Shortcut keys are a single key or combination of keys that users select to perform an action that is available from a menu.

To represent combinations of keys as a shortcut, show the first key, the plus sign (+), then the second key. For example, Ctrl+O . Note shortcut keys are represented with capital letters, but the user should be able to use lowercase.

Shortcut keys must be consistent across windows, performing the same function in every window in which they appear in an application.

Rules for usage:

Provide a shortcut key only when task analysis indicates that the choice is used frequently. Do not overuse them.

Use the key as part of the application-specific shortcut-key assignment.

Notes:
1. and 3. Assign the key to either Delete or Clear if only one is provided. If both Delete and Clear are provided, assign the key to the Delete function.
2. Copy is a copy to clipboard function, not “Copy files” or “Copy To”, which have no standard shortcut keys.
4. New is not a Motif specified accelerator, but is used as a shortcut key in Windows applications. This shortcut key will be further investigated as a standard. Do not assign Ctrl+N as a shortcut key for anything but New.
5. The Open command has two possible shortcut key mappings. Ctrl+O is used for the function “Open. ”, causing a dialog to appear. is used for Open when referring to a selected item.
6. Refresh refers to the Refresh Now command, not the setting for Refresh On or Refresh Off .
7. The shortcut key, Ctrl+A is used in Windows for Select All . A change to the Windows shortcut key is under investigation.

Do you like the idea of Mail, the default email client in macOS, but find yourself unable to actually use it because of how much you love Gmail’s keyboard shortcuts? Me too. I’ve used Macs for years, but I’ve never given the default email program a chance, even though it’s lightweight, speedy, and nicely integrated into the OS. I want to press “e” to archive an email, or “#” to delete one, and j or k to browse emails.

It turns out I’m not alone, because there’s a bundle called Gmailinator that adds exactly this functionality to Mail (sometimes called “Mac Mail” or “Mail.app” by users.) The problem: that bundle is four years old, and doesn’t work with macOS Sierra. Even worse: Apple also doesn’t really go out of its way to make installing bundles easy. Happily, there’s a version that is working, but to set it up, you’ll have to compile it using XCode. Don’t panic: it’s not hard, and the result is worth it.

Step One: Enable Bundles in Mac Mail

Before we can do anything, we need to open the Terminal and enable Mail bundles with this command:

defaults write com.apple.mail EnableBundles -bool true

All we’re doing with this command is changing the “Enablebundles” toggle from “false” to “true.” Mail will not even check for bundles if this isn’t enabled, so make sure you do this.

Step Two: Download Gmailinator and XCode

Next we need to head to the working version of Gmailinator, generously forked by Github user jgavris. Click the green “Clone or Download” button, then click the “Download ZIP” button.

Open the ZIP file to unarchive it.

If you haven’t already done so, install XCode from the Mac App Store. It’s a 4GB download, so this may take a while. Sorry: there’s no way around this, at least not until someone provides a working binary—the only binaries we could find aren’t working (if this changes please get in touch with us and we’ll update the article.)

Step Three: Compile and Install Gmailinator

Next, close Mail, then open the file called GMailinator.xcodeproj by double-clicking it.

Library/Mail/Bundles/ , but you’ll need to know how to access the hidden Library folder to get there. To remove the bundle simply delete this folder.

When developing new features, it can be useful to be able to create new, unique, working email addresses for testing. For example, say you want to repeatedly test a sign-up flow end-to-end, and you need a new, unique email address each time through the flow. Furthermore, you’d like to use a real, working email address to verify the behavior of a confirmation email that gets sent after signing up. How can we easily accomplish this?

If you have a Gmail or Google Workspace (formerly G Suite) email address, you’re in luck! One of Gmail’s coolest under-the-radar features is the ability to create task-specific email addresses by adding a plus sign followed by additional characters to your email address. So, if your email address is [email protected], you can sign up with [email protected], and emails to [email protected] will reach your inbox. This makes it easy to repeatedly create new, unique, working addresses for testing!

But if you do this a lot, it becomes mentally draining to keep track of which email addresses you’ve already used and come up with new addresses on the fly. You’ll have to keep track of whether you’ve already used [email protected] or should instead be on [email protected], for example. Instead, let’s automate it!

With some built-in Mac OS tools, it’s possible to automatically create new, unique Gmail addresses with a handy keyboard shortcut to speed up our smoke testing. First, we’ll use the Mac OS Automator application to create a script to generate new email addresses using the current system time. Then we’ll attach that script to a keyboard shortcut in our system keyboard preferences.

