you didn’t want.

Click on the picture to select it. A black border with handles will appear around the picture to show that it has been selected.

Click the “Review” tab. This will display the available tools for this section.

Click the “New Comment” button. This is the first button in the “Comments” group. A comment box will appear.

4. Press the x button at the top of the pop-up note to close it.

To delete mark-up:

– Do one of the following:

  • Right-click the Hand or Select tool on the annotation, and select Delete from the menu
  • Click the Hand or Select tool on the mark-up you want to delete. A bounding-box appears to indicate that it is selected. Press Delete.

To edit mark-up properties:

1. Right-click the annotation or the mark-up text

2. Select Properties. A properties dialog appears, with the following tabs:

  • General: edit the Author and Subject details of the annotation
  • Appearance: modify the visual characteristics of the mark-up

3. Click Close to save your changes

To reply to an annotation:

  1. If the annotation is hidden, double-click on the marked-up text to view the annotation text-box
  2. Click on the Options menu in the text-field, and select Reply
  3. Write your reply in the message-box that appears inside the original mark-up

To delete a mark-up:

– Right-click on the mark-up, and select Delete
