How to delete email messages (items) permanently in Outlook?

As you know, when you delete an email message from the Inbox folder, this message is not removed permanently, and you can find it in the Delete Items folder. If you want to remove this message permanently, you have to delete it from the Delete Items folder again. It sounds tedious! Actually, there are several tricks to delete email messages or items permanently in Microsoft Outlook.

You can permanently delete email messages from the Inbox folder easily.

1. Open the Inbox folder, select to highlight the email messages in the Inbox folder that you will delete permanently, and press the Shift + Delete keys at the same time.

2. In a pop-up warning dialog box, click the Yes button. Then all selected email messages in the Inbox folder are deleted permanently.

(1) This method can also be used to permanently delete email messages from other folders, such as Sent Items folder, Drafts folder, Outbox folder, etc.
(2) Holding the Shift key, you can select multiple adjacent email messages with clicking the first email message and the last one.
(3) Holding the Ctrl key, you can select multiple nonadjacent email messages with clicking each one separately.

This method will guide you to archive old emails from the Inbox folder with the AutoArchive feature, which can permanently delete old emails automatically.

1. On the Navigation Pane, right click the Inbox folder, and select Properties from the context menu. See screenshot:

2. In the opening Inbox Properties dialog box, go to the AutoArchive tab, and do as follows: (1) Check the Archive this folder using these settings option; (2) Define the old email as you need, such as 3 months; (3) Check the Permanently delete old items option.

3. Click the OK button to save the settings.
From now on, it will automatically and permanently delete emails/items older than the defined time period from the Inbox folder.

Note: This method can also automatically and permanently delete old emails/items from other folders, such as Sent Items folder, Calendar folders, etc.

If you have deleted many email messages before, you can permanently remove these deleted email messages from the Delete Items folder quickly.

1. In the Navigation pane, right click the Delete Items folder, and click the Empty Folder in the right-clicking menu.

2. A warning dialog box comes out. Just click the Yes button to exit this dialog box.

Then all deleted email messages are permanently removed from the Microsoft Outlook at once.

Note: If the Deleted items folder includes subfolders, after clicking Yes button in the warning dialog box, all items in the Deleted items folder will be removed including the subfolders.

There is an alternative method to permanently remove all deleted items from Microsoft Outlook immediately. You can do it as following:

1. Open the Mailbox Cleanup dialog box:
A. If you are using Outlook 2007, please click the Tools > Empty “Delete Items” Folder.
B. If you are using Outlook 2010 or later versions, please click the File > Info > Cleanup Tools > Empty Delete Items Folder.

If you’ve used the Mailbox Cleanup tool to look at the size of your Outlook folders, you might have noticed three (or sometimes four) folders starting with “Sync Issues.” You can empty the “Sync Issues\Conflicts” folder with the Mailbox Cleanup tool, but that still leaves the others. Let’s take a look at how to access them, what they’re for, and whether you can—or should—delete their contents.

How Do You Access the Sync Folders?

If you’ve never used it before, check out our guide to using the Mailbox Cleanup tool. Its View Mailbox Size feature shows you the size of all of the folders in Outlook. Scroll down towards the bottom of the list to find the Sync Issues folders.

You won’t see these folders by default in the navigation pane in Outlook, so we’ll start by making them visible. At the bottom of the navigation pane click on the ellipsis (the three dots) and select the “Folders” option.

This changes the view in the Navigation pane to show all of the mail folders in your mailbox, including the Sync Issues folder and its three sub-folders.

Messages in the Sync folders are only visible within the Outlook client on your machine, so you won’t find them in the Outlook web app.

What are the Sync Folders For?

Generally, the Sync folders hold messages telling you about problems encountered when syncing emails in Outlook with those on the email server (or vice versa). This usually happens when you’ve been working offline, and Outlook hasn’t been able to connect to the mail server, or you’ve had some kind of connectivity problem.

