Read receipts are something that many email providers will let you include when you send an email to someone. If the receiver chooses to send a read receipt, then the sender will know that the person has read the email. Some people like to use this if they send an important email and want to confirm that it was read, while others will use them for every email that they send.

Many people don’t like read receipts, as they don’t feel it’s the business of the sender to know whether or not you have read the email. Outlook.com’s default setting will prompt you to send a read receipt if you have received one, and you can choose to do so if you like. But if you would prefer not to send read receipts at any time, then our tutorial below will show you how to turn off read receipts in Outlook.com.

About Receipts for Outlook.com and Outlook on the Web

Outlook.com is the free webmail version of the Microsoft Outlook email client. There’s no option to request a read receipt, either by default or individually, in a regular Outlook.com account or Outlook on the web via a personal Microsoft 365 account.

You can, however, request read receipts if you have an Exchange server account as part of your Microsoft 365 setup when accessing Outlook on the web. Here’s how:

The terms Outlook.com and Outlook on the web can be confusing. Outlook.com is a free webmail client, while Outlook on the web is the version of Outlook you use when you have a Microsoft 365 account and access Outlook from a web browser.

In a new message, select Menu (three dots) from the message-compose pane.

Select Show message options.

Select Request a read receipt, and then send your message.

Have you ever wondered if an email that you have sent has been delivered to the recipient’s mailbox, or even if they have opened it and read it?

Well, it is quite simple to set Outlook to get a Delivery Receipt or a Read Receipt . All we have to do is to follow the steps described below.

First of all we must create a New Email . All we have to do from the Outlook window and on the Home tab is to select the New Email button which is located at the area named New from the right area of the ribbon.

How to request a delivery/read receipt in outlook 2013

After we compose our message, and set the recipients for the message to be delivered we then select the Options tab and then from the area of the ribbon named Tracking we notice the following two commands:

How to request a delivery/read receipt in outlook 2013

All we have to do is to activate the check boxes which are located at the left of each command as we can see below. That is it, if we send the message we will be notified if it was delivered, and we will be notified if it was read; In both cases we will receive a message in our inbox.

At the bottom right corner of the Tracking area of the ribbon we can select the small arrow in order for the Properties window to appear.

How to request a delivery/read receipt in outlook 2013

Once selected the Properties window appears where we also have the Voting And Tracking Options area, as shown in the image below. In this area we notice the same commands as described above:

The check boxes at the left of the commands are activated, once we had activated them before.

Once finished we just press the Close button which is located at the bottom right corner of the Properties window.

How to request a delivery/read receipt in outlook 2013

Once the message is delivered to the recipient’s mailbox, we receive a message notifying us that the message was delivered as shown in the image below.

Once the message is read, we receive a message in our Inbox notifying us that the message was read as shown in the image below.

When we ask for a Read Receipt from the recipient of the message, it is in his judgment to agree to send it or not.

If we want to adjust Outlook to always ask for a Delivery Receipt or a Read Receipt , without us following the procedure above every time we have to follow the below steps:

We select the File tab in order for us to move to backstage view and from the drop down menu that appears we select the category Options from the right. Once the Outlook Options dialog box appears we select the Mail category from the left and then we navigate in order to locate the Tracking category from the right. Then we activate the check boxes that are located at the left of the following commands:

How to request a delivery/read receipt in outlook 2013

Once activated we press the OK button in order to return in Outlook . From now on a Delivery Receipt and Read Receipt will be delivered to us without us needing to do it over and over again for each message.

In my next post I will mention about Voting Options in Outlook .

Below you can check out the video describing the Delivery and Read Receipt in Outlook .

I know that I can set the option to request for a Read Receipt for all messages or to set it on a per-message basis. However, I only want to set it when sending to certain people.

For instance, I only want to request a Read Receipt when sending to my boss, the HR department and some project managers.

Is there a way to have Outlook automatically ask for a Read Receipt if an email is sent to a specific email address rather than needing to set this manually?

There is no direct setting for this in the Read Request options but you can still achieve this by creating an outgoing message rule.

