How to set up microsoft teams

If you’re rolling out Microsoft Teams quickly in response to an increased demand to support remote work, use this Get started guidance to roll out Teams to your entire organization. This guidance applies, even when Teams is your first Microsoft 365 or Office 365 workload.

To get started quickly on Teams, we recommend you create two or three teams and channels for a select group of early adopters. By first rolling out Teams on a small scale, you’ll learn Teams by using Teams and gain valuable insights to inform how you deploy Teams across your whole organization. If you’re a small business, this Quick start guide is all you need to roll out Teams to your whole organization.

Teams lets you quickly pull together a team with people inside and outside your organization, chat with others to drive fast and inclusive conversations, securely share and coauthor documents, and iterate on projects. Customize Teams by adding fingertip access to shared notes, webpages, and apps. Use meetings and calling to collaborate in real time from wherever users are. Teams will simplify your access to Microsoft 365 or Office 365 services and third-party apps to be the new center of gravity for your collaboration and communication needs. Encourage your early adopters to install both the desktop and mobile applications for the best experience and most accurate feedback.

Here’s how to roll out your first set of teams and channels so your early adopters can start chatting, sharing files, and collaborating.

If you’re a large organization, have a hybrid or on-premises Skype for Business configuration, have strict regulatory or compliance requirements, or if you want to roll out meetings or voice features (such as calling plans or phone system), start by reading How to roll out Teams. Before you get started

To get ready for your Teams rollout, here’s what you need to do, whether Teams is your first workload (“Teams First”) or the next workload in an existing Microsoft 365 or Office 365 deployment:

  • This includes configuring your Microsoft 365 or Office 365 domain, SharePoint Online, Exchange Online, and OneDrive for Business.

Starting from on-premises Skype for Business or Lync Server

If your organization is running on-premises Skype for Business Server (or Lync Server), you must Configure Azure AD Connect to synchronize your on-premises directory with Microsoft 365 or Office 365.

Microsoft Teams lets you create, schedule, and host secure meetings with a few of your clients or hundreds of employees. Quickly invite only the relevant people, or gather the entire channel into public or private sessions.

How to Create a Meeting in Microsoft Teams

If you have the full version of Teams through a paid subscription, you can instantly create a meeting from the Calendar tab of the Teams desktop client or the Teams web app. Navigate to the Calendar tab on the left side, and press the “Meet Now” button.

Name your meeting anything you wish. Use the toggles next to the video and audio icons to activate or disable those devices as desired.

If you want to change your device settings or make a test call before you start the meeting, select “Custom Setup.” Under “Other Join Options,” you can start the meeting with audio off or use a phone number so guests can dial into your meeting. When you’re ready to go, hit “Join Now.”

Once the meeting starts, you can immediately start inviting people in your organization by typing their name into the “Invite Someone” field in the top right. While you have to have a paid license for Teams to set up a meeting, you can send an invitation to anyone whether or not they have a subscription or are inside your organization.

To invite people outside your organization, click the “Links” icon next to the “Invite Someone” field, which resembles two interlocking links, to copy an invite to your clipboard. This link isn’t a user-friendly URL; instead, it’s a badly encoded rich-text hyperlink. This means that you can paste it into a rich-text environment like an email but not a simplified text format, such as SMS text messages.

The floating menu bar at the bottom gives you quick access to various information panels and controls. From left to right, you can view the current duration of the meeting, toggle your camera, toggle your microphone, share your screen or various apps, access more controls like recording and device settings, raise your hand, view the text chat for the meeting, show participants, and end the call.

While you can schedule meetings in the Teams mobile app, this “Meet Now” feature is not currently available on either the Android or Apple versions of the app. Fortunately, you can still use Teams to make audio and video calls with anyone inside your organization. To make a call in Teams, navigate to the Home page of the Teams mobile app and select More > Calls > Make A Call, enter the name of your contact, and select either the “Video” or “Audio Call” option .

How to Schedule a Meeting in Microsoft Teams on Desktop

You can schedule meetings from several places in the Teams desktop client or the Teams web app, but only if you have the paid version of Teams. The easiest way to see if your colleagues are available is to use the Calendar feature on the left side of your desktop app. If you’re creating a meeting with folks who have hectic schedules, navigate to the Calendar tab on the left side. This tab will not appear if you’re using the free version. Click the “New Meeting” button, and the New Meeting form will appear.