Each folder holds emails about a specific kind of problem:

  • Sync Issues: Outlook synchronizes with your mail server on a regular basis in the background. This is why you can send a mail from Outlook on your computer and still see the message in the Sent Items folder when you check Outlook in the O365 online portal. The Sync Issues folder holds the logs for the synchronizations, so any general problems or delays in syncing with the mail server are recorded here.
  • Conflicts: If Outlook has had a problem syncing with the mail server, you may have different copies of the same email. This commonly happens when you use Outlook in more than one place, like your laptop at home and your phone when you’re on the go. The Conflicts folder holds any different copies and allows you to choose which you want to keep. If you’ve made a change to an item (like a mail, a task, or a calendar event) on your phone and it’s not showing up in Outlook, it’s probably here.
  • Local Failures: When Outlook can’t send something to the mail server, it designates it as a failure and puts a copy into the Local Failures folder. This might be a mail, a task update, a calendar response, or anything else that syncs with the mail server. Outlook will keep trying to sync, so just because an item is in this folder, it doesn’t mean that it wasn’t successfully sent to the server eventually—just that Outlook struggled to send it for a while.
  • Server Failures: This is the converse of the Local Failures folder. Where Local Folders contains things that Outlook can’t synchronise to the mail server, Server Failures contains things that Outlook couldn’t synchronise from the mail server. The Local Failure items are visible at all times, but the Server Failure items are only visible when you have an active connection to the mail server (because they’re messages from the server). Server Failure messages are much rarer, which is why this folder often doesn’t show up in the Mailbox Cleanup > Folder Sizes window. For example, the account we’re using to show you how this works has been running through Outlook for over three years, and Server Failures folder has never had a single message in it.

Can You (and Should You) Delete These Messages?

Yes, you can delete these message just like any normal message in Outlook. Whether you should delete them is a trickier question.

These are messages that most Outlook users are unaware of because they come from the Exchange Server and are used by administrators to troubleshoot issues. Most of the time these messages are of no use to you, unless you’re troubleshooting an Exchange issue. If you’ve never done that and you need the space, then you can probably delete them without a problem. That said, these messages tend to be very small, all-text messages and you might not gain a lot of space by deleting them.

Another important caveat: If you’re on a computer provided by your workplace, be sure to check with your IT support people before deleting these messages. You might not need them, but they might.

Outlook on the web shows the mobile devices that you use to connect to your mailbox. If you’re no longer using a device or a device isn’t syncing properly, you can delete it from this list. Doing so removes the partnership between the mobile device and your mailbox, but doesn’t delete the email account from your phone. Removing this partnership by following the steps below often fixes sync issues.

Note: If the instructions don’t match what you see, you might be using an older version of Outlook on the web. Try the Instructions for classic Outlook on the web.

Choose Settings > View all Outlook settings > General > Mobile devices.

Select your device in the list, and then select to delete the device partnership.

At the top of the window, select Save.

If you only want to remove this device from the list, stop here. If you’re attempting to fix a sync issue, continue with the remaining steps.

Go to your mobile device and power it off completely.

Restart your mobile device after a few seconds, and then sync your mailbox again.

Instructions for classic Outlook on the web

Choose Settings next to your name in the upper-right corner of the page, and then click Mail.

In the left navigation bar, under General, choose Mobile Devices.

Select your phone in the list, and then select Remove to delete the device partnership.

Select Yes in the confirmation box.

If you only want to remove this device from the list, stop here. If you’re attempting to fix a sync issue, continue with the remaining steps.

Go to your mobile device and power it off completely.

Restart your mobile device after a few seconds, and then sync your mailbox again.

You may run the Mailbox Cleanup tool in Outlook to clear old and unwanted emails in Outlook. But after the running the Mailbox clean up tool, you look at the size of the folders and are surprised to see the 3 or 4 folders still remaining. The names of the folders are Sync Issues, Sync Issues\Conflicts, and Sync Issues\Local Failures and Sync Issues\Server Failures.

By default, these folders are hidden and generally not visible in the Outlook navigation pane, but if you are using the Mailbox cleanup tool, you can view them in View Mailbox size option.

Let’s understand what these Sync Issues folders are for, what does it contain and should they be deleted?

How to view Sync folders in Outlook?

In order to view the Sync folders, you can change the settings to make them visible in the navigation pane.

  • To do so, click on the 3 dots in the bottom of the main Outlook window
  • Select the Folders option

Now, the navigation pane will have all the mail folders including Sync issues folder and its sub-folders.

What do the Sync folders contain?

Sync folders usually contain message logs about issues encountered when syncing emails in Outlook using the copy on the mail server. This usually happens when you are working offline for a while and Outlook hasn’t been able to connect to the server.

Each of the sub-folder in the Sync folder contains information about a specific problem.

Sync issues folder – Outlook periodically synchronizes information with the mail server. So, the sync folder contains message logs about this synchronization process. Because of this, any delay/issue in the sync will be recorded.