  1. Open the Rules Wizard:
    • Outlook 2007 and previous
      Tools-> Rules and Alerts…
    • Outlook 2010 and Outlook 2013
      File-> Manage Rules & Alerts
  2. Click on: New Rule…
  3. In the section “Start from a blank rule” choose:
    • Outlook 2007 and previous
      Check messages after sending
    • Outlook 2010 and Outlook 2013
Apply rule on messages I send
  4. In the next screen select the following condition:
    • Outlook 2007 and previous
sent to people or distribution list
    • Outlook 2010 and Outlook 2013
sent to people or public group
  5. In the bottom screen, click “people or distribution list” or “people or public group” to select the contacts or address(es) from your Address Book.
  6. Click Next to go to the Actions screen.
  7. Here select: notify me when it is read.
  8. Click Next to advance to the next screen to set any exceptions when needed.
  9. Once you’ve done that (or don’t need that), click Next to give the rule a name. For Instance: Request Read Receipt.
  10. Click Finish and then OK to close the open windows.

How to request a delivery/read receipt in outlook 2013
Setting a selective automatic Read Receipt request can be done via a message rule.

Read receipts are an interesting feature in mail programs, but it is a feature that is not standardized. Many popular email clients block them, and a lot of the email programs that exist for Mac OS X don’t include them at all, or are complicated to implement. But they do have their uses, so some people still choose to include them with messages that they send from their computer. However, that does not mean that you need to comply with their request. A read receipt is just that – a request from the sender to notify them when you have opened their message. If you are becoming annoyed with receiving these read receipts in Outlook 2013 and no longer want to send read receipts or even be notified that they have been requested, you can turn off read receipts in Outlook 2013.

How to Disable Outlook 2013 Read Receipts

Whatever your feelings about read receipts might be, there are still people that will insist on using them. There are certain fields and individuals where a read receipt can actually be important and useful, but many people that use them are simply trying to find out that you have opened an email that they sent to you, and it is no more important than a billion other emails that are sent every day without read receipts. So continue reading below to learn the necessary steps for stopping read receipt requests in Outlook 2013.

When you’re done, check out this guide on creating Outlook distribution lists.

Microsoft Outlook offers a mail tracking system that helps users track sent mail to see if it has reached the end-user or not. This form of tracking documentation is called delivery receipts, and they are used to verify that your email message was sent to the recipient’s inbox, but it does not imply that the recipient has seen or read it. Microsoft Outlook will state that the message was opened, as evidenced by a read receipt displayed to you. The message receiver in Outlook has the option to opt-out of receiving read receipts. Read receipts are also not delivered in other cases, such as when the recipient’s email software does not support them. A receiver cannot be forced to send a read receipt. So how do you add a read receipt? Follow the steps below to see exactly how.

Step by step process: How to add a read receipt in Outlook?

  • Firstly, sign into Outlook.
  • Now go to “File”.
  • From there go to “Options”.
  • You now need to go to “Mail”.
  • Under “Tracking”, select “Read receipt confirming the recipient viewed the message” check box.
  • Click OK to apply your changes.

A delivery receipt verifies that your email message was sent to the recipient’s inbox, but it does not imply that the recipient has seen or read it. Your message was opened, as evidenced by a read receipt.

The message receiver in Microsoft Outlook can opt out of receiving read receipts. Read receipts are also not delivered in other cases, such as when the recipient’s email software does not support them.

Mail Delivery reports:

For e-mail communications you send to other individuals, Outlook allows you to request delivery and read receipts. Microsoft Outlook 2010 and subsequent versions of Outlook allow you to select how you wish to respond to read receipt requests that are delivered to you with e-mail communications.

Step by step: Enable mail delivery reports:

  • To enable a delivery report for a single email, go to the settings tab and tick the box next to “Request a Delivery Report” under tracking. Your email will now include a delivery report option.
  • To see the delivery reports, open the email message from your sent items folder, click the file tab, and then pick Info from the drop-down menu. The ability to open a delivery report may be found under Info.
  • When you access the delivery report, it will provide information on the message delivery.

Get mail confirmation:

A delivery receipt verifies that your email message was sent to the recipient’s inbox, but it does not imply that the recipient has seen or read it. Your message was opened, as evidenced by a read receipt.

The message receiver in Microsoft Outlook can opt out of receiving read receipts. Read receipts are also not delivered in other cases, such as when the recipient’s email software does not support them.

