In Microsoft Word, the most likely cause for formatting changes that won’t stick is that there is an overriding style attached to the paragraph.

Here is how to remove all styles from Microsoft Word documents so you can stop formatting changes from misbehaving.

Clearing styles

To remove all styles from a block of text, open your Microsoft Word document, then follow these steps:

  1. Highlight the paragraph or block of text that contains the problematic formatting.
  2. On the Home tab, click the Styles dialogue box launcher to open the Styles task pane (or click Alt + CTRL + Shift + S).
  3. In the Styles task pane, click Clear All.

That’s it! You now have unstyled text that is ready to be formatted as needed.

How to clear formatting a faster way

Want a faster way to clear formatting? If you don’t like launching the Styles task pane, select the text (press Ctrl+A to select all text) then click the Clear Formatting button.

The Clear Formatting button is located in the ribbon, on the Home tab, in the Font group, as shown in the image.

Why won’t the formatting go away?

Using Clear All should remove all styles and formatting from the selected text and strip it down to the Normal style, which is the default text for the document. However, text boxes, headers, and footers have to be cleared individually.

If none of the text cannot be reformatted, the document may be protected from formatting changes. If that is the case, you won’t be able to reformat the document unless you remove the password.

Formatting in Microsoft Word 2013 can be incredibly useful when you need to make adjustments to content that you have created, but it can be frustrating when you need to change formatting that was already applied to the document. One easy solution is to just clear all of the formatting from the document, but that may still leave you with some weird symbols that seem to be impossible to interact with.

Hiding Formatting Marks in Word 2013

The steps in this article will assume that you have a bunch of formatting marks visible in your document, in locations such as the start of each paragraph, at manual page breaks, after list items, etc. Your document may look something like the image below –

How to Clear Formatting in Word Using Notepad

Strip text of any formatting using a plain text editor, such as Notepad. This is beneficial if you’ve copied and pasted text from the internet or want to paste text from Word into an online content management system.

Open the document with the text from which you want to clear formatting.

Type “notepad” into the Windows Search box and press Enter. A new, blank Notepad file will open.

Return to the Word document. Select the text from which you want to remove formatting in Word. Use your mouse to highlight only part of the text or select all the text in the document by selecting anywhere inside the document and pressing Ctrl+A to highlight all of it.

How to Clear Formatting in Word 2013

This is a good thing to do before you start entering your own formatting for a document, as it is going to strip all of the formatting that has been applied to the text. You will not have the option to select which settings to remove, and will simply be left with black text on a white background. You will, however, be able to select specific sections of text from which to strip the formatting, or you can select the entire document.

Step 1: Open the document in Word 2013.

Select the text that you want to return to its default formatting.

On the Edit menu, click Clear and then select Clear Formatting.

Clearing All Formatting On Microsoft Word 2010

You can easily remove all of your formatting and save yourself time without manually mashing the undo option by following along.

  1. Open up the formatted document.
  2. Highlight all the text you wish to clear by holding down the left-click and dragging it across the formatted text. Alternatively, if you are having issues using the mouse you can hold down the Shift key while tapping the Right Arrow key to highlight the text. To select all text, press CTRL + A anywhere on the document.

All of the text you previously selected will now become the default style that is standard with Word 2010. If you’re unsatisfied with how the default format appears, you can press Ctrl + Z to go back to the formatted text option.

Removing the Header Style Without Losing the Format

Sometimes you’re okay with the current formatting but the header just doesn’t belong. In order to change the header while maintaining the current formatting in Word 2010:

  1. Highlight the text.
  2. Right-click to open up the menu and select Paragraph.
  3. Locate “Outline Level” and change it to “Body Text”.

It really is that simple.

Again, for those with mouse issues, an alternative way to do this is to:

  1. Open the Paragraph dialog box by pressing ALT + O + P.
  2. Under the Indents and Spacing tab, TAB to the Outline Level drop-down box and select Body Text.
  3. Press Enter (or TAB to OK and press Enter).

Clearing All Formatting On Microsoft Word 2013+

Ridding yourself of the unwanted format in your Word 2013/16 document is very similar to that of the 2010 version. The only major difference is the appearance of the clear formatting icon. It will now have a single A along with a pink eraser running diagonally in the opposite direction.

However, if you jumped to this section and bypassed the 2010 run through, here is a short recap.

  1. Open your document of choice and click on the Home tab located to the right of the File tab at the top left.

All formatting that you’ve highlighted is now set to the default style for Microsoft Word 2013/16.

Clearing All Formatting Using the Styles Pane

  1. Select and highlight the text for which you want to clear formatting.

Keep in mind that even when using Ctrl + A to highlight the content within your Word document, all content in text boxes, headers, and footers will need to be cleared of formatting separately.

If you are being prevented from clearing any formatting on a certain document then the document may be protected from any and all formatting changes. If this is the case, you’ll first need to acquire the password before being allowed to reformat any of the content.

Alternate Way to Clear All Formatting No Matter the Version of Word

When working with a highly formatted document but the above information is still a bit too confusing for you, here is a quick, surefire way to rid yourself of it:

  1. Highlight the text you wish to format.
  2. Either cut (Shift + Del) or copy (CTRL + C) the text. You can also right-click the highlighted text and select to either cut or copy from the drop-down provided.