Mac OS ships with the Automator program that allows you to create scripts using JavaScript or your shell, and these scripts can output text. In Automator, select New, then choose Quick Action.

If you’ve ever needed a quick way to mark a message in your inbox as junk because it wasn’t of any interest to you, don’t bother clicking any buttons. Instead, just press Command (⌘) + Shift (⇧) + J on your keyboard and the message will turn gold and be marked as junk mail.

2. Add a sender to your Contacts app

Sometimes you get new emails from people you wish you had in your Contacts app for future reference. To add a sender to your Contacts app, just press Command (⌘) + Shift (⇧) + Y on your keyboard and you can begin adding the sender to your contact list.

3. Refresh your email inbox

To quickly refresh your email inbox to look for new mail, press Command (⌘) + Shift (⇧) + N on your keyboard.

4. Copy and paste a formatting style

If you want to copy a formatting style of one part of your email and then paste it to another part of your email, you’ll highlight the text you want to copy the formatting from by pressing Command (⌘) + Shift (⇧) + C on your keyboard and then you’ll highlight the text you want to paste the formatting to by pressing Command (⌘) + Shift (⇧) + V on your keyboard.

5. Search your Mail app

To quickly jump to the search field to search for senders or email content, press Command (⌘) + F on your keyboard.

6. Attach a file to your message

To quickly search for and attach a file to your email that you are sending, you can press Command (⌘) + Shift (⇧) + A from your keyboard and select a file from the accompanying interface to send.

7. Quickly send an email you’ve written

Instead of clicking the Send button when you’ve finished composing your email message content, you can press Command (⌘) + Shift (⇧) + D on your keyboard and your message will be fired off to the recipient.

8. Print the contents of an email

At times you might need to print the contents of an email, which is handy for receipts and letters that you receive. To print out an email quickly from the Mail app, press Command (⌘) + P on your keyboard, select a printer from the pop-up, and click on the “Print” button.

9. Make the Mail app full-screen

To make the Mail app full-screen for even more viewing pleasure, press Control + Command (⌘) + F on your keyboard.

10. Quickly delete all junk mail

Instead of deleting the junk mail all by yourself, you can press Command (⌘) + Option (⌥) + J on your keyboard and they’ll be cleared from your Mail app so you can focus on the important emails.

Many Mac users who rely on Mail app for accessing their emails in Mac OS are in the habit of navigating emails with their mouse, double-clicking an email, closing it, then repeating to go to the next message. A lesser known option is to use the keyboard to navigate within Mail messages of Mac OS X, which can be considerably faster for many users once they learn the tricks of how to use it. Not only can you navigate between emails this way, but you can also reply, send, forward, mark as unread, and perform many other Mail functions directly with a keystroke.

To use keyboard email navigation in the Mac Mail app, you’ll want to start at the primary double or triple pane primary Inbox screen as if you just opened Mail. The rest is just a matter of using the keyboard rather than the mouse, and making a new habit of that.

Basic Mac Mail App Navigation with Keyboard Shortcuts

  • Use the Up / Down arrows to navigate to the next or previous email message and open the selected message in the mail panel
  • Use the Spacebar to scroll down in the selected mail message
  • Use the Tab key to switch the currently active panel (Search box, Mailboxes, Inbox, Message content

That will allow you to move between the next and previous mail message using just the keyboard, but if you want to start replying to, forwarding, marking as unread, and other common mail activities, you’ll want to use some other keyboard shortcuts.

To really get the most use out of this, you’ll want to be using Mail app expanded to take up a sizable portion of the screen, if not using fullscreen mode. You’ll also want to break the old habit of double-clicking an email message to open that message into it’s own window, and instead use the arrow keys to select the message to view, and the spacebar to scroll down in the active message, which is why it’s important to have a large enough Mail window so that you can read the message content of the emails you are selecting.

By the way, if you find the email content text to be either too small or too big, you can change the font size in Mail rather easily.

Of course, navigating between the next and previous message in your inbox is one thing, you’ll likely want to interact with those messages to, which is where the next set of keyboard shortcuts comes in for a variety of tasks in Mail app for Mac OS X.

