How to send and receive hotmail from your gmail account

Have you ever wanted to read your Hotmail from inside your Gmail account? Today we’ll show you how to both send and receive using your @hotmail.com, @msn.com or @live.com email addresses… but from within Gmail instead.

If you would rather access your Hotmail from within a desktop client, you can setup Hotmail in Thunderbird.

Enabling Hotmail from Gmail

First go into your Gmail account and select Settings then click on the Accounts tab, now click on “Add a mail account you own”.

In the next screen enter in the Hotmail or Live address into the Address field then click on Next Step.

In the next section we need to enter in the proper settings so the connections work. Enter in your username and password for your Windows Live account. Make sure the following settings are correct.

POP Server: pop3.live.com

Port: 995

Check Always use a secure connection (SSL) when retrieving mail

You can also select leaving a copy on the server and archive incoming messages, these settings are per your preference and will not affect the connection. When everything looks correct click on Add Account.

Note: If you want to leave your messages in your Hotmail account, make sure to select the option for “Leave a copy of retrieved messages on the server”.

Next check “Yes, I want to be able to send mail as…” This will allow you to send email as your Hotmail or Live account then click Next Step.

Now you can verify or edit the name on the email or if you’d like replies to be delivered to another account enter in a different Reply-to address.

Finally Gmail will send a verification to your Hotmail or Live account.

Once you get the verification code enter it and click the Verify button and your done!

To send an email using your Hotmail account, just use the “From” drop-down when composing a new message.

Make sure the following settings are correct:

You must go to your Windows Live account to take POP Server and Port because each Windows Live account has a different POP setting.

Optionally, you can select:

  1. Leave a copy of retrieved message on the server unless want all your Hotmail emails only in Gmail.
  2. Label incoming messages if you want Gmail applies a label so that you can identify emails from your Hotmail.
  3. Archive incoming messages if you want to see incoming messages only under the auto-assigned label or All Mail.

Step 9: Click Add Account.

Step 10: Click Yes, I want to be able to send mail as…. This will enable you to send email from Hotmail or other Windows Live accounts, click Next.

Step 11: You could verify or change your name associated with your email. If you want your newly added account to reply to one specific email address, you could enter that email address into the box next to Reply-to address and click Next.

Step 12: Click Send Verification. Gmail will send a confirmation email to your Hotmail or Live account.

Step 13: After getting a verification code, enter it and click Verify.

To send an email from your Hotmail account, click Compose in the upper-left corner.

Then, in the From field, click the down arrow icon next to your email address and select your Hotmail account.

Now you could both send and receive emails from your Hotmail account using your Gmail account!

Windows Live Hotmail was discontinued, but users still have access to a free Windows Mail account. However, if you’re concerned that the service will be discontinued, you may want to set up a separate account through a different email client and start funneling your Windows Mail message through that account. Gmail is a good option.

You can access your Windows Mail in Gmail to consolidate accounts in one universal inbox, for example, or to feed the Gmail spam filter some additional junk.

You’ll see a message that your Windows Mail account is now “Gmailified,” meaning linked to your Gmail. You can now manage your Windows Mail account (sending and receiving) through Gmail. Select Close to continue.

      Gmail has taken the e-mail crown away from Microsoft’s offering. with more than 1.5 billion steady users compared to Microsoft’s relatively puny 400 million users. However, both systems are broadly similar in terms of their functionality and have similar levels of security, features and ease of use. However, many people simply prefer the look and feel of Gmail to Hotmail. Fortunately, it’s very simple to switch from to the other – and you can even keep your old account running in case you change your mind.

      You can automate email forwarding so emails are automatically sent from Hotmail to Gmail before you migrate for good.

      Forward all email from Hotmail to Gmail

      The first step in the migration process is to set up e-mail forwarding, so that your incoming e-mail from Outlook gets automatically sent to your Gmail account. This is a straightforward process that requests the Outlook email server to make a copy of all the mail you receive and forward those copies to your Gmail address. It’s free, simple to set up and can run indefinitely until you stop it.