  3. While in Windows, open up the Notepad application.

  4. Paste (CTRL + V) the highlighted text located on your clipboard into the Notepad. Notepad can only work with unformatted text and therefore will rid all current formatting and styles associated with the text pasted.

Note: In Word, there is an overriding style attached to every paragraph, so any formatting changes made to paragraphs without changing the associated style may not stick. That’s when you might notice that your formatting changes do not work.

To clear formatting from content, select the text for which you want to clear formatting. To select all the text in your document, press Ctrl+A on Windows or Command+A on Mac. Make sure the “Home” tab is active. In the Styles section, click on the “Styles Pane” button found to the right of the available styles.

To quickly remove styles, expand Quick Styles to display the list of available styles. At the top of the options is Clear All which clears all formatting and styles from a document.

Power Users can learn these “Big 3” format removal keystroke shortcuts

CTRL-SPACE removes character-level formatting from the selected text (fonts, italics/bold, font size, etc.) but leaves paragraph formatting (indents, line spacing, etc.) intact.

CTRL-Q leaves fonts and other character formatting intact but reverts paragraph-level formatting to Normal Style of current document.

CTRL-SHIFT-N returns the selected text to Normal formatting, both character-level and paragraph-level.

Copying text from multiple sources into a Microsoft Word document can be problematic. You could end up with different text sizes and colors, backgrounds, paragraph styles, and more.

Using the Styles Options Menu

You can achieve the same effect by using the Styles options menu.

As with the method above, you’ll need to first select the text you want to format (or press Ctrl + A to select all text).

With your text selected, press the additional options arrow in the bottom-right corner of the Styles section. This is found in the Home tab of the ribbon bar.

Select the Clear Formatting option.

Using Keyboard Shortcuts

If you’re regularly changing or removing text formatting from your documents, then you can speed things up by learning some easy keyboard shortcuts.

You’ll need to make sure your text is selected first. Once it is, you can use the following shortcuts to manipulate the formatting in your document:

  • Ctrl + Space removes formatting from the text itself, but will leave your paragraph formatting untouched. This method does remove hyperlinks from your text.
  • Ctrl + Q will leaves text formatting in place (so bold or italic text remains), but removes the paragraph formatting. Heading formatting will still stay in place.
  • Ctrl + Shift + N applies the Nomal template (the default Word formatting settings) to your text. This will remove heading and paragraph formatting, but it won’t change the font formatting.
  • If you want to remove all formatting from your text, use Ctrl + Space followed by Ctrl + Shift + N to get rid of everything, including hyperlinks.

Using Paste Special

Another method of removing formatting is to use the Paste Special method. This method is also useful if you want to remove any formatting from text you’re pasting in from another source, such as a web page.

To do this, first highlight the text you’re looking to change. With your text selected, press Cut under the Home tab, or press Ctrl + X on your keyboard. This will cut the text and place it in your clipboard.

Press the down arrow next to the Paste option under the Home tab. From the drop-down menu, select Paste Special (or press Alt + Ctrl + V) to open the Paste Special options box.

Select Unformatted Text, then click OK to paste the text.

Your text will be pasted back into your document with all formatting removed. This will also remove any hyperlinks found in your original text.

The ability to erase text in Word 2013 is just as valuable and necessary as the ability to create text. Deleting text is part of writing text, part of thinking and rethinking, and part of self-editing. Writing. Deleting. Rewriting. Redeleting.

Credit the guy who put the eraser on the end of the pencil: It’s a given that human beings make mistakes. The round, soft eraser counterbalances the sharp point of the pencil in more ways than one.

Both creating and destroying text are accomplished by using the keyboard. The majority of keys are used to create text. Only two keys delete text: Backspace and Delete. How these keys work, and how much of your text they can delete, depends on how the keys are used.

How to delete single characters

Use the Backspace and Delete keys by themselves to delete single characters:

Backspace key: Deletes the character to the left of the insertion pointer

Delete key: Deletes the character to the right of the insertion pointer

In the following example, the insertion pointer is “flashing” between the z and the e in dozens. Pressing the Backspace key deletes the z; pressing the Delete key deletes the e:

The touchscreen keyboard features only the Backspace key, which, ironically, supports the universal symbol for the Delete key. Touching this key backs up and erases. There’s no Delete key equivalent on the touchscreen keyboard to delete the character to the right of the insertion pointer.

After you delete a character, any text to the right or below the character shuffles over to fill the void.

You can press and hold Backspace or Delete to continuously “machine-gun-delete” characters. Release the key to halt such wanton destruction, although you should use other delete commands rather than the machine-gun approach.

Special types of text in Word cannot easily be deleted with the Backspace key or Delete key. An example is an updating text field, which holds special text that always shows, say, today’s date. This type of text appears shaded in a light gray color when you try to delete. That’s Word reminding you of the unusualness of the text. Press the Delete or Backspace key a second time.

How to delete a word

To gobble up an entire word, add the Ctrl key to the Backspace or Delete key’s destructive power:

Ctrl+Backspace deletes the word in front (to the left) of the insertion pointer.

Ctrl+Delete deletes the word behind (to the right) of the insertion pointer.

