How to change outlook’s reminder alert

Outlook plays a chime to alert you of scheduled reminders on emails, tasks, or calendar events. Unlike the new email alert (that you manage under Windows), you manage the reminder alert in Outlook, where you can replace the chime with something else or disable it completely. Here’s how to do that.

Turn off the chime

If you do not want to receive a sound alert every time a reminder appears (which can be particularly shocking if you work on headphones), you can tell Outlook not to make any noise at all when a reminder is due. Go to File> Options> Advanced and scroll down to the “Reminders” section. The setting you are looking for is “Play a reminder sound”.

Disable this option, then click “OK”. Outlook will no longer sound when a reminder appears.

Change the chime to something else

If you still want a sound alert, but want something other than the standard “reminder.wav” chime, leave the “Play Reminder Sound” option enabled and click the “Browse” button next to it.

You can then select WAV file on your system to use for your reminder alert. When done, click “OK” to exit. You should not need to restart Outlook and your new sound will be played when a reminder pops up.

If you want to use another type of file, you need to convert it (we are big fans of boldness and VLC for audio work, but use the tool of your choice). If you want to use one of the other Windows sounds that you can access via Control Panel> Sound, you will find them in C: Windows media.

How to Set or Remove Reminders in Outlook

Set reminders for calendar appointments

  1. Go to Calendar in the navigation pane.
  2. Double-click on the desired appointment. The appointment will open.
  3. In the “Options” group in the ribbon, locate the “Reminder” drop-down box and select the time you want the reminder to display (i.e. “15 minutes” will display a reminder 15 minutes before the appointment begins.) Select “None” if you do not want a reminder for this appointment.
  4. Click [Save & Close].

Change or turn off the default reminders

Outlook automatically sets reminders for new appointments you create. You can change the default settings in Outlook so that no default reminder is set or to change the default time for reminders.

To change the default reminder time:

  1. Go to File > Options.
  2. Click the Calendar tab on the left side of the Outlook Options Window.
  3. Click the drop-down box next to “Default reminders” and select a new time.
  4. Click [OK] in the Outlook Options box to save the settings.

To turn off default reminders:

  1. Go to File > Options.
  2. Click the Calendar tab on the left side of the Outlook Options Window.
  3. Under “Calendar Options,” clear the “Default reminders” checkbox.
  4. Click [OK] in the Outlook Options box to save the settings.

Set reminders for tasks

When you create a task, you can add a reminder to it so that Outlook will remind you that you need to complete that task by a certain date.

  1. Create a New Task or open an existing task that you wish to add an alarm to.
  2. In the “Tags” group in the “Task” tab, click “Follow Up” and select “Add Reminder.”
  3. In the “Custom” box, make sure the box next to “Reminder” is checked.
  4. In the date and time menus below “Reminder,” select the time at which you want the reminder to display.
  5. Click [OK]. A reminder has been added to your Task.
  6. Save and close the task to save these changes.

Change reminder sound when composing appointments

You can change the reminder sound for a specific appointment when you are composing it.

Step 1: open the appointment window:

  1. To create an new appointment in Outlook 2007, please click the File >New >Appointment;
  2. To create an new appointment in Outlook 2010 and 2013, please click the New Item >Appointment on the Home tab;
  3. Double click an existing appointment to open it.

Step 2: In the Appointment window, click the Reminder: box > Sound in the Options group on the Appointment tab.

Is there a way to get Outlook event reminders to act more like “alarms”? We really enjoy the functionality of shared calendars; however, I notice that unless we happen to be looking at a screen, calendar events might pass unnoticed. Alarms command your attention and will get louder and more insistent until you snooze or dismiss them. Reminders, on the other hand, commonly silently appear on your screen (phone or tablet in particular) if you have the volume turned down. Even with the volume on a normal level, at most you get a few seconds of whatever soft notice sound you’ve picked. It’s like a stealth reminder as a backup to memory, in case you’re momentarily not paying very close attention to the clock and remembering each step of your work day.

Compounding this problem, we have shared calendars. Someone might add an event, with a suitable reminder prior to the event, but I might have no idea it’s in my calendar until the next time I happen to look at my phone’s screen.

It seems to me it would be better to have reminders act more like alarms, prompting some user interaction before they quiet themselves. If it’s important enough to put in your calendar, it should be important enough to want to be there/do it on time. not whenever you happen to next be in front of a screen.

I’ve tried secondary market add-ons such as “Cal” and others, but those seem better suited to people who have multiple calendars and want them consolidated than for those who might view the items on their calendar to be important.