Get Mail tracking in Outlook:

As well as adding a read receipt to confirm emails being received by the recipient you can also set up tracking to ensure the user displayed as the recipient has actually viewed the sent email. Follow the instructions below to see how you can set up email tracking.

Consider monitoring just important communications rather than all messages as a best practice. Recipients who are notified only infrequently that a read receipt is required on your message are more likely to send one than those who are alerted every time they get a message from you.

Step by step: How to set up mail tracking

  • Select File from the drop-down menu.
  • Select Options from the dropdown menu.
  • Select Mail.
  • Select the Delivery receipt proving the message was sent to the recipient’s email server or the Delivery confirmation certifying the message was delivered to the recipient’s email server under Tracking. Check the box to ensure the recipient saw the message on the read receipt.

Track only one mail:

Select the Request a Delivery Receipt or Request a Read Receipt check box on the message’s Options tab, Tracking group.

Response receipt tracking:

  • Open the original message you sent with a delivery or read receipt request. The Sent Items folder is generally where you’ll see this message.
  • Click Tracking in the Show group on the Message tab.

The tracking feature isn’t available until at least one receipt has been received. It may take several minutes for the Tracking button to appear once you receive the first receipt in your Inbox.

In depth step by step process: How to disable the auto-complete feature in Outlook?

Step by step breakdown:

  • First, sign into Outlook.

You will need to sign in with the application version as this process will only work on the application version of Outlook.

  • Go to “file” in the toolbar at the top.

As mentioned above the file option and the application version are the only ways to edit the add-ins as the web version does not directly sync add-in data with your desktop as there is no connected output, unlike the application version.

  • From there visit “options”.

You have to add ‘Disposition-Notification-To’ header

from email.MIMEText import MIMEText

me = ‘r*******@example.com’
msg[‘From’] = me
msg[‘To’] = ‘w******@example.com’

I’m not sure if there IS a single method yet. Eudora has/had secret
ini parameters for “old style return receipt”; Outlook/Exchange have
both “when delivered” and “when read” receipts.

Request a Return Receipt

(Sponsored and Paid modes only)
You can request that your recipients notify you when they have seen your
message. To do this, click the Return Receipt button in the message
toolbar.
When your recipients open the message and then close it, a dialog box
appears asking them to create a notification message now, later, or
never (if you send yourself a copy of the message, you will see the
notification request). If a recipient chooses to create a notification
message, it is sent to you and tells you when the recipient displayed
your message.

If you receive a request for notification, click Now to queue the
notification message in your Out mailbox: it will be sent the next time
queued messages are sent. Click Later to close the message without
sending a notification or click Cancel to dismiss the notification
request from the screen while the return receipt message is open;
however, each time you open the message and then close it (or if you try
to delete it), the notification request will appear until you click
either Now or Never. Click Never to cancel the notification request
without ever sending a notification message.

The Return Receipt options may work differently than described,
depending on your recipients’ email software.
Return Receipt

If this is on, your recipients receive a request to notify you that they
received the message.
This function does not work in all cases, depending on the email
application your recipients are using.

Applies to: Outlook 2016 (Mac)

The latest builds available to Office 2016 for Mac subscribers (version 15.35 (170610) and later) include a frequently requested feature: Read & Delivery Receipts. However, it is only supported in Exchange accounts. This includes Office 365, Outlook.com, and on-prem Microsoft Exchange Server 2010 SP2 and later.

Read and Delivery receipts are not available with POP3 or IMAP accounts.

The option to request read and/or delivery receipts is on the compose mail Options ribbon and Draft menu.

How to request a delivery/read receipt in outlook 2013

How to request a delivery/read receipt in outlook 2013

If you are not familiar with receipts (because Outlook for Mac did not support it), receipts are notification that the message was received or read.

  • Delivery receipt: send a notification mail when the email has been delivered to the mailbox.
  • Read receipt: send a notification mail when email has been opened by the recipient

Not all email clients can return read receipts and recipients usually have the option to not return one. Neither receipt option will guarantee you that the message was placed in the Inbox or read. The read receipt only tells you that the recipient marked the message read. If the recipient reads it using a client that does not support receipts or has an option to not return receipts, you won’t get one back. A ‘deleted unread’ receipt tells you that the recipient deleted a copy of the message without marking it Read, it does not guarantee they didn’t read it without marking it read.