Other Helpful Mail App Keyboard Tricks for Mac

  • Hit Command+R to reply to the currently selected message
  • Hit Command+Shift+D to send an active message, reply, or forward
  • Hit Command+Shift+U to mark as unread the selected message
  • Hit Command+N to create a new eMail message
  • Hit Command+Shift+F to forward the selected message
  • Hit the Return key to open the selected message into a new window
  • Use Command+W to close an open message, or the primary message window

There are many other keyboard shortcuts for Mail in MacOS X, but these are some of the essentials that are worth remembering without being overloaded with some of the more obscure options. Exploring the Mail menu items will reveal many more, and you can always create a custom keystroke for something if you discover a menu item function that doesn’t yet have an attached keyboard shortcut.

At the moment, the Mail app in Mac OS X does not include a “Next Message” or “Previous Message” keyboard shortcut that is independent of the arrow keys for selecting messages, which can lead to some confusion for users who have turned to the Mail app in Mac OS X as their default email client, particularly if they came to Mail from another email client like MS Outlook or Thunderbird. Note that none of these keyboard shortcuts for moving around Mail are specific to any version of Mac OS X, they’ve been on the Mac for quite some time and therefore will work regardless of the computer running MacOS Mojave, High Sierra, Sierra, El Capitan, Mac OS X Yosemite, Mavericks, Mountain Lion, Snow Leopard, and likely just about any other version too.

Considering that iOS does include a “Next” and “Previous” message button in the Mail app on iPhone and iPad, it wouldn’t be too surprising if such a feature was added to the Mac sometime in the future. In the meantime, use the arrow keys and spacebar trick, it’s effective and makes browsing through a ton of emails quite fast.

I recently enjoyed using Gmail shortcuts in MailMate, and wanted to bring those same shortcuts to the default Mail app on macOS. 1 GMailinator, the only Mail plugin I could find to do so, hasn’t been updated in four years, so I didn’t bother installing it. Instead, I started looking for another way, and I think I’ve found it.

The Short Answer

IMPORTANT: You will also need to map the first keystroke in the macro to the ‘Archive’ menu selection in System Preferences. This is explained in more detail in the “Long Answer” section below, complete with screenshot. In my case, I mapped the ‘⌘Return’ keystroke to Mail’s ‘Archive’ menu selection.

I’ve only set up one shortcut so far, plus the “Move” shortcut (which I tied into Mail Act-On’s ability to call up a window to file documents). Hopefully that is enough to get you started mapping other keys. If not, the long explanation of the macro is below.

The Long Answer

Before turning to Keyboard Maestro, I first tried setting up an App Shortcut in System Preferences (System Preferences > Keyboard > Shortcuts > App Shortcuts). I discovered, though, that App Shortcuts must use a modifier key, such as the Command or Control key. Many Gmail shortcuts only use a simple letter key, such as ‘E’ to archive, so App Shortcuts wouldn’t work.

I next tried to set up a simple Keyboard Maestro macro that called the “Archive” command any time I typed the ‘E’ key in Apple Mail. Unfortunately, that macro made the ‘E’ key nonfunctional when typing text in a mail message. Back to the drawing board.

I needed to find a way for Keyboard Maestro to be able to determine when Mail was only in list view (i.e., just displaying a list of messages, and nothing else), versus when I actually needed to type text (and needed that darn ‘E’ key to work). I examined Mail, and found that “Archive” in the toolbar menu (Message > Archive) became inactive when creating, replying to, or forwarding a message.

Voila. I had found a way (the Archive menu item) for Keyboard Maestro to monitor the state of the Mail app. If ‘Archive’ is active in the menu, then I could set things so typing ‘E’ triggers the Gmail archive shortcut. If ‘Archive’ is inactive, then I could set things so typing “E’ simply types “E.” 2

For this to work, you first need to set up a keyboard shortcut for ‘Archive’ in System Preferences, so that you have a shortcut to map ‘E’ to. For reference, here is a screenshot of where I’ve mapped ⌘Return to ‘Archive’ in my App Shortcuts in System preferences (System Preferences > Keyboard > Shortcuts > App Shortcuts):

Unfortunately, I ran into one final problem. I found that typing the ‘E’ key in a mail message was too laggy, with the ‘E’ occasionally appearing on screen a few seconds after I typed it. The way around this was to completely disable the macro if the “Archive” menu item wasn’t active. The ‘E’ key would then be typed, and the macro reenabled. These are the last three steps contained in the macro.

This seems to work in my limited testing. I’ll report back if I run into more problems.