      1. Log into your Hotmail account through your browser.
      2. Select the Settings icon (the cogwheel in the upper-right hand corner) and scroll down to and select View All Outlook Settings.
      3. Select the Mail tab, then Forwarding.
      4. Select Enable Forwarding and enter your Gmail address.
      5. Check the box next to ‘Keep a copy of forwarded messages’ so that your Hotmail account will continue to have all your mail.
      6. Close the Settings dialog.

      From now on, all email you receive through Hotmail/Outlook will have a copy forwarded to your Gmail account.

      Migrate from Hotmail to Gmail

      The next step, once you are ready to make the jump permanently, is to migrate all your existing emails from Hotmail to Gmail. It’s a straightforward process that will import all your folders and emails from Hotmail/Outlook into Gmail. First, do some housekeeping on your Hotmail account to delete all the spam and junk. You might want to go through all your email folders and get rid of the things that you know you don’t need.       To actually migrate the information over:

      1. Open Gmail and select the cog icon to access Settings.
      2. Select the Accounts and Import tab.
      3. Select Import Mail and Contacts.
      4. Add your Hotmail account into the popup box and follow the wizard.

      The wizard walks you through setting up the account import and what to include and what not to include. It’s a few steps but will have your Hotmail imported into Gmail within an hour or so depending on how busy the servers are.

      If you don’t want to make the leap and leave Hotmail behind for good, you can actually send Hotmail emails from your Gmail account. It’s a neat feature that has been around for a while and can be used with most email accounts. It means you can read, send and receive Hotmail from Gmail and you only have to log into one email to see all of them.

      1. Open Gmail and select the cog icon to access Settings.
      2. Select the Accounts and Import tab.
      3. Select Check Email from Other Accounts and then click Add a Mail Account.
      4. Add your Hotmail address details and password. Enter the server details if prompted, they will be ‘pop3.live.com’ as the POP server, ‘995’ as the Port and ‘Always use SSL when retrieving email’.
      5. Check the box next to ‘Leave a copy of retrieved email on the server’.
      6. Select Add Account.
      7. Select ‘Yes I want to be able to send mail as…’ and Next Step.
      8. Enter the send from address and Next Step.
      9. Select Send Verification to send a one-time code from Gmail to Hotmail.
      10. Log into Hotmail, get the code and add it to the box. Select Verify.

      Now the two accounts are linked you can send using your Hotmail address by opening a new email and select the From address using the dropdown menu. Any recipient will see your Hotmail address in the From section even though it was sent using Gmail. It uses Hotmail as a relay to make life just a little easier.

      While this tutorial covers forward email from Hotmail to Gmail. You can import most email addresses into Gmail using the same process. Most common freemail and ISP-provided email will work, you may just have to import specific email server settings into Gmail for it all to run smoothly.       Google offers an option in Gmail for migrating all of the mail and contacts from Hotmail and other POP and IMAP email services. The import tool accesses your Hotmail with your login information and automatically imports all of your data, allowing you to migrate from using Hotmail to Gmail. In addition, the service automatically forwards mail sent to your Hotmail account to your Gmail inbox, allowing you to continue receiving messages sent to your old account.

      Go online to Gmail.com and sign in to your account.

      Click the “Wrench” icon in the top right and select “Mail Settings.”

      Click “Accounts and Import” in the Mail Settings menu.

      Click “Import Mail and Contacts.” A pop-up window displays a step-by-step migration wizard for importing your mail from Hotmail.

      Type your Hotmail email address in the text field and click “Continue.”

      Type your Hotmail password in the text field and click “Continue.”

      Leave all of the check boxes selected and click “Start Import.” Click “OK” to close the window.

      If you spend a lot of time on the web, either for leisure or work, you may find yourself having a lot of email accounts. I know I do. I have heaps that I regularly check; work, websites, personal. But I found myself wasting so much time logging in and logging out of Hotmail and Gmail individually just to check my emails. I decided I had to do something.

