Emailing large files may not be possible through a standard file attachment. One way to bypass the file size limit of your email provider is to send the big file as a link that the recipient can download from the cloud. Google Drive and Gmail are the perfect duo for this.

Sending large files (up to 10 GB in size) through Gmail via Google Drive is as easy as uploading the file to your Google Drive account and then sending it as a shared URL. The process is similar, but not exactly the same as sending a regular file attachment in Gmail.

These directions apply to Gmail on computers, phones, and tablets. However, the process looks different on mobile devices, so take note of which set of instructions you’re following.

There are other ways to email large files if you don’t use Gmail or Google Drive. Cloud storage services and online backup services that support file sharing usually let you send large files. There are also P2P file-sharing techniques that don’t have a file size cap.

There are two ways to use Google Drive to email big files. If you uploaded the file to Google Drive, select it while you’re composing the email. Or, if the file is on your computer, upload it to Google Drive and send it all in one motion.

When composing the email from the Gmail website, select the Google Drive icon from the bottom toolbar.

Use these steps to send large files via Gmail on your Android device:

When composing the email, select the attachment icon (the paperclip), and select Insert from Drive.

Browse or search for the file you want to send through Gmail from Google Drive.

Finish composing the email if you need to, then select Send.

If you’re using the Gmail app on an iOS device, do this:

These steps apply to the Gmail app for iOS devices, not the built-in email client called Mail. The process for attaching files in the iPhone Mail app is different.

Open the message you’re replying to or forwarding, or start a new one, and then tap the paperclip or attachment icon at the top of the screen.

Scroll down to the Drive section and select the file you want to send via Gmail. Tap the arrow to search and browse for files. Repeat these steps to add more files.

When you’re done writing the email, use the send button to email the large file via Google Drive.

How to Share File Access on Your Computer

If the file you’re sending has share permissions in Google Drive, but the people you’re sending it to don’t have permission to access the file, you’ll be given a few options after you select Send (desktop-only).

  • Share: Select the first drop-down box next to Share with person to give the recipients view, comment, or edit access.
  • Turn on link sharing: Link sharing permits view access only and doesn’t let the recipients re-share the file.
  • Don’t share: Choosing Don’t give access at the bottom of the prompt will send the Google Drive file but won’t give the recipients any access. You can always provide an access level later.

How to Share File Access on Your Mobile Device

If you’re using the mobile app, you’ll see a prompt first. Tap More Options to manage the sharing. You’ll see the following options:

Outlook keeps track of the files you have worked on recently and suggests them whenever you decide you want to attach a file to an email message. Some file types are blocked from being sent or received. See Blocked attachments in Outlook for the complete list.

In a new message, a reply, or a forwarded message, select Attach File from the Message ribbon or the Insert ribbon.

Recent items
The 12 most recent files you’ve worked on will be displayed here. These files may be on your computer, on OneDrive, SharePoint, or another online document library. Select a file to attach it to your email.

Browse Web Locations
Locations include OneDrive, SharePoint sites, or other locations such as a groups document library that you’ve accessed before. Select one of the locations to open a new window and then select your attachment.

Opens a File Explorer window where you can choose a file from your computer.

If you selected a file on your local computer or group document library, a copy of the file is attached to the email. Selecting a OneDrive or SharePoint file, however, provides you with additional permission options and information.

Send a link or send a copy Sending a link to the OneDrive or SharePoint file keeps the size of your email message small. If you choose to send a copy of the file, the entire file is attached to the email, just like it would be if you selected a file on your computer. If you choose to send a link to the file, you can also set the permissions on your file.

By default, if you’re in a business environment, everyone within your organization can edit the linked file. To change these permissions, select the arrow at the right of the attachment name to display a drop-down menu with a variety of permission options.

Organization can Edit if you want anyone in your organization to be able to modify the file.

Organization can View, if you want anyone in your organization to be able to read, but not modify, the file.

Recipients can Edit if you want only the recipients of your email to be able to modify the file.

If Outlook detects that your recipients won’t be able to view the file, for example if it’s stored on a SharePoint site that’s only accessible to you, you’ll see a warning message directly under the file icon and name. Select Attach as copy to change the attachment from a linked file to a copy of the file.

Note: If you attach a file as a copy, any changes your recipient makes won’t be synchronized with the version of the file in OneDrive or on SharePoint.

When you attach a document that is saved on your computer and not in an online location, you also can choose to upload the document to your OneDrive before sending the email. Uploading the attachment makes collaboration easy. You can be sure that everyone is collaborating on the same (and most up-to-date) version of the file. You may also choose to upload to OneDrive if the file is too large to share as a traditional attachment.

On the ribbon, click Attach File > Browse This PC, and choose the file you want to attach.

In your email message, select the down arrow for the attachment.

Choose Upload to OneDrive, and then choose the desired location for the file.

2. Increase privacy and avoid giving out permissions

What to Know

  • The Gmail message and attachment size limit is 25 MB. Messages sent to your account that exceed the limit are returned to the sender.
  • To send larger files, select Google Drive >Upload. Choose a file from your device and select Drive link >Upload. Send the message.

Like most email providers, Gmail limits the size of messages and file attachments you can send and receive. Learn about Gmail attachment restrictions and how to get around them using both the web version of Gmail and the mobile apps for iOS and Android.

Message and Attachment Size Limits in Gmail

Gmail processes messages up to 25 MB in size. This limit is applied to the sum of the message’s text and the encoded attachment. Encoding makes the file size slightly larger, so if you have a file that is exactly 25 MB, it will not go through.

Sending messages larger than 25 MB from Gmail yields an error. Messages sent to your Gmail account that exceed the limit bounce back to the sender.

You can attach any file type of file, but the size limit rules out most video and audio formats as well as large PDF documents with hundreds of pictures. Still, there are options for sending large files through Gmail.

Send and Receive Larger Files with Gmail

The easiest way to work around the message size limit is built-in to Gmail. You can send files using Google Drive while composing a message:

Select the Insert files using Drive icon in the bottom toolbar (it looks like a triangle).

Select the Upload tab.

If the file you want to share is in your Google Drive, select the file from this screen, then select Insert in the lower-left corner.

Click Select files from your device and choose the files you wish to share, or drag-and-drop the files into the window.

Select Drive link.