These keyboard shortcuts work best when the insertion pointer is at the start or end of a word. When you’re in the middle of the word, the commands delete only from that middle point to the start or end of the word.

After you delete a word, the insertion pointer sits at the end of the preceding word (or paragraph) when you use Ctrl+Backspace. Deleting a word by using Ctrl+Delete puts the cursor at the beginning of the next word. This is done to facilitate the rapid deletion of several words in a row.

After deleting the text, Word neatly wraps up the remaining text, snuggling it together in a grammatically proper way; deleting a word doesn’t leave a “hole” in your text.

No mere pencil eraser can match Ctrl+Delete or Ctrl+Backspace for sheer speed and terror!

How to delete more than a word

Word lacks keyboard-specific commands to delete more than a word or character of text. Larger chunks of your document can be deleted, swiftly and effectively. It’s just that those ways are not that obvious.

Delete a line of text

A line of text is merely a line across the page. The easiest way to delete a line of text is to use the mouse:

Move the mouse into the left margin of your document.

You know you’ve found the sweet spot when the mouse pointer changes into a northeast arrow.

Point the mouse pointer arrow at the line of text you want to obliterate.

Click the mouse.

The line of text is highlighted, or selected.

Press the Delete key to send that line into oblivion.

Delete a sentence

A sentence is a grammatical thing. You know: Start with a capital letter and end with a period, a question mark, or an exclamation point. You probably mastered this concept in grammar school.

Making a sentence go bye-bye is cinchy:

Hover the mouse over the offending sentence.

Press and hold the Ctrl key and click the mouse.

The sentence is selected.

Press the Delete key.

Oomph! It’s gone.

Delete a paragraph

A paragraph is one or more sentences, or a heading, ending with a press of the Enter key. Here’s the fastest way to delete a full paragraph:

Point the mouse at the paragraph.

Click the mouse button thrice.

Thrice means “three times.”

Press the Delete key.

Delete a page

A page of text is just that — all the text from where the page starts to where the page ends. It’s a physical thing.

Pages are a formatting issue, not something Word deals directly with regard to editing. Even so, to delete a page, mind these steps:

Press Ctrl+G to summon the Go To tab in the Find and Replace dialog box.

Choose Page from the Go to What list.

Type the number of the page you want to delete.

Click the Go To button and then click the Close button.

The insertion pointer is positioned at the top of the page you chose in Step 3.

Press the F8 key.

The F8 key is used to enter a special selection mode in Word.

In Word, you can choose to paste text using the formatting of the source, destination, or just pure text. If you always want one of the options, set it as the default for pasted text.

Set default paste options

By default, Word preserves the original formatting when you paste content into a document using CTRL+V, the Paste button, or right-click + Paste. To change the default, follow these steps.

Go to File > Options > Advanced.

Under Cut, copy, and paste, select the down arrow for the setting to change .

Pasting within the same document When you paste content into the same document from which you copied the content.

Pasting between documents When you paste content that was copied from another Word document.

Pasting between documents when style definitions conflict When you paste content that was copied from another Word document, and the style that is assigned to the copied text is defined differently in the document where the text is being pasted.

Pasting from other programs When you paste content that was copied from another program, such as a browser.

When you copy content from a formatted source, such as a webpage or another Word document, you can select options at the time you paste it into your document.

The Paste Options button lets you select formatting options and is on by default. If you don’t see the button, it might be turned off. Follow these steps to turn it on.

Go to File > Options > Advanced.

In the Cut, copy, and paste section, select Show Paste Options button when content is pasted.

If the setting is on but you don’t see the button when you paste, make sure you’re pasting formatted content, not pure text (like from NotePad.)

The text takes on the style characteristics of the paragraph where it is pasted. The text also takes on any direct formatting or character style properties of text that immediately precedes the cursor when the text is pasted.

Picture (U) This option is only available on Microsoft 365 Subscription. Converts text into an image and pastes that. The text can’t be changed, but you can treat it like any other picture or image and use effects, borders, or rotation. When selected, choose options from the Picture Format tab.

Keep Text Only (T) This option discards all formatting and nontext elements such as pictures or tables. The text takes on the style characteristics of the paragraph where it is pasted and takes on any direct formatting or character style properties of text that immediately precedes the cursor when the text is pasted. Graphical elements are discarded, and tables are converted to a series of paragraphs.

When you paste items from a bulleted or numbered list into another list, you can keep their original formatting or sequence, or blend in with the numbering or bullets of the destination list.

Paste numbered items so the sequence continues Choose Continue List (C) to have inserted items stay in sequence in the list.

Keep original sequence on numbered items Choose New List (N) to have inserted items keep their original list sequence.

Paste bulleted items into a numbered list To keep the bullets, choose Keep Source Formatting (K). To convert bullets to numbers, choose Merge Formatting (M).

Paste numbered items into a bulleted list To keep the original numbers, choose Don’t Merge List (D). To convert the numbers to bullets, choose Merge List (M).

Paste Text Only lists By default, bullets and numbers are preserved when pasting text only. To turn this behavior off:

Go to File > Options > Advanced.