Alternatively, you can click on any open space in your calendar and open this same New Meeting form. While the form normally sets the proposed meeting time to the next upcoming half hour by default, using this method will automatically set the time and date based on where in the calendar you clicked.

Lastly, if you want to set up a meeting with one or more people grouped into a chat, open the “Chat” tab on the left side. Click the “Schedule A Meeting” button to bring up a New Meeting form with everyone in this chat automatically added to the invitation.

However you navigated to the New Meeting form, you can now fill out the rest of the details. Give your meeting a title, add the required or optional attendees, set the time and date, choose if and how often you wish the meeting to repeat, specify a Teams channel or physical location, and finally add any additional details regarding the meeting to the text box at the bottom.

If you’re having a hard time finding an opening for this meeting in everyone’s schedules, select the “Scheduling Assistant” tab at the top and compare the calendars of every required or optional attendee that you’ve added to this meeting. When you’re ready to schedule the meeting, click “Save.”

How to Schedule a Meeting in Microsoft Teams on Mobile

If you have a paid subscription to the full version of Microsoft Teams, you can schedule a meeting through the mobile app on Android devices as well as iPads and iPhones. To schedule a meeting, select the “Calendar” tab at the bottom of your screen and tap the “Schedule A Meeting” icon.

This will bring up the New Event form. Here, give your meeting a title, add participants, and set a time and date. Optionally, you can share this meeting with a channel, so that anyone in the channel can join. You can also set a physical location for the meeting, turn this meeting into a recurring meeting, and add a description if desired. When you’re done, tap the “Done” checkmark at the top right of this form.

In this course:

To get your team up and running in Microsoft Teams, create a team, add people, and add channels.

Create a team

Select Join or create a team.

This is where you create your own team, or discover existing ones.

Select Create team to create a new team.

Give the team a name and add a short description if you like.

By default, your team is Private, meaning you’ll have to add the people or groups you want on the team.

Select Public if you want anyone in the organization to be able to find and join the team.

You can add people, groups, or even entire contact groups.

If you need to add people from outside your organization, use their email address to invite them as guests. Add a friendly display name for them too.

Tip: It’s recommended that groups and teams should have at least two people designated as owners.

When you’re done adding members, select Add and then Close.

Create a channel

By default, every team gets a General channel, which is a good channel to use for announcements and information the whole team needs. To add more:

Select More options next to the team name.

Select Add channel.

Enter a name and description for your channel.

You can build a channel around a topic, project, department name, or whatever you like.

Select Automatically favorite this channel for the whole team if you want this channel to be automatically visible in everyone’s channel list.

Customize and manage your team

Select More options next to the team name.

Select Manage team to find Members, Channels, Settings, and Apps for your team all in one place.

Select Settings > Team picture to add a team picture and give your team some personality.

To get your team up and running in Microsoft Teams, you’ll need to create the team, add people, and add channels. Here’s how.

To create a team, click Join or create a team. This is where you create your own team, or discover existing ones. We’ll create a new one here.

Give the team a name and add a short description if you like. By default, your team is private, meaning you’ll have to add the people or groups you want on the team. Make the team public if you want anyone in the org to be able to find and join the team.

Next, invite people, groups, or even entire contact groups to join the team. If you need to add people from outside your org, use their email addresses to invite them as guests. Add a friendly display name for them, too.

You need to be a team owner to invite guests. In this case, you’re creating the team, so you’re automatically an owner.

Once you’ve added members to your team, you’ll want to set up channels. By default, every team gets a General channel. This is a good one to use for information and announcements that the whole team needs.

To create a new channel, click More options (the three dots), then Add channel. You can build a channel around a topic, like presentations, a project, department name, or whatever you like. Give it a name and description, and then decide if the channel should automatically be visible in everyone’s channel list. This can help people know which channels are the most important. Like adding guests, you’ll need to be a team owner to do this.

Team owners have even more options for customizing and managing a team. Click More options next to a team you own to see them. Manage team is where you’ll find these options and more in-depth settings, all in one place.

For the finishing touch, add a team picture to give your team some personality.