Delivery receipts, if supported, will tell you the message made it to the recipient’s mailbox.

If the server doesn’t support returning receipts, Office 365 generates a message that the message was handed off to the server and Office 365 doesn’t know what happened to it.

If the recipient uses an email client that supports responding to read receipts, you should receive notification when the message is read or deleted unread, provided it’s not filtered out by antispam software.

How to manage read receipt requests in Outlook Web Access or Outlook Web App (OWA) using Message Tracking?

Message Tracking Options

Message Tracking Options allow you to control how Outlook Web Access reacts to e-mail messages that you receive for which the sender has requested a read receipt. Read Receipt is a message which a sender receives once you have read the message. The following three options are available for message tracking.

1. Click on Options.

2. Select Messaging.

Ask me before sending a response: This option gets Outlook Web Access to prompt you before sending a read receipt e-mail message to the sender. By default, a message appears in the infobar that states that the sender has requested a read recipient. This is the default setting.

Always send a response: This option allows Outlook Web Access to automatically send a read receipt response to the sender whenever one is requested.

Never send a response: This option prevent Outlook Web Access from sending a read receipt response to a sender who has requested a receipt for their e-mail message.

Read receipts send you (the sender) a notification when someone first opens your message. Delivery receipts, send the same notification when it reaches their email server (but hasn’t been read). Outlook allows you to enable both, should you need to keep tight tabs on a specific email or enable one or both features globally.

Fair warning, the receipts tend to get annoying so it’s probably best to use just the single message version (starting on Step 4).

Enable Receipts for All Emails You Send

1. Click Options under the File tab.

2. Find the Mail category and scroll down to Tracking.

3. Check both the Delivery receipt and Read receipt or either of the above and click OK.

Alternatively, you can select either of the two options for individual messages so you don’t annoy yourself and others over even the most minor missives.

Enable Receipts for Single Messages

1. Open a new email and click the Options tab.

2. Check either of the two boxes, or both to receive a notification once it reaches the server, or the other party has opened it.

3. Send the message as usual.

It’s important to note that not all servers will comply with the request to send a read/delivery receipt. It’s not foolproof, but it’s a handy tool when it works. When it’s successful, however, you’ll get an audible tone and a pop-up with a message that says it’s successful.

The following c# example codes demonstrate how to request read receipt and delivery receipt.

Read Receipt

Some e-mail applications, such as Microsoft Office Outlook, employ a read-receipt tracking mechanism. A sender selects the receipt request option prior to sending the message. Upon opening the email, each recipient has the option of notifying the sender that the message was opened and read.

However, there is no guarantee that you will get a read-receipt. Some possible reason are that very few e-mail applications or services support read receipts, or simply because users disable the functionality. Those do support read-receipt aren’t necessarily compatible with or capable of recognizing requests from a different e-mail service or application

Delivery Receipt and Failure Report (NDS)

It is also called a DSN (delivery service notification), which is a request to the recipient’s email server to send you a notification about the delivery of an email you’ve just sent. The notification takes the form of an email, and will tell you if your delivery succeeded (Delivery Receipt), failed, got delayed (Failure Report – NDS).

Microsoft Outlook allows you to assign two email tracking options within an email message. The options include a delivery receipt and/or a read receipt. It is useful to know the difference between these two options and any limitations in how they work. Once you know the specifics you can select the option which best suits your needs.

  • Delivery Receipts provide a response when an email message has been delivered to the recipient’s email server. It is important to be aware that not all email servers are compatible with this function. A delivery receipt does not mean that the recipient has actually read your email message.
  • Read Receipt provides a response when an email message has been opened and/or viewed. It is important to be aware that recipients can choose to not send a receipt in response to your request, so even if you do not receive a receipt, this does not mean your email has not been viewed.

Email, along with other areas of IT has moved along by leaps and bounds in the past few decades and as such so has email infrastructure. Although Delivery Receipts are available within Microsoft Outlook it is important to understand that many email servers are now configured NOT to send back delivery receipts. Generally, I will gauge whether an email has reached the recipient’s email server based on the lack of an undeliverable email message being received. If I don’t receive an undeliverable or bounce error, I can generally assume that the email has been delivered.

