While Snagit and Jing are screenshot tools packed full of awesome bells and whistles, I think many will find that the new screenshot tool built into Office 2010 should take care of almost all your basic screenshot or screen capture needs. How good is it? Well from a guy like me who takes a lot of screenshots, I give it two thumbs up. It’s pretty nice, and I’d probably place it somewhere in between Snagit and the free snipping tool built into Vista and Windows 7.
How To Take Screenshots Using Office 2010
1. In a Microsoft Office 2010 application (Word, Outlook, Powerpoint, Excel, Onenote, etc.), Click the Insert ribbon and then Click Screenshot.
Note : To use the Screenshot feature in Outlook 2010, you need to be composing your email in either HTML or Rich Text format
2. From the screenshot button, there are two options. Available Windows will allow you to capture a screenshot of an entire window you already have open, and the Screen Clipping option will let you draw a box around an area to pick and choose what you want in your screenshot.
Note that you can’t take a screenshot of the Office application you are using to access the screenshot tool.
3.a Available Windows: When you choose to take a screenshot of an available Window, the entire window is cropped and pasted right into your Office application. The example image below shows this behavior in Microsoft Word 2010. Note that for a window to appear in the Available list, the window must be open and not minimized.
3.b Screen Clipping: Screen clipping works much like the Snipping Tool from Windows 7 or Vista. The Office application will disappear, and you get a cursor to draw a box around the area you would like to capture.
4. Depending on which Office application you used to take the screenshot, there will be different options available to you for editing the screenshot.
I believe Word or PowerPoint will offer you the most customization; however, all of them offer a pretty robust set of features that do everything from adding shadow, changing the color, adding artistic effects to wow, you name it.
That’s all there is to it! Using the screenshot tool in Microsoft Office 2010 you can take as many screenshots as you like and then insert them into your documents, spreadsheets, and presentations.

This feature is very helpful for people that often write documents that rely upon screenshots. It will reduce the amount of time spent creating these images, and it takes away the frustration that comes from constantly having to switch between programs. Step 1: Launch Microsoft Word 2010.
Step 2: Click the Insert tab at the top of the window.
Step 3: Click the Screenshot drop-down menu, then choose the open window from which you want to pull the screenshot.
Note that there is also an option at the bottom of this menu that says Screen Clipping. If you choose that option, it will take you to the window that was last open, and you can draw on the screen to choose only the portion of it that you want to include as the screenshot. This is very helpful if you want to include a partial screenshot of one of your windows.
Word 2010 will treat the inserted screenshot as an image, so you can use the Picture Tools tab at the top of the window to apply various changes to the image.
This will allow you to make some common edits, essentially eliminating any need that you might have for editing the screenshot image in a separate program before adding it to Word.

The screenshot tool in Microsoft Word 2010 allows you to capture an image of a particular screen and then insert it into your document. Note that this facility will not be available to you if you are working on a document in compatibility mode, as it is new to Word 2010.
Inserting Already Existing Screenshots
If you are working in a Word 2010 document, click Insert > Illustrations > Screenshot. A list of available screenshots is displayed in a gallery. This gallery consists of a selection of the last screenshots taken by you.
Click on a screenshot to insert it into your document. Because the image is then selected, the Picture Tools contextual tab is displayed to enable you to perform picture related tasks.
If you haven’t yet taken the screenshot you need, follow these steps.
Taking A Screenshot In Word 2010
To take a new screenshot and insert it into your Word 2010 document you first need to go to the screen you want to capture and then press the print screen button on your keyboard. If you then go back to your Word document and click Insert > Illustrations > Screenshot, the screenshot will appear in the gallery in the first position. Click on it to insert it.
Taking A Screen Clipping In WOrd 2010
This is the good bit. If you only need to insert a portion of your screenshot and not the whole thing, click Insert > Illustrations > Screenshot > Screen Clipping. The last screen you displayed is redisplayed (but faded) with some crosshairs for you to drag a selection. The area of the screen you select with the crosshairs is ‘cut’ and pasted into your Word document. Again, the Picture Tools tab is displayed to help you manipulate your new image.
To perform this kind of cropping task, ordinarily you would have to import your screenshot into an image editor like Photoshop or Fireworks and then export the finished article for use in your document. Now, however, the screen clipping function makes those extra steps redundant and speeds up your workflow. A point to note is that you can’t adjust your selection, so if you get it wrong you must undo the action and try again.
You can quickly and easily add a screenshot to your Office file to enhance readability or capture information without leaving the program that you are working in. This feature is available in Excel, Outlook, PowerPoint, and Word.
Screenshots are useful for capturing snapshots of programs or windows that you have open on your computer. When you click the Screenshot button, open program windows are displayed as thumbnails in the Available Windows gallery. You can insert the whole program window, or use the Screen Clipping tool to select part of a window. Only windows that have not been minimized to the taskbar can be captured.
When you choose Screen Clipping, your entire window will temporarily become opaque or “frosted over.” After you select the part of the window that you want, your selection will show through this opaqueness.
Note: Only one screenshot at a time can be added. To add multiple screenshots, repeat steps 2 and 3 below.
Click in the document at the location where you want to add the screenshot.
In Excel, Outlook, and Word: On the Insert tab, in the Illustrations group, click Screenshot.
In PowerPoint: On the Insert tab, in the Images group, click Screenshot.
The Available Windows gallery appears, showing you all the windows that you currently have open. Do one of the following:
To insert a screenshot of an entire window into your document, click the thumbnail image of that window.
To add a selected portion of the first window shown in the Available Windows gallery, click Screen Clipping; when the screen turns white and the pointer becomes a cross, press and hold the left mouse button and drag to select the part of the screen that you want to capture.
Tip: If you have multiple windows open, you’ll first need to click the window you want to capture before starting the screenshot process. This will move that window to the first position in the Available Windows gallery. For example, if you want to take a screen clipping from a web page and insert it into a Word document, first click the screen with the website, and then go directly to your Word document and click Screenshot. The screen with the web page will be in the first position in the Available Windows gallery, and you can click Screen Clipping to select a portion of that screen.
The window or portion of the screen you selected is automatically added to your document. You can use the tools on the Picture Tools tab to edit and enhance the screenshot.