When you select all using a keyboard shortcut or the Ribbon, the main content of the document is highlighted and headers and footers are selected only if there are section breaks in the document because headers and footers are attached to sections. Headers and footers for the last section are not included as the last section is not followed by a section break. If you are trying to select all to change the font and size for an entire document, a better strategy is to use themes and styles.

Microsoft Word uses bullets, numbered lists, page breaks, margins, columns, and more. To see how Word structures a document, view the formatting marks and codes associated with the text.

To reveal the formatting symbols, go to the ribbon and select Home.

Methods of Removing Heading in Word

Apply Normal Style

When you check the headings of MS Word, you will get several heading types.

From Heading 1 to Heading 9, you will get to use and change the headings as per your requirement.

Step 1: Normal Text Idea

The first option of all the headings is the NORMAL TEXT style. This option will help you to write the texts in the normal style.

You can apply this style and switch from the other heading styles to the normal text. With the help of using this style, you can remove the other heading properties too.

Step 2: Select the Heading

Here, you need to select the text or the portion that you want to change from heading to normal. You can also select several headings if you want to change them altogether.

Step 3: Go to Styles

After selecting them with your cursor, you have to check the tab STYLES on the HOME which is situated on the upper portion of Word.

There, you will see different options and among them, the first one from the left will be NORMAL.

Step 4: Removing Headings

When you have selected NORMAL, the Word will automatically remove the headings you have selected and it will replace them with normal texts just like the other part of the paragraph.

Step 5: Change the Entire Text

In this case, you might want to remove the headings from your entire word file.

If you want to do this, you can follow a shortcut method without selecting each of them manually.

Press CTRL+A. The whole text of the content will get selected in this way. And then, you have to go through Step 3 to Step 4.

As a result, the whole text will change into a normal style.

Note: But in this situation, you must keep in mind that this process will change all the other formats like BULLETS, ITALIC, BOLD, UNDERLINE, NUMBERED LIST, etc into normal text.

Removing Heading with Dialog

Step 1: Finding the Dialog Box

When you go through the Word file, you will see that there is a dialog box for headings in the top section.

In this dialog box, you will get different styles of headings. With the help of this dialog box, it is easy to change the heading.

You can change one heading to another style heading. Also, you can change it to normal text. If you want to clear the formatting for all the texts, you can do that too.

Step 2: Open Styles Dialog Box

First of all, you have to mark the text or heading that you want to turn back to normal text. Highlight the part or select it.

Now, you have to press Alt+CTRL+SHIFT+S. With the help of this short form, you will see the Styles dialog box.

Step 3: Clear All Headings

Now that you have seen the several styles of heading, you can easily change them to normal text.

The best part is you will see an option named CLEAR ALL here. With this option, you can remove all the headings from your content.

After clicking it, all the headings will be removed and you will only see the normal texts.

Removing Heading from Navigation Pane

You can also let the Word remove heading from the navigation pane. Make sure the Navigation pane is visible in your Word.

Step 1: Getting Navigation Pane

If you don’t see the Navigation pane, you need to go to the VIEW option situated on the top of the Word.

When you get several options, put a tick mark on the NAVIGATION PANE to see this option.

Step 2: Go through Headings Option

In the Navigation Pane, you will see the HEADINGS option along with the PAGES and RESULTS. It will show all the headings there.

Step 3: Delete Heading

On the headings that are shown in the Navigation Pane, you can right-click and do whatever you want.

By right-clicking, you will see various options. There is a DELETE option to delete the heading. Press if and will no longer see the heading there!

Clear All Formatting Command

You can also settle for the Clear All Formatting command if you want to. This will help in clearing all the headings.

  • In the first place, you have to select or mark the heading or headings you want to change.
  • Now you have to go to the HOME tab first. There, you will see a group named FONT.
  • Get into FONT and search CLEAR ALL FORMATTING icons. After you get it, press it.
  • This will clear all the headings from the selected area and provide you normal texts.

Note: Just like the previous method, this will also remove other formattings like BOLD, LISTS, UNDERLINED, etc. So, before selecting, check, and double-check it.

Remove Header Command

Step 1: Click INSERT

If you want to delete the headers, you can go for this easy method. First of all, get inside the Word file and there you have to look at the top tab.

In the top tab, you will find an option named INSERT. Click the INSERT option.

Step 2: Header & Footer

Now that you have clicked it, you will see the HEADER & FOOTER section there. All you have to do is go through the HEADER button and press it.

Step 3: Remove Header

As a result, you will get a new box of options. Check the bottom part of the box. There, you will see an option called REMOVE HEADER. This is all you are searching for. By clicking it, you can remove the header in your MS Word!

Remove All Headers

There are times when you don’t want to remove the headers one by one. This might be time-consuming. As a substitute, you can rely on removing all the headers with some clicks!

  1. First of all, you have to go to the header area and double-click it. As a result, that will be editable for you.
  2. Now, you have to select the part of the header in your content. After selecting, press the delete in your keyboard.
  3. You will see that the header is gone. And along with this, all the headers will disappear too from your content. This method is faster than the previous method.

In this article today, I want to show you how to remove Headers and heading styles in Microsoft Word.

I want to kill two birds with one stone since headers and heading styles are two different things altogether. So in the first part of this tutorial, I’ll explain how to remove or delete a header in Word before looking at heading styles.

