With iCloud, you have your calendars in your pocket, at your wrist, and on your desktop. When you add an appointment, delete an event, or update your meeting, iCloud makes the changes everywhere.

Calendar will automatically show any accounts that you’re signed in to with your Apple ID. You can also add calendars or calendar subscriptions from your email account, social media, and more, and they’ll stay up to date across your devices. iCloud can help you manage your events and appointments so you’re where you need to be, when you need to be there.

Set your default calendar

When you create a new event, iCloud adds it to your default calendar. To make setting appointments easier, the calendar you use the most—probably for work or home—should be your default calendar. You can change your default calendar from your device or on iCloud.com.

On your iPhone, iPad, or iPod touch

  1. Go to Settings > Calendar.
  2. Tap Default Calendar.
  3. Choose the calendar that you want to use as your default.

On your Mac

  1. Open Calendar (or iCal).
  2. Click Calendar in the menu bar and choose Preferences.
  3. In the General tab, choose the calendar that you want to use from the Default Calendar menu.

On iCloud.com

  1. Go to Calendar.
  2. Click the the gear button , then click Preferences.
  3. Choose the calendar that you want to use from the Defaults menu.
  4. Click Save.

Manage your events

Whether you’re managing your schedule from your Mac or setting appointments on the go, using your Calendar is simple. And any changes you make immediately appear on all of your Apple devices.

Add an event

  1. Open Calendar.
  2. Select the event date.
  3. Tap the plus sign button and enter the details of your appointment.

Change an event

  1. Open Calendar.
  2. Select the event you want to change.
  3. Tap Edit.

Delete an event

  1. Open Calendar.
  2. Select the event you want to delete.
  3. Tap Delete Event.

You can only delete events that you created. If you have an event on your Calendar that someone else invited you to, you can tap Decline and remove the event. If you want to remove an event on a subscribed calendar, you might need to go to the subscription source—for example, decline an event on Facebook—for it to delete from your iCloud Calendar. By default, whatever event you create in the Calendar app gets saved to a default calendar. In most cases, this is Work.

But if you have half-a-dozen calendars and want to change the default calendar to something other than Work, you can do it. By changing the default calendar, whatever event you create in the Calendar app – if not specified – will go in the default calendar.

Step #1. Go to Settings → Tap on Calendar.

That’s about it actually but here’s something you should remember while you change default calendars.

When you change the default calendar, the events that you previously created remain with the old-default calendar. You might want to transfer them to the newly appointed default calendar if the events need to appear in the calendar that you use frequently.

When you add invitations, they get added to the default calendar unless you tweak the Calendar field while adding the invitation to your calendar.

It is generally a good idea to have a minimal list of calendars to avoid confusion. iOS defaults to three or four calendars at a time so it’s easy to keep track of your stuff.

Most of the people use Work as the default calendar so iOS sets it as the basic default. However, if the family has more frequent events, you will find it easy to mark that calendar as the default one.

Of course, there are more calendars for iPhone than just the stock one. Try them out too.

One of the nice things about the Calendar app is that you can set up multiple accounts. This lets you add events to an iCloud or Gmail calendar and a personal or work calendar; both separate of each other.

But if you find yourself adding events to the same calendar most often, you might want to set the default calendar account. This way, every new event you add will automatically go on that calendar, yet you can still change it to a different one if needed.

Here’s how to set you default Calendar account on iPhone, iPad, and Mac.

Set your default Calendar on iPhone and iPad

To make this change on iPhone and iPad. You’ll head to the Settings app and then follow these steps.

1) Select Calendar in your Settings.

2) Tap Default Calendar. You’ll notice the name of the calendar currently used as the default.

3) Choose the calendar you want to use as the default.

4) Tap Done.

Again, each new event you create in the Calendar app will automatically go onto this calendar. If you need to change it, this is easy.

1) Open Calendar and select the event.

2) Tap Calendar and choose a different one.

Set your default Calendar on Mac

On Mac, you’ll go directly to the Calendar app to change your default.

1) With your Calendar open, click Calendar > Preferences from the menu bar.

2) Under Default Calendar near the bottom, click the drop-down box. You’ll notice that you can also leave this as Selected Calendar. This means that you can just choose the calendar in your list first and the new event you create will go on that calendar. Or, you can pick a specific one, just like on iOS.

Close the Calendar Preferences and you’re set.

If you do choose a specific calendar for your default, rather than Selected Calendar, and need to change it, this is simple.

1) Open Calendar and select the event.