Sync issues\Conflicts – This folder contains multiple copies of emails. For example, if you use Outlook on your laptop as well as on your mobile, it may sync with the server several times and multiple copies may get stored.

Sync issues\Local failures – If Outlook has trouble sending email, a calendar change, notes or any new update to the server, it will be recorded in this folder. It does not mean Outlook has still not sent it to the server, it only means the number of times Outlook tried to is recorded in this folder.

Sync issues\Server Failures – This is the opposite of the Local Failures explained above. This folder records logs when Outlook had issues syncing from the server. This folder rarely has messages in it, hence it is not even visible under the Sync folder in some cases.

Should you keep the messages in the Sync folders or delete them?

Although messages in the Sync folders may not make sense to you, it may be helpful for the admins to troubleshoot issues with Exchange Server. Moreover, since these are text-only messages, they might not release a lot of space when deleted. So it is better to let these messages as they will be of no harm to you.

However, if in case you decide to delete the emails in the Sync folders, it would be in the same manner as deleting any other file.

Recover Outlook data

Due to various reasons, Outlook data or folders may get deleted. For instance, deleting stuff accidentally is one thing, but there are also others like PST file corruption. If you’re wondering, a PST file is a data file in Outlook that contains all its data on a local computer. If this file is corrupted, Outlook data may be harmed and Outlook may not function properly.

I have tried to stop or remove the sync issue folder in My google account in Outlook inbox. However, it is impossible to delete it permanently. I would like to delete the sync issue folder of my google account in Outlook. How can I do? Please give me an advice. Thank you so much!

The Sync issues folder can’t be deleted. It should be ‘a this computer only’ folder and not sync up to gmail server.

You don’t need to keep all of the messages in it for more than a few days. Right click on empty the folder.

Thanks for your response. Here is my issue. (Please see the attached photo). The sync issue folder ( this computer only) is always visible with some errors as the picture below. I have no idea to stop it. I normally empty this folder. However, it showed the error and notification daily in the sync issue folder. I have added my company email into Outlook. so it is obviously visible the sync issue folder in my inbox. It pissed me off. I will much appreciate if someone helps me how to turn it off.

To fix that error, log into web mail and empty the trash.

For what it’s worth, the trash folder is often the source of errors- the the message count is different from online. It corrects the count on the next sync.

So the gmail trash is empty – is Outlook’s trash empty? if not, empty it. Both folders should be identical. (The only time they might not be identical is right after you delete a message in outlook.)

That error is normal when you delete mail. It should worrect itsself on the next send/recieve, if you don’t delete more mail.

If it doesn’t go away, how large is your data file? Renaming the current ost file your account is using and let outlook resync everything should get rid of what ever is causing the error, but it will come back. If you decide to rename the ost file, and you have calendar, contact, and tasks in the ‘this computer only’ folders, you need to export them first.

to the point, i did CTRL + 6 (Folder List Show) in outlook 2010 and all folder have shown but i cant hide that anymore. any advices for hide that ?

Based on your issue description I have tested the same in my lab machine and this is what I found.

Doing a Ctrl +6 activates the “Folder list” option which in turn displays all hidden folder in the Navigation folder.

Inorder to hide the list of hidden folder, we can use one of the following options.

1: In the Bottom of the Navigation Pane you shall find the following Option (Mail, Calendar, Contacts,) Click on the option that says Mail, this will hide the hidden folders.

2: Clicking on the “Folder List” button present at the bottom of the navigation pane (Where we see the folder icon).

3: Incase if you do not see the Option for “Folder list” at the bottom of the Navigation Pane, then please do the following: At the Top Click on the View Ribbon > Navigation Pane > Options > You will get a Window called “Navigation Pane Options “> Check the Box that says Folder List and move it up the list using the “Move Up” option. Now you would find the “Folder list “option at the bottom of the Navigation Pane. > Clicking it will Un-hide /Hide the hidden folder visible in the navigation list.

I believe this should take care of the issue.

Incase if it does not the work then please run the following Switch

Click > Start > Run > “Outlook /resetnavpane” without the quotes. And click on OK. This will reset your Navigation Pane to its default settings.

Please note that you will lose any customization that you would have made to the Navigation Pane, such as favorites. Etc. and would have to be customized again.

Idea is to get rid of weird syn log emails in sync issues folder. I tried configuring a rule to auto-delete these emails but no luck . Hiding it from navigation would still have it there in database i want a way to to get rid of these emails if not from folder itself but certainly not hiding it. Please suggest.