      What I first did, was to download Mozilla Thunderbird. I set up of all my Hotmail and Gmail accounts and it worked very well. But if I was away from my desktop computer for a while, I found I was going back to my old ways. Thankfully, Gmail had a solution.

      To simplify the whole process, the answer was to make one of my Gmail accounts my main email account. Then, forward all my emails, including those in my Hotmail email account, to that Gmail account. This way I would be able to access hotmail email from Gmail. However, this is not a simple as opening Hotmail, go to options and click forward. The problem is, Hotmail only allows you to forward emails to the following domains: hotmail.com, msn.com, live.com, or a Windows Live Custom Domain.

      Below, I am going to show you how to download Hotmail emails to Gmail.

      What you have to do then is go to Gmail ““> Settings”“> Accounts and there will be an option that allows you to download mail from other accounts.

      Type your email address, and then click next. You will then be prompted to enter your username, password, select your POP server and choose some other options for your mail settings in Gmail.

      Use these settings to add a Hotmail email account:

      • POP server: pop3.live.com (Port 995)
      • User name: Your Windows Live ID, for example [email protected]
      • Password: The password you usually use to sign in to Hotmail or Windows Live

      Once you are done, click on Add Account. If you want to send email from the account you just added, make sure you click “˜Yes. I want to be able to send mail as”¦”. This allows you select an email address from a drop-down box.

      So now, all email received from your other email accounts will be downloaded to your Gmail Account. This allows you to access all your emails in one easy location.

      If you only have one Gmail Account and a lot of Hotmail accounts, I’d suggest to forward all your Hotmail account mail to one Hotmail Account as this forward is done almost instantly. The other advantage is if you have a lot of mail, downloading your mail to Gmail will be much quicker as it only has to connect to one account.

      So now we have solved the problem of accessing all your mail in one location. But how do we now access these emails offline? If all our emails are being forwarded to one account, how do we split them up? I’ll cover this in my next post. Watch out for it.

      Your Samsung device comes with a Samsung Email app which you can use to access emails from different providers such as Google or Hotmail, amongst others.

      In order to use Gmail in the Samsung Email app, Samsung was required to register email client information with the Google server in order to be authenticated. This information was registered some years ago. Google recently changed their authentication policy and Samsung was required to update this client information in the Email app.

      During this process, users who have set up Gmail on their Samsung phones using the Samsung Email app got an auto-generated notification from Google that stated ‘Samsung Email was granted access to your Google account’. You do not need to take any further action.

      You can review your Google account permissions at https://myaccount.google.com/permissions.

      What if I revoked access and can’t access my emails?

      If you revoked access, you will no longer be able to send, receive or delete emails using the Samsung Email app as the app needs permission to access your Gmail account in order to do this.

      If you revoked access and need to get back into your email account:

      1. Open the Samsung Email app

      2. You will get a prompt to sign into your gmail account. Enter your Google password. You do not need to change your password.

      3. You will then be asked to either Deny or Allow permission. Tap ‘Allow’ to give the app access

      At work we have changed IT Support, server and emails, we are now all using gmail accounts, but we are experiencing issues receiving email from anyone with a hotmail account, according to our IT support google block it as spam and don’t let it though and there is nothing that can be done about it. Is that correct or are they talking rubbish?

      My Mrs uses hotmail and mails me to my gmail account so no issues here! Doesnt really help but I dont think the IT department are right!

      They are talking sh1t mate. Gmail lets hotmail through fact. It’s probably the firewall they’ve got or spam filter settings within the e-mail server. They just need to white list all hotmail addresses but some IT guys aren’t keen because of the amount of spam generated through hotmail accounts. I’m no IT expert though and i’m sure several will be along shortly.