2) Click the calendar color drop-down and choose the one you want.

Setting a default account in the Calendar app is ideal if you normally add events to the same calendar each time. And changing the calendar for those one-off situations is easy.

    Having trouble getting Fantastical to sync smoothly between your different devices? Follow the troubleshooting steps below to check your account and calendar settings.

    Check your account settings

    First, what type of account are you trying to use to sync your events? Are you using iCloud, Google, Exchange, or some other sync service? Keep in mind what service you’re using throughout these steps to make sure you’re always using the same service on each device.

    Next, make sure that you have the same accounts set up on your Mac, iOS and iPadOS devices.

    1. Open Fantastical’s preferences and select Accounts
    2. Look at the accounts you have added to Fantastical and make sure the account you’re trying to use is listed there
    3. If the account isn’t shown, click the add account button and add your account to Fantastical (we have more help with adding accounts available here)

    iOS/iPadOS:

    1. Tap the menu icon in the upper-left of the main screen
    2. Tap Settings, then Accounts
    3. Make sure the accounts that you have added on your Mac or other iOS/iPadOS devices are also listed here

    At this point you should see your calendars in Fantastical on your iOS/iPadOS device.

    Ensure your calendars are enabled and visible

    Once your accounts are added, make sure you have the same calendars enabled and visible on all of your devices.

    1. Open Fantastical’s preferences and select Calendars
    2. Enable the calendars that you want to be shown
    3. Make sure the correct calendar set is active (in the View menu under Calendar Sets)

    iOS/iPadOS:

    1. Tap the menu icon in the upper-left of the main screen
    2. Tap Settings, then Calendars
    3. Make sure the calendars you want to be shown have a checkmark next to them
    4. Make sure the correct calendar set is active (the active set is at the top of the Calendars screen and will have a checkmark next to the set’s name)

    Check your default calendar

    At this point you should see the same calendars across all of your devices. Now verify that your default calendar is set to the same calendar across all of your devices. This way when you add new events they’ll all be added to the same calendar.

    1. Open Fantastical’s preferences and select General
    2. Make sure the Default calendar and Default task list is configured to a calendar under the the correct account
    3. Open Fantastical’s preferences and select Calendars
    4. Make sure the Default calendar and Default task list for each individual calendar set is configured to a calendar under the the correct account
    1. Tap the menu icon in the upper-left of the main screen
    2. Tap Settings
    3. Tap on Default Calendar
    4. Make sure the checked calendar is the one that matches your Mac and other iOS devices
    5. Tap Calendars
    6. Tap the red ‘i’ icon next to the calendar set name
    7. Make sure the Default calendar and Default task list for each individual calendar set is configured to a calendar under the the correct account

    Test adding a new event

    You should now be able to add a new event on one device and see the event appear on your other devices. Try adding a new event on each of your devices and see if they appear everywhere else.

    Keep in mind that it can sometimes take a few minutes for events to sync.

    Look at the web interface

    If events still aren’t syncing as you’d expect, use the web interface of your calendar to test which device might be misconfigured.

    • If you’re using iCloud, log in to icloud.com and open the Calendar.
    • If you’re using Google, log in to calendar.google.com
    • If you’re using Exchange, log in to Exchange Web App or Office 365

    Once you’ve logged in, create a new event on your calendar and then see if it appears across all of your devices.

    If the event appears on all devices, then that means your accounts are set up properly but your default calendar is probably not correct.

    If the event appears on some devices but not others, then the devices where the event is not appearing are not syncing correctly. Make sure your calendar account is set up correctly and then try again.

    Take a screenshot by pressing command-shift-4 and then dragging across the part of the screen you want to capture. This will create an image on the desktop.

    If your device has a Home button, take a screenshot by pressing the power and Home buttons at the same time. You will see a white flash to indicate that a screenshot was taken. You can then find the screenshot added to your Photos app.

    When you add an event to the Calendar app in iOS and OS X, it gets saved to a specific calendar by default, which may not be the calendar you use most often. However, if you have several calendars, you can choose which of those calendars is used as the default.

    Your iOS and OS X devices can all have different sets of calendars, and, therefore, each device can have a different default calendar set. We’ll show you how to change the default calendar for new events in iOS and OS X so you don’t have to change it manually every time on each device.

    To set the default calendar in on your iPhone, iPad, or iPod Touch, tap the calendar icon on the Home screen.

    On the Settings screen, tap “Mail, Contacts, Calendars”.