The contents of the Sync Issues folder are not copied to your server, and you cannot view the items in the Sync Issues folder from any other computers. So sync issue folder didn’t occupy the space of mailbox database, we could refer to the following link:

By my testing, there are 5 folders which we didn’t delete. It is a system necessary folder.

There are Deleted Items, Inbox, Outbox, Sent Items, Sync Issues.

Could you tell me that why you want to delete it? We could hide it by the following methods:

1: In the Bottom of the Navigation Pane you shall find the following Option (Mail, Calendar, Contacts,) Click on the option that says Mail, this will hide the hidden folders.

2: Clicking on the “Folder List” button present at the bottom of the navigation pane (Where we see the folder icon).

Symptoms

When you use Microsoft Office Outlook 2007 or Microsoft Outlook 2010 in Cached Exchange mode, messages are being created in the Sync Issues folder. Exchange Administrators can create a retention policy tag (RPT) for the Sync Issues folder and can then add that RPT to an existing retention policy.

When you apply a Messaging Records Management (MRM) policy to the mailbox, the items in the Sync Issues folder may have an expiration date stamped on the items. However, MRM doesn’t process or delete the items.

Cause

MRM doesn’t process the Sync Issues folder because the folder is a client-side folder only. If you use Microsoft Exchange Server Messaging API (MAPI) Editor to view the Sync Issues folder, you can notice that the items in that folder don’t have an MRM policy tag stamped on the items. When the Managed Folder Assistant processes the mailbox, the items in this folder aren’t acted upon.

The reason that the items are listed as expired is that Outlook in Cached Exchange mode pulls the policy tag information for the folder and then does the calculation for expiration itself.

Workaround

To work around this issue, don’t implement an RPT for the Sync Issues folder because no action will be taken on the contents of the Sync Issues folder itself. This retention tag is applied automatically to the contents of the subfolders under the Sync Issues folder.

Additionally, if you want to automatically empty the Sync Issues folder, you must use the Auto Archive functionality in Outlook.

Outlook synchronization is a built-in process in Microsoft Outlook that happens when the OST and PST files get updated. When Outlook sends and receives any emails or the other folder is updated. At the same time, it also updates the Exchange Server about these changes. As an example, when the user edits, deletes, sends, and receives an email in MS Outlook, the changes are also updated on the MS Exchange Server.

How to Check Whether Outlook is Syncing or Not?

Before trying to fix the Outlook syncing errors with the methods. Check if the sync error is between the MS Exchange Server mailbox and the OST file. For checking, follow the steps given below to check Outlook is not syncing:-

  • Firstly open the Outlook and right-click on the folder present in the Inbox, Sent items, drafts and etc
  • Then, choose the Properties and hit on the Synchronization tab, and browse for the Statistics for the folder
  • In the end, check the stats of the last sync data

Manual Methods to Fix the Outlook Sync Issues

Follow the methods to resolve this Outlook synchronization problem:

Method#1 Change Profile Settings to Sync Outlook

If there are a number of items in the Server folder carries a section (is same as) along with that of in the Offline folder. Then, your Outlook folders are synced properly. If in case, the number of items differs in both sections, then you have to verify the profile settings. And to verifying follow the steps:-

  • Firstly, open Outlook>>File tab and choose Account Settings
  • Then, in the Account Settings, tap on Data Files
  • After that, check whether the Mailbox account name is set to default or not. If that’s not, then make it default. After finishing, tap the Email tab>>Mailbox>>Account Name and click on Change
  • Now, just be assured that the box next to Use Cached Exchange Mode is chosen and then hit on OK
  • Then, to save all the changes, hit on the Close and exit the Account Settings Window
  • In the end, close and reopen Outlook

Method#2: Empty the “Sync Issues\Local Failures” Folder

If you face Outlook sync errors, try to empty the Sync error/Local failures folder in Outlook. You can see the folder unless you set it visible. For making the folder visible, follow the steps:-

  • Firstly, tap in the Folder List icon that is located at the bottom of the left-hand corner of your Outlook
  • Then, under the All Outlook items tab, search for the Sync Issues folder
  • Click the “+” button and view the three sub-folders namely Local Failures, Server Failures, and Conflicts
  • Now, empty the Sync issues folder by choosing all the messages and remove them and take the exit from Outlook when done.