      • User name: The name of your Outlook account, click on the down arrow and select hotmail.com
      • Create password: Password to login mailbox, password must include at least 8 characters in length, including letters, numbers and special characters.
      • Re enter password: Reenter the password above.
      • Country / region: Country in which you live and work. You just have to fill in all the information above.
      • Postal Code: Postal code includes 5 numbers, example, for simplicity, I enter 12345
      • Birthday: Enter the date, month and year of birth.
      • Gender: Choose your gender, Male or Female.
      • Country code: National area code.
      • Phone number: Enter your mobile number which is in use, and remember to omit the first 0.
      • Alternate email address: Support when you need to recover your account.

      3. Enter correctly words which are displayed on the screen, if you couldnt see it clearly, to get a new code or click Audio to listen to that code.

      4. After fill in all necessary information, click Create account to create an account. Then you have just successfully created a new account, and you can use it right now.

      After youve successfully created, Microsoft will lead you to a welcome page, do not care about that.

      The first time you login Hotmail, it will display two options:

      1. Create an Alias: Create a nickname for this email account. If you choose this option, you will be redirected to confirm the account. You should choose the option Text or Email:

      – If you choose SMS: Enter the last 4 numbers of your phone number in the text box and press Send code button. Microsoft will send one SMS to your mobile phone, open to take the confirmation code, fill it in the website which is being opened and click Submit.

      – If you choose Email: enter the email into text box, then click Submit. After that, you open this email, click on the link in the email to confirm.

      2. Skip for now: You should choose this option if you do not want to create a nickname.

      3. Choose a setting — like Automatically or Manually — or choose a schedule for how often the Mail app fetches data.

      With iOS 11 and later, and iPadOS, Automatically is set by default. Your device will fetch new data in the background only when your device is charging and connected to Wi-Fi.

      Make sure that your Notification settings are correct for the Mail app:

      1. Go to Settings, then tap Notifications.
      2. Tap Mail, then tap an email account.
      3. Adjust your Alerts, Sounds, and Badges.

      Contact your email provider or system administrator

      1. Contact your email provider or check their status webpage to see if there’s a service outage.
      2. Ask your email provider or system administrator if you turned on any security features or restrictions, like two-step verification, for your email account. You might need a special password or may need to request authorization from your email provider to send and receive email on your device.
      3. Check your email account settings with your email provider or system administrator to make sure that they’re correct.

      Remove your email account and set it up again

      1. On your computer, sign in to your email provider’s website. Make sure that all of your email is there or make sure that your email is saved somewhere other than your device.
      2. On your device, go to Settings > Mail, then tap Accounts.
      3. Tap the email account that you want to remove.
      4. Tap Delete Account.
      5. Add your account again.

      In case, your Inbox quota is full, it is possible for you to send emails but won’t receive them. Here’s how you can check your Storage:

      Click on the Gear icon and then click View all Outlook settings.

      Hotmail allows you to set up a Focused Inbox, with which your inbox will be separated into two tabs. You can set up a Focused and Other tab using which you will only be able to focus on emails important to you.

      If you have set up another tab, then probably your email can be in that other tab. Check the other tab, and if you find the email there, then right-click on the email and click on move to Focused inbox. Your email will be moved from another tab to the focused inbox.

      Check The Rules

      There can be rules configured that do not allow you from seeing emails. To check and edit the rules, click on the Gear icon and click View all outlook settings. Switch to Mail and then select the Rules option.

      If you find any rule which prevents you from seeing the email, you can edit or delete the rule. For that, select the rule, and then click on edit to edit it, or delete to delete it. Once done, click on Save, and then get back to your inbox.

      It is possible that you start receiving emails.

      Check For Email Forwarding

      One of the most common reasons as to why your Hotmail account might not be receiving mails can be because of email forwarding being enabled.

      To check whether the email forwarding is enabled or not, click the Gear icon > View All Outlook Settings > Mail > Forwarding.

      On the right side, if you find that email forwarding is enabled, then click on stop forwarding.

      Checked Blocked and Safe Senders

      If you have blocked any sender, then you won’t receive email from them. However, you can remove the sender from the block list.