    Towards the bottom of the Mail, Contacts, Calendars screen is the “Default Calendar” setting. It shows which calendar is currently the default. To change the default calendar, tap “Default Calendar”.

    To set the default calendar in the Calendar app in OS X, open the Calendar app and select “Preferences” from the “Calendar” menu.

    On the General screen, click the blue arrows button on the “Default Calendar” drop-down list.

    The chosen calendar displays in the Default Calendar box. To close the Preferences dialog box, click the red “X” button in the upper-left corner.

    The default calendar is indicated with a colored box on the drop-down list in the upper-right corner of the event popup.

    If you decide to change the calendar on which this event appears, simply click on the drop-down list and select another calendar. The currently selected calendar is indicated with a check mark to the left of the calendar name.

    Note that when you change the default calendar on iOS or OS X, it only applies to any new events you create. Events you created on the default calendar previous to this change still appear on the that calendar. If you need these events to appear on the newly selected default calendar, you must move them there manually.

    Have you ever set a work appointment in the Calendar app only to find that it’s been scheduled in your family calendar rather than your work calendar? The problem is likely the result of having your family calendar rather than your work calendar set as the default calendar on your iPhone. The solution is to change the default calendar in the Calendar app to the one you use the most often. That way appointments will automatically be added to the right calendar.     You can connect your Apple Calendar app to Things to see your events and to-dos together in one place. You’ll see events from both personal and shared calendars in Today and Upcoming. This is useful when you’re managing your day, and as you plan the week ahead.

    Things accesses your calendar data to display events locally on your device. None of your calendar data is ever sent to Things Cloud.

    1. On your Mac, open Things .
    2. In the menu bar at the top of your screen, click ThingsPreferencesCalendar Events.
    3. Check the box for Show Calendar Events in Today and Upcoming lists to enable it.
    4. Check the boxes for the calendars you’d like to see.
    iPad & iPhone
    1. On your iPad or iPhone, open Things .
    2. Tap → Calendar Events.
    3. Tap the switch for Show Calendar Events to turn it on.
    4. Tap the calendars you’d like to see.
    5. In the top-right corner, tap Done.

    See events from 3rd party apps (Google, Exchange, . )

    Things will only read events from Apple’s native calendar app, not other third party apps. To view your 3rd party calendar data in Things just sync it to Apple Calendar. Things will then be able to see it and display it alongside your to-dos.

    Can I see to-dos from Things in Calendar?

    No. Unlike events, to-dos in Things do not have a start and end time (duration), which is necessary to block out time in Calendar app. For that reason, we currently do not plan to support sendingВ to-dos to the Calendar app.

    If you have multiple e-mail accounts set up on your iPhone (iPad), you can set a “Default” Calendar to use when creating appointments/meetings. This means that when you create a new meeting/appointment it will be put on the default calendar. You can choose a different calendar when creating an appointment/meeting in the “Calendar” option.

    How to Set the Default iPhone Calendar

    You can set the iPhone default calendar from the settings in under a minute. You will need to already have the calendar information connected to your iPhone. This works with all calendars on your iPhone including work calendars, Gmail or Google calendars and all of the shared calendars that these have connected with the iPhone.

    Tap on Default Calendar -> Choose the calendar that you want to set as the default iPhone calendar.

    After you choose this you will be back on the Mail, Contacts, Calendars setting and you will see the new default iPhone calendar.

    You can do this with any calendar that you want to use. If you need to enter a lot of calendar entries to one calendar, you can set that as the default and then set it back. On this screen you can also change the time zone settings, week numbers, add alternate calendars and default calendar alert times so you always have time to get where you want.

    Spark for iOS and Mac has a built-in calendar allowing you to manage your events and see how busy you are. Spark supports the Google, Exchange, and iCloud calendars associated with your email accounts. For example, when you add a Gmail account, you can access your Google Calendar in Spark.

    Select the calendars to display

    If you are using several accounts in Spark, it’s up to you to select which ones you’d also like to use for calendar management. For example, you may want Spark to show you only the calendars from your work account.

    Spark works only with Google, Exchange, and iCloud calendars.

    1. Click Spark at the top left of your screen.
    2. Select Accounts and make sure the account you need is added to Spark.
    3. Click on the Calendar tab at the top.
    4. Under Enable calendar for, tick the needed accounts. Only the supported accounts will allow you to enable the calendar. For accounts such as Yahoo, Outlook or custom IMAP, the checkbox will be inactive.