I used to be able to take a screenshot of any window of any open program, including a shot of an open Word document (resize the browser window and have it side by side with Word, and click on your screen shot application). Doesn’t seem to be doing that as of very recently.

Now there is no need to install additional programs or utilities to capture screenshots, you can use Microsoft Office 2010’s Screen Clipping Tool. Adding screenshots to your documents and presentations in only a couple of clicks away. It is one of the important features of Microsoft OneNote that has been added in both MS Word 2010 and MS Powerpoint 2010.
Lets explore how we can use it in MS Word 2010. First of all launch MS Word and click Insert Menu, you will be seeing Screenshot tool located at icon bar as shown in the following screenshot.
Now, you will notice the drop down button, click it and you will see list of available screenshots and screen clipping tool.
You can use any already created screenshot, otherwise click screen clipping, choose you screen area and it will be captured in MS Word. For example, I captured a specific area of my desktop and here is screenshot showing the area captured in MS Word 2010.

Last week’s post discussed how easy Outlook 2010 makes it to email screenshots to other people. This feature has also been implemented in Word 2010. I now use it to prepare my blog posts and thought it was worth sharing with you even though it is not an Outlook tip.
The steps are almost identical to what they are in Outlook but I will repeat them here.
Click on the position in your Word document where you want the image.
Click Insert and then Screenshot on the ribbon (Screen shot is one of your choices in the illustrations group… it may be displayed simply as an icon depending on the size of your email window).
Word will display a list of Windows that you can pick from or you can click on Screen Clipping (at the bottom of the list) to copy any part of the screen.
The screenshot will be inserted automatically into the document that you are working on.
WHAT CAN YOU USE IT FOR?
Pretty much anything that requires you to take screen shots and also write your own comments. You can use it to:
- Write blog posts
- Write help manuals or instructions to teach someone else how to do something with software.
- Provide feedback to someone when testing their software (we did a lot of this last week while testing the new version of EmailNotes)
- Providing details of error messages etc to a technical support team of software that you are having problems with.
Microsoft Office 2010 has a Built-In Screen Capture Tool through which screen shots of the currently open windows can be taken easily and attached in the document from where it is taken.Word, Excel & Powerpoint have the ‘Screenshot’ feature under ‘Insert’ & it snaps screen shots of the currently open windows for one-click insert. This screenshot may be saved for further use as well.
Taking Screenshots in Microsoft Office Word 2010 using inbuilt tool :
1. Open a document in Microsoft Office Word 2010
2. Navigate to ‘Insert’ tab and click on ‘Screenshot’ option which is as shown in the screenshot above.
3. It will show you the active windows on your computer. If you want to take a full snap of those active windows, then select the windows from the list
4. Screen Clipping option can be selected to take a screenshot of selective area only and you can select the area to take screenshot
5. Screenshot will be copied to your Microsoft Office Word document
6. Save the screenshot on your local computer by right click on image & selecting ‘Save as Picture’ from menu

This new Office Professional Plus 2010 Beta is the second beta build that succeeds the first Beta build and Technical Preview meant for select testers only. Both 32-bit (x86) and 64-bit (x64) versions are available. File size of 32-bit and 64-bit versions are 684.48 MB and 749.87 MB respectively.
When an assignment calls for both show and tell, you can maximize pictures telling a thousand words by inserting screen shots into your Microsoft Word documents. At their most minimal, screen shots require you to press only a couple of keys on your keyboard and record a virtual snapshot of something happening on your screen. You can weave these snapshots as images throughout your work and Word treats them as any other graphics you’d insert, such as photos or clip art.
Launch Word and open the document in which you want to insert the screen shot.
Scroll to the section where you want to add the screen shot. Press the “Enter” key to drop to a new line or press the “Ctrl-Enter” keys to create a page break so the screen shot starts a new page.
Click the “Insert” tab, then the “Pictures” button.
Browse to where you saved the screen shot image file on your computer and double-click it, which inserts it into the document.
Click the newly inserted screen shot to open the Drawing Tools tab above the main ribbon. You won’t see the tab unless you actually click the screen shot. With tools on this ribbon, you can crop, recolor, add a border and create elements such as a glow or a shadow on the screen shot. These are optional.