To track or not to track

It is possible to enable email tracking on all outgoing email messages; however, I have found that this can present two main disadvantages:

  1. One is the increase in time required to manage email messages. For users with low email usage, this is not a problem, however, if you are sending 50+ emails a day and you enable tracking on all emails, you are essentially adding an additional 50+ incoming email to your inbox in the form of a delivery or read receipt.
  2. The second disadvantage is that read receipts can be found by some users to be an annoyance. Depending on the setting your recipients have for dealing with a read-receipt request, it may give them cause to simply turn off the function and not participate in any future requests.

This feature is available across all the recent versions of Outlook including Outlook 365, Outlook 2019, Outlook 2016, Outlook 2013 and later.

Enable Email Tracking

If you wish to enable tracking on all your outgoing email, follow these steps:

  1. Open Microsoft Outlook (I’m using Outlook 2016)
  2. Select File >Options
  3. Click the Mail category from the left-hand sidebar
  4. Scroll down the window till you find the Tracking heading:
  1. Tick the option for Delivery receipt confirming the message was delivered to the recipient’s email server and/or Read receipt confirming the recipient viewed the message
  2. Click OK
  3. The tracking option will now be applied to all new email messages

Track individual email messages

If you wish to enable email tracking on an individual email message, follow these steps:

  1. Create a new blank email message (Shortcut key Ctrl + N)
  1. Select the Options tab from the Ribbon
  2. Now select the checkbox within the Tracking group you wish to use: Request a Delivery Receipt and/or Request a Read Receipt
  1. Complete the rest of your email as normal and send the email

Read Receipt

A copy of the read receipt is received once the recipient opens the email message to view it. Remember to keep in mind that recipients can choose not to send a read receipt. If the email is not opened and simply deleted, you will receive a Not Read message.

  1. When the recipient receives your email and opens it, they will receive a notification as shown below when opening the email:
  1. If the recipient selects Yes, you will then receive a reply such as below:

That’s it for email tracking within Outlook. Be sure to check out other great posts relating to Microsft Outlook here.

  • You can request a read receipt in Outlook , which informs you when a recipient opens an email you have sent.
  • Read receipts are not always reliable, because not all email programs and services support them. Also, the recipient can decline to send the read receipt.
  • You can send a read receipt using the Options ribbon in an email message or turn on read receipts for all messages using Outlook’s Options settings.

When you send someone an email, you don’t know when it gets read. So if you don’t get a reply, it’s hard to tell if it was ever read at all.

Outlook offers a “read receipt” tool to help you know when the recipient has opened your email. A read receipt is a brief automated reply that confirms for you that an email has been opened.

How to request a read receipt in Outlook 1: There is also an option to request a delivery receipt, but that feature generally only works if you are using a Microsoft Exchange email account.

You can opt to request it with a single email, or if you want to use it all the time, you can force all outgoing emails to request a read receipt, so you don’t need to do it by hand each time.

While handy, it’s far from foolproof. The recipient has the option to refuse to send the read receipt, and some email programs disregard read receipts entirely. Nonetheless, if you want to send an email with a read receipt, here are two ways to do it.

How to request a read receipt in Outlook for a single email

1. Launch Outlook and draft a new email message.

2. Before you send the email, click “Options” at the top of the message window.

3. Click the checkbox for “Request a Read Receipt.”

4. Send the message. You will receive an automated email reply.

How to request a delivery/read receipt in outlook 2013

You can request delivery and read receipts when you send a message. Whatever your reason for wanting to do so, adding a request is easy to do.

If you’d prefer to see instructions in an article, see Be notified when others receive or open an email message.

Read and delivery receipts: How they work

Before you send a message, click the Options tab. Then, click Request a Delivery Receipt or Request a Read Receipt. When you send the message, it’s routed to the recipient’s email server, which delivers it to his inbox. And the server sends the delivery receipt you requested. Note that the server, not the recipient, is shown as the sender of the delivery receipt.

When the recipient double-clicks the email to open it, he can choose to send you a read receipt or choose not to.

Change what happens when you receive a read receipt request

When you receive a message with a read receipt request, that means the sender wants to get confirmation that you received the message. Read receipts can be automatically returned or not, or you can choose what to do for each read receipt request.