      Go to Gear icon > View All Outlook Settings > Mail > Junk Email. Here, on the right side Check for the sender’s email address in the Blocked Senders list. Choose the email address and remove it. After removing, click on save. After doing this, you will start receiving emails from the sender.

      Apart from that, if you find that sender email is not in the Blocked list, then add the same email to Safe Senders list. For that, click on Add button, type the email account and then Save.

      After doing this, email that you have included in Safe Senders list won’t go to Junk folder.

      Check if your account is blocked

      Since Microsoft offers Hotmail, SkyDrive and more, it is one of the easiest ways to continue using services similar to what Google has to offer. This guide will detail how to switch from Gmail to Hotmail in three steps. This is just the start of transferring your services away from Google’s prying eyes.

      First, create a Hotmail account

      If you do not already have a Hotmail account, you will need to create one to start the process of switching from Gmail. Keep in mind that Windows Live IDs include Hotmail, Messenger, and even XBox Live accounts, so if you already have one of those, you do not need to create a new one to continue.

      If you do not have one, visit hotmail.com to get started.

      In the left-hand corner of the screen, you will see a Sign-up button. Click it to get started.

      Fill in the details about your new Windows Live account, including your mobile telephone number and an alternative e-mail address.

      Next, read through the Terms and Conditions and Privacy Policy concerning Windows Live, then click “I accept.”

      It will take just a few seconds to create your new Windows Live ID.

      When finished, you will be redirected to Windows Live.

      You can click “Go to Inbox” to take you to your Hotmail account.

      Second, import your Gmail e-mails into your Hotmail account

      Now that you have created your new Windows Live ID and Hotmail account, you want to import your data from your Gmail account.

      Visit TrueSwitch to get started with the second step.

      TrueSwitch is a secure service that has partnered with a variety of e-mail service providers to help make the process of switching services easier for consumers. While they normally charge for this service, for now, it is free for those who want to switch from Gmail to Hotmail.

      You can only import contacts and e-mails from Gmail.com based e-mail accounts. If you are using a business or services account where your domain name is being used through Google services, you cannot use TrueSwitch to import information from Gmail to Hotmail at this time.

      Fill in your Gmail account details and choose whether you want to transfer over all your e-mails or just the last two weeks.

      Then, fill in your new Hotmail account details.

      Finally, click “Next” to get the process started.

      It should just take a few moments for the process to finish.

      When it does, TrueSwitch will congratulate you and begin importing your e-mail and contacts from Gmail to Hotmail. Keep in mind that the process can take upwards of 24 hours to complete, especially if you are importing all of your e-mails from your Gmail account. When the process is finished, you will receive an e-mail alerting you as well.

      Imported e-mails may end up in your Hotmail Junk folder. Check the Junk folder periodically to make sure you are not missing out on misplaced e-mails from Gmail.

      Click “Go to Windows Live Hotmail” to check if things have begun importing and to move on to the third and final step of the process.

      Third, sync your Gmail account to your Hotmail account

      You will be redirected to the primary Windows Live home screen after leaving the TrueSwitch site.

      Click on “Inbox” to head into Hotmail.

      Your inbox, if the process has started, will begin filling with the e-mails imported from Gmail.

      You also want to remember to check your Junk folder to ensure nothing is being lost in the shuffle.

      Your contacts will also eventually be imported so that you do not have to start creating new ones after the switch.

      The final step in truly making the switch from Gmail to Hotmail is to ensure your e-mails are being sent to Hotmail from Gmail.

      Click on “Options” at the top right-hand corner of your Inbox.

      Now, click “More Options….”

      Under the Managing your account sub-header, click the “Sending/receiving email from other accounts” link.

      Click “Add an email account” to get started.

      Enter the e-mail address and password of the account you want to have sent to Hotmail.

      Then, click “Next.”

      It will take just a few moments for Hotmail to access and configure the information from your Gmail account.

      When finished, you will need to set up a few options for the addition.

      You can choose to either use a separate folder for the emails from Gmail or simply have them send to your inbox.