How to remove Header in Word

A header is the top margin of a page in Microsoft Word. Headers are normally used for titles, page numbers, dates, logos and other essential bits of information.

There are two ways to remove or delete a header in Microsoft Word. Without further ado, let’s get started.

Option 1: Using the Remove header command

To delete or remove headers in Word:

  • Go to the Insert tab.
  • In the Header & Footer group, click on the Header button.
  • A drop-down box will appear, click on Remove Header at the bottom of the drop-down to remove the header from your Word document.

This is how you may exit headers in Microsoft Word.

Option 2: Clear all the header content to remove the header in Word

Another way to delete header in Word is to double-click on the header area to make it editable. Then select all the content in the header and hit the delete key. After deleting the header content, the header itself will disappear from all your pages.

How to remove heading styles in Word

Microsoft Word comes with a library of heading styles you can use in your document.

These styles are very handy as it allows you to apply changes to all your headings at once. It also allows you to do other fancy things like collapse and expand content under each heading.

Heading styles also helps if you want to insert an automatic table of Content into your document.

Despite all these awesome things heading styles can do, you may want to remove it in your Word document for some reason.

Without further ado, below are the various ways you can remove headings in Word.

First Option: Apply Normal Paragraph style

All the heading styles, Heading 1 through Heading 9, have their own formatting, which you can modify anyway.

There’s also a style called Normal style. It is designed to have the same formatting as the body text. And applying this style means you are switching from one of the headings to a body text, removing all the heading properties from the text.

The steps are bulleted below:

  • Highlight the heading or headings you want to remove the styles from. If you want to remove heading styles from the entire document, use Ctrl+A to select all content in the document. Just know that selecting all will clear every other formatting like Bold,Italic, bullets (●), and so on.
  • Go to the Home tab, in the Styles group, and select Normal.

Clicking the Normal style option will remove the heading properties from the text.

Option two: Remove Heading Styles Using the styles dialog

There’s a dialog box that contains most of the styles. Through this dialog of styles, you can change any heading into a body text or normal text by clearing all the styles or formatting applied to the text.

Just follow the steps below to see what I am talking about:

  • Highlight the heading or headings you wish to change into a normal text.
  • Press Alt+Ctrl+Shift+S to display the Styles dialog box
  • Click on Clear All to remove the heading style properties from the text.

All the formats that were making the heading to look different from the body text will disappear. The body text and the headings will have the same appearance now.

Option 3: Using the “Clear All Formatting” Command

There’s yet, another command that performs the same task as in the previous methods.

This is a command that clears all formatting that has been applied to text in Word.

To use this command, the steps are outlined below:

  • Highlight the Heading you want to change
  • Go to the Home tab, in the Font group, click on the “Clear all formatting” icon.

Now Word will remove all the Heading style properties (AKA formatting) from the selection, leaving only the normal, unformatted text.

  • Bonus Tip: Another place to get access to the Clear Formatting command is in the Styles library section. Go to the Home tab, in the Styles group, click the small triangular icon at the right side to expand for more styles.
  • Near the bottom of the expanded box, click on “Clear Formatting

Why would I want to add hyphens to a document?

This issue doesn’t normally come up with standard documents where the text is in a smallish size and extends across the entire width of the page. In fact, as you can see (marked by the arrow), one word is just too long for the line and splits at the last letter, something which doesn’t obey any of the standard rules of hyphenation (I bet this has happened in your tables – it has in my clients’).

Oh no! In its effort to make everything tidy, Word has carefully inserted huge spaces between words (unlike someone typesetting properly on a computer or by hand, it doesn’t space out the letters in the words so much as just add massive spaces). And poor old Mr Long Word is still dangling a letter onto the next line.

This looks pretty horrible, doesn’t it. Adding automatic or manual hyphenation is the way forward.

How do I add automatic hyphenation to my Word document?

To work with the hyphenation options, we need to be in the Page Layout tab, and the Page Setup area, and there you’ll find Hyphenation (with a little pop-up box explaining it). This is the case in Word 2007 and Word 2010. In Word 2003, you need to select the following menus: Tools > Language > Hyphenation.

You can choose here between None, Automatic and Manual, and then have some options, too. We’ll look at those options in a moment.

What happens if I add automatic hyphenation to my document?

If you highlight the text and then select Automatic from the Hyphenation menu, Word will automatically insert hyphens into the text to break the words in sensible, permitted places (there is a whole art to this which I will discuss another time. I’m not sure which exact rules Word follows, but a quick look shows that it’s pretty good). So if your text is right justified, you’ll get this:

You can see here that Word has hyphenated all of the longer words that previously caused those big gaps, and made the text an awful lot tidier.

You can do this on unjustified text, too:

but I personally think that this still looks a bit messy.

How do I remove automatic hyphenation?

To remove automatic hyphenation when you find it in a document and don’t want it, highlight the offending text and choose None from the Hyphenation menu in Page Layout > Page Setup:

All of the automatic hyphenation should disappear.

How do I use manual hyphenation in my document?

If you choose the manual hyphenation option, based on where your cursor is placed at the time you select this option, Word will give you a choice of where and whether to hyphenate your words:

(here we can see our unhyphenated text, with the cursor on “demonstrate”). Once you’ve clicked on Yes or No, it will hop along to the next word that’s a candidate for hyphenation.