Click the File tab.

Under Tracking, under For any message received that includes a read receipt request , click one of the following options:

Always send a read receipt

Never send a read receipt

Ask each time whether to send a read receipt

In Outlook 2013, you can request delivery and read receipts when you send a message.

Why would you want to do that?

Well, maybe you’re sending a very important message, and you want to make sure the recipients get it and open it.

Or maybe the message isn’t that important, but you’re not sure about the email address or if the recipients check their email.

Or maybe you’re not expecting a reply, but you’d just like to know the message got through.

Whatever the case, adding a request is easy to do. Before you send a message, click the Options tab.

Then, click Request a Delivery Receipt or Request a Read Receipt. We’ll select both and see what happens

When we send the message, it’s routed to the recipient’s email server, which delivers it to his inbox.

At that point, the server sends the delivery receipt we requested, which looks like this.

In this case, the server reports that the delivery was successful.

Note that the server, not the recipient, is shown as the sender of the delivery receipt.

You’ll also get a receipt if the server could not deliver the message.

Now when the recipient double-clicks the email to open it, he gets this message.

He can choose to send you a read receipt or choose not to. He can also select this check box.

If he does, the message won’t appear again and whichever choice he makes now will apply to all future read requests.

If he chooses yes, you receive a message that looks like this.

Note that a read receipt is sent from the recipient.

Also, keep in mind that a read receipt means only that the recipient opened the message; it doesn’t mean he actually read it.

Outlook keeps track of your delivery and read receipts.

To view that information, open your sent items, and double-click a message.

Then, click Tracking. And you can see when the receipts arrived in your inbox, and the recipient names.

This is especially useful if the email was sent to multiple recipients.

So, delivery and read receipts are a good way to know for sure if your email was delivered and opened.

But what does it mean when you don’t get a receipt? Up next, we’ll look into that.

The following vb6 example codes demonstrate how to request read receipt and delivery receipt.

Is there any way for me to check if the email that I’ve sent has been opened? Outlook has a feature called Read Receipts which you can use for this but unfortunately it is not very reliable.

Here’s a short post on what they are, how you can use them, and why you shouldn’t rely on them too much.

What are Read Receipts?

When you write an email in Outlook, you can tick a check box labelled Request a Read Receipt. Now when the recipient opens your email, his email program may automatically send you an email notifying you that your email has been read.

How do you use Read Receipts?

  • Create a new email.
  • If you are using Outlook 2010 or 2007, click Options on the menu and tick Request a Read Receipt.
  • If you are using Outlook 2003 or earlier, click the Options… button on the toolbar and tick Request a Read Receipt on the screen that appears

Why is this not always reliable?

You may not get a read receipt even if the user has read your email.

1. Not all Email programs support Read Receipts. You may only get a response if the users email program supports them.
2. The user has the option of sending the email receipt. In Outlook the default setting asks the user if he wants to send a Read Receipt each time one needs to be sent out. The user also has the option of turning Read Receipts off and never sending out any read receipts.

You may get a read receipt even if the user has NOT read your email.

1. When a user empties his Junk Emails folder in Outlook (and assuming that the Read Receipt settings are turned on), Outlook may still send out Read Receipts… even though the user has not read your email!

What should I do to find out if recipients have read my emails?

Despite the shortcomings, I still think that Read Receipts are well worth using. They may not work 100% but they do work a good percentage of the time.

I also like to add a short line like the following to my emails if I need stronger assurance.

Please let me know by replying to this email if you have received this

Do you use Read Receipts?
Do you have your own techniques for tracking if users have opened your email?

11 February 2022

Email Read Receipts sound great but don’t often work these days. Articles like “How to tell if someone opened and read your email” aren’t telling the whole story. Here’s the reality behind the Outlook ‘Read Receipt’ feature and how it works across the Internet.

The idea is to send an email with a ‘Read Receipt’ and get a message back when the email is read. Nice theory but it’s complicated out here in the real world.

Outlook for Windows, and now Mac, have a ‘Read Receipt’ option on the Options tab.

Turn that option on to add a Read Receipt request to your email.