      You can also choose a default icon for the messages to separate them from other e-mails coming directly to your Hotmail address. This can be useful if you are opting to have all e-mails directed to your inbox as opposed to a separate folder.

      Click “Save” to save your settings.

      This will take just a few minutes to configure.

      From that moment on, e-mails sent to your Gmail address will be forwarded to your Hotmail one. You will either see them appear in your Inbox or in the folder you created for them in Hotmail.

      You have now successfully made the switch from Gmail to Hotmail in three easy steps.

      But in 2004, Google announced a competing mail service—Gmail—available for free to individual users even today. With more storage space, flexibility, and overall speed, Gmail put a ton of pressure on Hotmail (as well as Yahoo Mail, another big competitor from back in the day).

      Microsoft worked quickly to launch a new version of the email system, Windows Live Hotmail, in 2005. It was subject to a number of updates in subsequent years, but would not last forever.

      In 2012, Outlook.com was introduced by Microsoft as a new standard for email. When introduced, existing Hotmail users under the Microsoft umbrella were given the option to freely upgrade to Outlook. Users could keep the “@hotmail.com” extension of their email accounts, or transition to a new @outlook.com email address. Either way, Hotmail users could keep their old accounts.

      Understanding Email Message Flow, from Sending to Delivery

      For most users, how an email message flows from the sender to a recipient’s inbox is something that happens behind the scenes. When an individual or an organization sends an email, the message travels from its point of origination, such as an email client where it was composed, across the Internet to its destination. Along the way, it passes through multiple servers that help ensure it arrives at the right place. That email message flow uses a systematic process based on a number of long-established technical standards.

      How does an email message flow?

      Email has been around since the 1960s, when the creators of nascent computer networks began devising ways to send messages to each other. In those early days, users were limited to communicating only with others on the same shared mainframe system. However, the adoption of standard protocols and the interconnection of systems into the shared network we now know as the Internet allowed different mail systems to “talk” to each other.

      It’s these standards that allow us to send email messages to virtually anyone. When someone sends an email message, it flows through a series of steps to reach its destination.

      • When an individual writes a message, it’s usually done in an email client like Outlook or Apple Mail—or in a web-based service like Gmail.
      • However, when the message is a transactional email like a shipping notice or a password reset, the message is created automatically by those systems, usually using an email API. (Marketing messages are generated by automated systems as well, although usually in large batches, rather than one at a time like transactional messages.)
      • In both cases, whether the message is created by an email client or by an automated system, it is specially formatted to be transmitted over the Internet using a standard called “Simple Mail Transfer Protocol” (SMTP).
      • The sender’s mail server (technically called a “Mail Transfer Agent,” or MTA) looks up the “@domain.com” portion of the recipient’s email address in a Domain Name System (DNS) server to determine which destination mail server (referred to as a “Mail Exchanger,” or MX) it should contact to deliver the message.
      • The sending and receiving servers communicate using the SMTP protocol. The receiving server accepts the message so that it can be delivered to the recipient.
      • The recipient’s email client retrieves the message using standards like the Post Office Protocol (POP) or Internet Message Access Protocol (IMAP) to download the message so it can be read.

      How do email clients download a message?

      Web-based email services like Gmail or Hotmail/Outlook.com use their own internal protocols to manage email. But when recipients use a stand-alone email client on a phone or desktop computer, that software uses standard protocols to download messages from mail servers.

      When the recipient uses POP, the server delivers all new emails to them and only keeps copies of them if an option in the email client is checked, if applicable. If the server doesn’t have copies of the emails and the recipient suffers a hardware loss or failure, those messages are gone forever, unless the senders have copies of them.

      When the recipient uses IMAP, the server syncs the contents of the mailbox, including its Sent Items and other folders, to each device that connects with it. The messages remain on the server, and when the status of one changes (for example, it’s read or deleted), that change propagates across all devices when they connect again.

      The ability to retain and sync messages on multiple devices is why most email services today use IMAP instead of POP.