Why shouldn’t I just hyphenate totally manually?

Of course, you can just look for gaps and manually type a hyphen in the middle of the word, and it will split over two lines. However, this is a concrete character that you’ve inserted into the word, and so if you change the wording in your text so that the offend-ing word no longer comes at the end of the line, you’ll retain the hyphen charac-ter and get artefacts like the ones you can see in this para-graph. Much better to automate the manual process, so to speak …

What are the hyphenation options?

If you click on the Hyphenation Options at the bottom of the Hyphenation dialogue box, you are given a few choices:

Working from the top …

  • Automatically hyphenate document – does what it says on the tin
  • Hyphenate words in CAPS – you may not want to split long acronyms, etc. – if not, then untick this box
  • Hyphenation zone – this is the maximum space allowed between a word and the right hand margin. Increase this number and the hyphenation zone becomes wider – and you will have fewer hyphens. A lower number will give you more hyphens
  • Limit consecutive hyphens to – allows you to prevent Word from hyphenating at the end of every line – best adjusted once you’ve set hyphenation and seen what it looks like
  • Manual… – gives you another way to get to the Manual Hyphenation feature

In this article we’ve learned why we might want to apply automatic hyphenation to a document, how we do it, how to remove automatic hyphenation, and the options that are available in the hyphenation menu.

Changing headings or headers is easy. But if you are a beginner, Word must be difficult for you. And when it comes to removing the headings one by one or all together, it gets more mind-numbing!

Methods of Removing Heading in Word

Apply Normal Style

When you check the headings of MS Word, you will get several heading types.

From Heading 1 to Heading 9, you will get to use and change the headings as per your requirement.

Step 1: Normal Text Idea

The first option of all the headings is the NORMAL TEXT style. This option will help you to write the texts in the normal style.

You can apply this style and switch from the other heading styles to the normal text. With the help of using this style, you can remove the other heading properties too.

Step 2: Select the Heading

Here, you need to select the text or the portion that you want to change from heading to normal. You can also select several headings if you want to change them altogether.

Step 3: Go to Styles

After selecting them with your cursor, you have to check the tab STYLES on the HOME which is situated on the upper portion of Word.

There, you will see different options and among them, the first one from the left will be NORMAL.

Step 4: Removing Headings

When you have selected NORMAL, the Word will automatically remove the headings you have selected and it will replace them with normal texts just like the other part of the paragraph.

Step 5: Change the Entire Text

In this case, you might want to remove the headings from your entire word file.

If you want to do this, you can follow a shortcut method without selecting each of them manually.

Press CTRL+A. The whole text of the content will get selected in this way. And then, you have to go through Step 3 to Step 4.

As a result, the whole text will change into a normal style.

Note: But in this situation, you must keep in mind that this process will change all the other formats like BULLETS, ITALIC, BOLD, UNDERLINE, NUMBERED LIST, etc into normal text.

Removing Heading with Dialog

If you want to change the heading to a normal text word, you can also check this out. This is the Styles Dialog box method for deleting the headings. You might be interested in Microsoft Word Won’t Open Windows 10 & Mac.

Step 1: Finding the Dialog Box

When you go through the Word file, you will see that there is a dialog box for headings in the top section.

In this dialog box, you will get different styles of headings. With the help of this dialog box, it is easy to change the heading.

You can change one heading to another style heading. Also, you can change it to normal text. If you want to clear the formatting for all the texts, you can do that too.

Step 2: Open Styles Dialog Box

First of all, you have to mark the text or heading that you want to turn back to normal text. Highlight the part or select it.

Now, you have to press Alt+CTRL+SHIFT+S. With the help of this short form, you will see the Styles dialog box.

Step 3: Clear All Headings

Now that you have seen the several styles of heading, you can easily change them to normal text.

The best part is you will see an option named CLEAR ALL here. With this option, you can remove all the headings from your content.

After clicking it, all the headings will be removed and you will only see the normal texts.

Removing Heading from Navigation Pane

You can also let the Word remove heading from the navigation pane. Make sure the Navigation pane is visible in your Word.

Step 1: Getting Navigation Pane

If you don’t see the Navigation pane, you need to go to the VIEW option situated on the top of the Word.

When you get several options, put a tick mark on the NAVIGATION PANE to see this option.

Step 2: Go through Headings Option

In the Navigation Pane, you will see the HEADINGS option along with the PAGES and RESULTS. It will show all the headings there.

Step 3: Delete Heading

On the headings that are shown in the Navigation Pane, you can right-click and do whatever you want.

By right-clicking, you will see various options. There is a DELETE option to delete the heading. Press if and will no longer see the heading there!

Clear All Formatting Command

You can also settle for the Clear All Formatting command if you want to. This will help in clearing all the headings.

  • In the first place, you have to select or mark the heading or headings you want to change.
  • Now you have to go to the HOME tab first. There, you will see a group named FONT.
  • Get into FONT and search CLEAR ALL FORMATTING icons. After you get it, press it.
  • This will clear all the headings from the selected area and provide you normal texts.

Note: Just like the previous method, this will also remove other formattings like BOLD, LISTS, UNDERLINED, etc. So, before selecting, check, and double-check it.