Read Receipt Optional

Read Receipts usually don’t work! It’s the dirty little secret that you won’t see mentioned when boasting about this feature. The Read Receipt is optional for the receiver, most people and organizations turn the read response OFF.

Read Receipts are considered an intrusion on the readers privacy, so the automatic response is turned off. We’ll show you how to do that here.

Read Receipts don’t mean the email is really read

Even if you get back a ‘Read Receipt’ that doesn’t mean the receiver actually read and understood your email.

Read Receipt only means the message status change from ‘Unread’ to ‘Read’. That can happen automatically or simply by clicking on the email.

Response depends on the email software

Some email software, especially web based email clients, don’t have any Read Receipt options.

Outlook.com free account web interface do NOT have an option to request Read Receipts with outgoing messages. However, you can control how to respond to Read Receipt requests on incoming message from Settings | Mail | Automatic Processing | Message Options.

Gmail free accounts used from a web browser don’t have any Read Receipt options to request or respond. Gmail paid accounts (GSuite) do have Read Receipt choices.

You can get Read Receipt options for any mail account. Use Outlook software connected to a Gmail, Outlook.com or any other mail account, then Outlook can send a read receipt if you choose.

What Read Receipt really means

Not a lot. We occasionally use it for important messages or complaint emails but don’t expect it to matter.

You can send Read Receipts with some messages, or all messages, but don’t expect to get one back.

How a Read Receipt works

The Read Receipt is a line added to the message header like this

Disposition-Notification-To: Name of Sender

The receiving email system responds (or not) to that line.

What a Read Receipt looks like

A Read Receipt response is a plain text return email with the original subject prefixed with Read:

How to request a delivery/read receipt in outlook 2013

The message body usually has the date, time and time zone settings of the computer where the message was read. But the content can vary.

The subject prefix lets Outlook combine the read receipt with other messages in the same thread/conversation.

Back in the day when I was a young and naive pup, I didn’t pay much attention to how my email was set up. I’d sometimes be surprised by a little pop-up that accompanied an email I’d just opened in Microsoft Outlook, asking me to please confirm receiving and reading that email: aka a “read receipt.”

I may have been naive in those days, but I was also (and still am) private and paranoid. My reflexive privacy twitch always caused my finger to click “no” every time that box appeared. (“No, you can’t know that I received and read your email — that’s my business, not yours.”) Eventually, I began poking around for a way to turn off those occasional, annoying pop-ups. It wasn’t long before I found it and silenced them permanently — telling Outlook never to send a receipt, no matter how nicely the sender asked.

No annoying pop-up — no receipt — happy me.

Why tell you this? Because it seems that a number of emailers still send read receipt requests (though, really, I wouldn’t know …). Apparently, they don’t realize that getting the acknowledgment they’re looking for requires actual cooperation on the part of the recipient. Well, just because you’ve asked doesn’t mean you’ll receive. Like me, your email recipient may have turned off the ability to respond to read requests, or they may just choose “no” on a one-off basis (if they don’t mind annoying pop-ups). Or they may be using email software so old and decrepit that it’s incapable of sending a read receipt.

You can’t force a response if they are determined not to respond unless you employ third-party software add-ons.

If you’re an Outlook user and find, like me, that you don’t want to be bothered by read receipt requests, here’s how to control them.

Controlling Outlook Read Receipts

The steps below are for Outlook 2010. If you have a different version, just get to your Outlook “Options” however you can and follow from there. If you use a different email package, poke around in your options menus until you find something resembling the instructions below.

To set your read receipts preference in Outlook:

  1. Click the File tab.
  2. Click Options.
  3. Click Mail.
  4. Scroll down to the Tracking section and click one of the following options under “for any message received that includes a read-receipt request,” then click OK to set your choice.
    • Always send a read receipt. (This means if the sender asks, you won’t see the pop-up, but senders will receive a confirmation that you received and read their email if they asked for it.)
    • Never send a read receipt. (My choice.)
    • Ask each time whether to send a read receipt. (This is the default setting, meaning you see the pop-up if the sender requests a read receipt, but you also retain control over your response.)

Now you know, when it comes to email, absence of acknowledgment is not evidence that the email was undelivered or unread.