With a great name, a few members and channels, and a perfect team picture, your team is good to go.

Direct any browser to “teams.microsoft.com” and sign in to your Microsoft account. You can create an account for free if you don’t already have one.

Once you’re signed in to your Microsoft account, select “Get The Windows App” to download and install the app on your Windows, macOS, iOS, Android, or Linux device.

The browser-based web app version doesn’t support real-time calls or meetings, but it is sometimes faster to access Teams through a browser. If you want to access Teams through your browser without downloading the app, click “Use The Web App Instead.”

There are two styles of desktop notifications. Teams built-in is the purple notification generated by Teams. It will override your device’s do not disturb (aka Focus assist) settings so that you always receive desktop notifications.

If you want notifications to adhere to your device’s do not disturb settings, choose Windows on PC and macOS on Mac.

To turn off or turn on notification sounds, toggle Play sound for notifications to on.

Manage notifications from Activity

Go to Activity on the left side of Teams, hover over the notification that you want to change, and then select More options .

From here, mark a notification as read or unread, and on channel notifications you can adjust what kind of activity you get notified about for that specific channel.

To be notified only when you are @mentioned or when you receive replies to your messages in channels, select Mentions & replies

For the most control over your channel notifications, select Custom

Customize all other notifications

Choose the Edit button next to the category to customize how you receive notifications for that category.

Categories include Chat, Meetings, People, and Other.

Only get notifications in the app

Select Edit next to Chat, then choose Only show in feed for a specific category. All notifications for that type of activity will be sent to Activity , which you can find at the top left corner of Teams.

Note: The app will still flash on desktop taskbar when notifications arrive, but no pop-up will show on your desktop.

Select Banner and feed to receive notifications as both a desktop notification and as an alert in Activity .

Note: In Windows, notification banners will show in the bottom right of your screen. In macOS, they show in the top right.

Turn off notifications for specific conversations

In a channel conversation, go to the top right corner of the original message and select More options > Turn off notifications.

As with muting a chat, turning off notifications to a channel conversation will stop updates for that specific conversation.

Note: You’ll still receive notifications if someone directly @mentions you.

anyone know how to ADD a CAMERA device for a TEAMS meeting so that I can hover over my demonstrations? please help!

Based on your post, we understand that you wants to set up camera in your Teams client app on your system (user’s computer). So given this situation, generally based on your camera set up on your device, it will reflect on Teams and you can choose camera from Teams app device settings. Based on selected camera, it directly connecting when you start meeting or video call with other user.

A. So first of all check your video is correctly add/enable in your device.

  • For Windows camera settings :
  • Windows Key + i >Privacy >Camera > Make sure that Allow apps to access your Camera is ON
  • Also down below Choose apps that can use your camera is ON for Teams. If this is already ON, make it OFF and after few seconds, make it ON again.

B. To verify your video settings, on the Teams desktop app:

  • Launch Teams > Click your name, upper right corner > then choose Settings> go to Devices > under Camera select your camera.

C. Once everything is set up, suggest you to make a test call and check everything is working perfectly.

  • To make a test call, select your profile picture, then Settings >Devices.
  • Choose Make a test call under Audio devices.
  • In a test call, you’ll see how your mic, speaker, and camera are working. Follow the instructions from Test Call Bot and record a short message. The message will play back for you. After that, you’ll get a summary of the test call, and you can go to your device settings to make changes.

Hi thanks – I registered via the UK version of this website for two email addresses. For some reason I never received the email to complete the registration so now it is stuck on the screen that states

Someone has already set up Teams for your organisation

Ask your admin to get you started with Teams, or set up another org in Teams using a different email address.

Wait for the confirmation email. There’s been an upsurge in Teams which may have caused the delay.

Did you check other folders to determine if the email was inadvertently directed to Delete or Junk folders?

I have checked all my folders and cannot find the email from Teams. I applied over 2 weeks ago. Unfortunately, I cannot access the License information. I am the owner of the computer and the software but cannot get into the admin support. I can only access my account information

1. My private email and work email have the same issue – I tried to set up 2 accounts with different email addresses

2. Same message when I try to log in via the browser version

3. Type of account: 1 email is outlook and one is a work one – I am the owner of a business so I am using the work email too. I have tried logging in a business account or a private account for the work email