Remove Header Command

Step 1: Click INSERT

If you want to delete the headers, you can go for this easy method. First of all, get inside the Word file and there you have to look at the top tab.

In the top tab, you will find an option named INSERT. Click the INSERT option.

Step 2: Header & Footer

Now that you have clicked it, you will see the HEADER & FOOTER section there. All you have to do is go through the HEADER button and press it.

Step 3: Remove Header

As a result, you will get a new box of options. Check the bottom part of the box. There, you will see an option called REMOVE HEADER. This is all you are searching for. By clicking it, you can remove the header in your MS Word!

Remove All Headers

There are times when you don’t want to remove the headers one by one. This might be time-consuming. As a substitute, you can rely on removing all the headers with some clicks!

  1. First of all, you have to go to the header area and double-click it. As a result, that will be editable for you.
  2. Now, you have to select the part of the header in your content. After selecting, press the delete in your keyboard.
  3. You will see that the header is gone. And along with this, all the headers will disappear too from your content. This method is faster than the previous method.

Styles

Styles is a format tool that includes fonts, font sizes, effects (bold, italic, underline, etc.), colors, etc. Notice the Home tab on the Ribbon, there are some groups that will help with Format your document styles: Font, Paragraph, and Styles.

• Click the arrow to the right of the font name and select the style you want.To change the font:

• Remember, you can preview how the new font will appear by highlighting the text and choosing the font type. You will see that the highlighted text will be changed by the selected font.

To change the font size:

• Click the arrow next to the font size and select the font size.

• Or click the increase button or decrease the font size.

Font Style and Effects

Font styles are predefined formatting options that are used to highlight text. These include: Bold (bold), Italic (italic) and Underline (Underline). To define text effects:

• Highlight the text and click Font Styles displayed on the Font group of the Ribbon, or

• Black out text and right click to display the font tool.

Change the font color

To change the text color:

• Highlight the text and click the Colors button in the Font group on the Ribbon , or

• Highlight the text and right click, then select the colors tool.

• Select colors by clicking on the arrow to the right of the font color button.

Highlight (highlight) text

Highlight the allowed text to emphasize the text as desired. To do this, we do the following:

• Black out the text you want to apply.

• In the Font group on the Ribbon , click the Highlight button or

• Highlight the text and right click, then select the higtlight tool.

• To change the color of highlights, click the arrow to the right of the highlight button and choose the color you prefer.

Copy format

If you have formatted text and you want other parts of the document to have the same format, you can copy the format. To copy the format, do the following:

• Black out previously formatted text.

• Copy the text format by clicking the Format Painter button on the Clipboard group of the Home tab.

• Apply the copied format by blackening the new text and clicking on it.

Delete the format

To delete the text format:

• Select the text you want to delete the format.

• Click on the Styles dialog box on the Styles group of the Home tab.

• Click Clear All .

1. Keep Word 2010 format on:

Step 1:

At the interface on Word click on the File tab , then select the Options section in the left column of the interface that just appears.

Step 2:

The Word Options dialog box appears. Go to the Save settings section and find the Preserve fidelity when sharing this document option . Check the Embed fonts section in the file (embed the font in the document).

Step 3:

Then users will have 2 more options including Embed only characters used in the document (best for reducing file size) and Do not embed common system fonts.

The first option will require Office to only embed the font used in the Word document you want to share. Otherwise, the system will even embed other fonts even when not in use.

This option will reduce the size of the file when ignoring the Windows system fonts that the recipient can install.

Click OK to save the changes.

2. Keep Word 2007 format intact:

Step 1:

For Word 2007 versions, click the Microsoft Office icon and press the Word Options button below.

Step 2:

Then also find the Save settings group in the Word Options interface. Next go to the Preserve fidelity when sharing this document section, then select the Embed fonts item in the file .

This is similar to Word 2010 onwards.

3. Keep the font format Word 2003:

Step 1:

In Word 2003 interface, click on the Tools menu above and then select Word Options .

Step 2:

Switch to the Options interface, click on the Save item and then select the Embed TrueType fonts and click OK to finish.

So you’ve finished embedding the font, keeping Word format unchanged when sharing on different versions of Word. In general, the implementation on Word versions is similar, except for the steps to access Options in each version only.

Many versions of Word allow users to enter text in right-to-left format to accommodate other languages. Most of these change the formatting to left-to-right text direction when users select English for the text language. However, a few versions have bugs in this process and the formatting remains right to left, such as the Arabic versions of Word. If you receive a document originally written in one of these versions, the cursor, text direction, and/or punctuation will behave abnormally.

Here, we describe 1) how to fix this problem in a selected segment of text and 2) how to set all new comments to run in the correct direction. The information in this guide was compiled from instructions for the 2010, 2013, and 2016 versions of Word, so these instructions should be accurate for those versions, but might not work with older versions.

Changing right-to-left to left-to-right formatting

To do this, we will add two buttons to our Quick Toolbar. These will stay in Word as long as it is installed on your computer, so you can use them whenever you encounter this problem.