When You Really, Really Need Confirmation

If you really need to know that an email was received and read, you must, in the absence of a reply, find an alternative way to confirm it. You could pick up the phone and ask, or request confirmation right within the email itself. Or, you might try a registered email service such a ReadNotify or RPost (which comes with the added benefit of encryption).

Do you have a favorite method of confirmation? Please drop any recommendations in the comments box below.

Many of us are still using POP3 clients for specific reason as it is easier in Exchange 2013. But most of us face the duplicate read receipt mails in Exchange 2013 with Outlook 2007/2010/2013 clients.

Consider the following scenario:

  • You receive an email message in a Microsoft Exchange Server 2013 Service Pack 1 (SP1) or a later version environment.
  • The sender requests a read receipt.
  • Sender uses POP3 account in his Outlook 2010/2013
  • You move this email message to a personal folder file (.pst) or you move the message to another folder in the mailbox
  • You have settings Leave a copy of message on the server and delete after n number of days or Leave a copy of message is unchecked which move all messages from this folder to the Personal Folder file (.pst)
  • In the .pst file, you permanently delete a moved message by pressing SHIFT + DEL. This message included a read receipt request.

In the above scenario, an unread report message is sent unexpectedly to the sender who requested the read receipt for the deleted message, even if the recipient has configured Outlook to not respond the read recipient. The non-read report message resembles the following:

Initially we had problem with the read receipt which comes twice like below.

and after user reads the message and acknowledges you will this read receipt.

To suppress the POP3 /IMAP alerts I tried to use following commands.

I tried to suppress the alert using a PowerShell command which didn’t help. Instead of suppressing we got a replacement of second read receipt with the below as the users were downloading the mails from the mailbox and it empties the mailbox.

We tried with Rules to block the delivery receipts with subject and body words; that didn’t help as it is an internal mail acknowledgement that starts from the mailbox.

We tried also fixing individual mailbox level and that too didn’t resolve the problem.

Here are the steps we took to fix the issue.

When I analyzed the header of both the mail read receipt and the deleted mail without been read receipt, I found a piece of information called Report-type=disposition-no tification in the email header of each Read/Delivery receipt. So I created rule with two conditions as follows.

How to request a delivery/read receipt in outlook 2013The subject / body matches the Not Read: ‘or’ was deleted without being read and the message type is Read Receipt. I set the action to Delete the message without notifying anyone only if the conditions match.

Conclusion: This above rule solved as a workaround, many of us come around this kind of issue. This might help!

Seeing messages being sent or are you getting sending errors without something in the Outbox?
This could be a stuck Read Receipt.

As they are invisible in your Outbox, it is kinda tricky to delete them. You can still do this via one of the following advanced (free) support tools from Microsoft: MFCMAPI or MDBVU32.

Important!
Before doing anything, make sure you have a current backup of your mailbox (just in case).

Deleting Read Receipts via MFCMAPI

MFCMAPI is actually a tool for Outlook MAPI developers but as it provides “low-level” access to Outlook’s data stores, it is also a handy tool for some advanced troubleshooting.

However, make sure you follow the instructions below very closely to prevent making any irreparable mistakes.

  1. Visit the MFCMAPI page on GitHub to download the latest version of MFCMAPI.
    • When you use a 32-bit version of Outlook, you’ll need the file starting with;
      MFCMAPI.exe
    • When you use a 64-bit version of Outlook, you’ll need the file starting with;
      MFCMAPI.exe.x64
  2. Extract the downloaded file and run mfcmapi.exe from within the extracted folder.
  3. Press OK on the first screen which displays some usage notes.

Choose: Session-> Logon…

Select your Outlook mail profile or simply press OK if you are not familiar with this dialog.

    Deleting Read Receipts via MDBVU32

The MDBVU32 support tool can be seen as the “grandfather” of MFCMAPI.

Even though it is recommended to use MFCMAPI instead, the instructions below can still be used for any 32-bit version of Outlook but are really only being maintained in case MFCMAPI at some point drops supports for Outlook 2003 or older.

    1. Download MDBVU32.EXE from Microsoft.
    2. Extract the downloaded file and run mdbvu32.exe from within the extracted folder.
    3. Press OK on the first screen.
    4. Select MDB-> Open Message Store and select your default pst-file (the one with the D in front of it) and press Open.