  1. In the Quick Access Toolbar at the top left of the screen (where the save and undo buttons are), click the arrow at the right side and select “More Commands”.
  2. Under “Choose commands from:” select “All Commands.”
  3. Find “Left-to-Right Text Direction” in the alphabetical list and click “Add>>”.
  4. Find “Ltr Run” and click “Add>>”.
  5. Click “OK” to close the window.
  6. You should now have two new buttons in the Quick Access toolbar at the top left of your screen: the Left-to-Right Text Direction button, which looks like an arrow and a paragraph symbol, and the Ltr Run button, which looks like an open, gray, or green circle depending on your version of Word.
  7. Select the text that needs to be fixed, or select all text in the document by pressing Ctrl-A.
  8. Click both the Left-to-Right Text Direction and Ltr Run buttons (it doesn’t matter which you click first).

Text should now run left to right as we expect in English writing. If the text is suddenly right justified, meaning that it all lines up along the right margin, don’t worry – that means the author of the original document was trying to get around the bug and make the text look normal. Just select the text and click “Left Align” in the “Paragraph” section under the “Home” tab.

Setting comments to default to left-to-right text

If you are providing feedback on this document, you will likely need to add comments to the document. Although the directions above are effective in comments, it can get very annoying to click your two Quick Access buttons every time you need to write a new comment. Luckily, we can set Word to use the correct formatting for all future comments.

  1. If there are no comments, write one and fix it using the directions above.
  2. In a properly formatted comment, click somewhere in the comment text that doesn’t have any special formatting (no italic, bold, superscript, etc.).
  3. Go to “Home” tab and click the tiny arrow in the bottom right corner of the “Styles” section.
  4. Click “Options…”
  5. Change “Select how list is sorted:” to “Alphabetical”.
  6. Change “Select styles to show:” to “All styles.”
  7. Find “Comment Text” in the list and click it if it’s not already selected.
    • If there are no styles in the list and it’s just a blank white box, click the “Style Inspector” button at the bottom (the one in the middle with a magnifying glass), and the first item in the smaller box that pops up should be “Comment Text.” You’ll follow the next steps within that box.
    • If clicking “Comment Text” changes the comment back to right-to-left formatting, select all the text in that comment and click your two new Quick Access buttons again.
  8. Hover your mouse over “Comment Text” and click the drop-down arrow that appears.
  9. Click “Update Comment Text to Match Selection.”
  10. Close all open style boxes.

Try adding new comments; the text should run left to right. This will save a bit of time and a lot of frustration. It will need to be done for each document in which you encounter this issue, but once you’ve done it, that style information should stay with the document even if you send it to someone else.

15 ways to select text in a Word document

There are many ways to select Word text – 15 at least! Susan Harkins shares her favorite selection methods.

Besides entering text, selecting text is probably the most common task for most Word users. Almost every task begins by selecting something. Perhaps that’s why there are so many ways to select text. The following list includes the methods I use. There are more – I left off a few because I’ve listed easier methods. If you have a favorite that I haven’t listed, please share it with us.

Click and drag

Probably the most intuitive and common way to select text is to click and drag the mouse in any direction.

[Shift]+arrow

To move one character or one line at a time, hold down the [Shift] key while pressing the right and left arrow keys and the up and down arrow keys, respectively.

[Shift]+[Home] | [End]

Pressing [Shift] + [Home] selects everything from the insertion point to the left margin in the current line. Similarly, [Shift]+[End] selects everything from the insert point to the last character to the right.

Double-click

To select the current word, double-click it. Word will select to the left and right of the cursor, until it encounters a space character.

Triple-click

A triple-click selects the current paragraph.

Margin+click

To select an entire line, move the cursor into the left margin. When you see the insertion pointer turn into an arrow pointer, click. Doing so will select the current line. You can also press [Home]+[Shift]+[End], but doing so is a bit awkward.

Margin+click and drag

This selection method is similar to the previous one. If you drag while holding down the mouse, Word will select multiple lines, even paragraphs. Word will stop selecting when you stop dragging.

[Ctrl]+a

Pressing [Ctrl]+a selects the entire document.

[Ctrl]+click

To select a sentence (not just a line), hold down [Ctrl] and click any place within the sentence.

Click+[Shift]+click

To select a block of text, click at one end of the block. Then, hold down the [Shift] key and click a second time at the opposite end of the block.

[Alt]+drag

This combination selects a vertical block. While holding down [Alt], click and drag up or down. (You must press [Alt] first.)

Selection+[Ctrl]+selection

To select two noncontiguous blocks of text, select the first bit of text. Then, hold down [Ctrl] while you select the next, and the next, and the next – use it to select two or several non-contiguous areas. (I probably use this one more than any other besides click and drag – it’s great for applying the same format to several spots.)

[Ctrl]+[Shift]+[Right arrow] | [Left arrow]

Use this combination to select from the current position to the right or left of the current word, depending on whether you press the right or left arrow, respectively.

[Ctrl]+[Shift]+[Up arrow] | [Down arrow]

This combination selects from the current position to the beginning or ending of the current paragraph, depending on whether you press the up or down arrow, respectively.

[Alt]+[Ctrl]+[Shift]+[Page Up] | [Page Down]

This is another awkward keystroke combination that selects from the current insertion point to the beginning or the ending of the current window (what you see on the screen), respectively. This one’s awkward enough that I’d probably use a quick click and drag instead.