    2. Open Settings > Email Accounts and make sure the account you need is added to Spark.
    3. Return to the previous menu and open Calendar > Calendar Accounts.
    4. Enable the toggle for the accounts you need. Only the supported accounts will allow you to enable the calendar. For accounts such as Yahoo, Outlook or custom IMAP, the toggle will be greyed out.

    Choose a default calendar

    If you have multiple calendars, you can choose a default one. When you create a new event in Spark, it’s added to your default calendar (but you can always change a calendar manually for a particular event).

    1. Click Spark at the top left of your screen.
    2. Select Preferences > Calendar.
    3. Under Default Calendar, select one of your calendars.

    Anyway, yes—you can color-code your Calendar events directly from your iPhone or iPad, and it’s easy to do.

    Just to be clear, what we’ll be doing is color-coding the individual calendars in the iOS Calendar app—that is, the Home, Work, Birthday, and various other calendars you’ve set up.

    Once you color-code a calendar, all the events for that calendar will show up in the corresponding color.

    Here’s the trick…

    • Launch the Calendar app, go to any of the various views (Day, Month, List), then tap the Calendars button at the bottom of the screen.
    • Next, you’ll see a list of all the calendars on your on your iPhone or iPad. See the little “i” buttons to the right of each calendar? Tap one of them to visit the Edit Calendar screen.
    • Scroll down to the Color section, and pick a new color.
    • All set? Tap the Done button.

    Bonus tip

    Want to add a calendar—or delete one, for that matter?

    Tap the Calendars button at the bottom of the screen, tap Edit in the top-left corner on the following screen, scroll down and tap Add Calendar.

    To delete a calendar (and all its events—careful!), tap the Calendars button again, tap “i” next to the calendar you want to zap, scroll all the way down and tap the Delete Calendar button.

    I use Gmail as my main calendar to schedule appointments and keep track of my day to day activities. However, there have been a few times when I’ve added an appointment to my calendar from my iPad or iPhone and it didn’t sync up with Google Calendar. So, the appointment was on my phone but when I tried to review it on Google Calendar it was missing.

    There is a way to make all your entries from your iPad or iPhone go to Google Calendar, simply make it the default calendar . Follow these steps to accomplish this:

    1) Go to Settings

    2) Tap on Mail, Contacts, Calendars

    3) Scroll almost all the way to the bottom

    4) Tap on Default Calendar under the Calendars section

    5) Choose your Gmail Calendar as the default

    Now the next time you enter something into your calendar on your iPad or iPhone it will automatically sync with your Google Calendar.

    It seems like every new activity or organization comes with its own calendar, either bogging down the ones we currently use or forcing us to create a new one. Managing all these calendars in one app can be frustrating, confusing, and impractical. With Timepage, we think we’ve cracked it.

    After you set up your calendars in iOS and allow Timepage access (read more about this process in Setting Up Calendars), your different calendars will appear in Timeline under their respective color. Any calendar that you’ve added in iOS will be added to Timepage, so you don’t have to worry about adding anything new.

    Adding, Removing or Editing Calendars

    In the instance that a calendar no longer becomes useful in Timepage, you can hide it from the app by visiting Menu, tapping Preferences, and choosing ”Calendars”; alternatively, you can do this by tapping the list button at the bottom of the Heat Map screen. After tapping “Setup Calendars,” tap to show or hide a calendar in Timepage. This action will not add or delete a calendar – it will simply display or remove it until you return to the setting and toggle it back on or off. If you’d like to permanently delete a calendar to completely remove it from Timepage, tap and hold on the relevant calendar in the “Setup Calendars” menu.

    In the “Calendars” menu, you can also set a default calendar when you create an event and choose your calendars’ colors. The latter is a crucial part of making Timepage work for you – by organizing your most-used calendars by distinguishable colors, you can better understand what’s coming up in the future. To change a calendar’s color:

    1. Tap the color next to your calendar of choice on the “Setup Calendars” screen
    2. Select the desired calendar from your added options
    3. Pan around the various color choices by swiping directionally on the color bubbles
    4. Tap the icon to confirm your changes

    After confirming, make sure none of your calendars conflict; if so, it might get a little confusing.

    Calendars in Heat Map

    If you have multiple calendars saved in Timepage, it’s likely that there are events sprawled out across days, months, and even years. Because of this, it can be tough to see what belongs to what calendar, as well as what days are busiest across all calendars.

    Heat Map was built to help you identify the busiest days in your calendars, circling days with events and darkening these circles if there are multiple events on a day. This view gives you immediate idea of what’s coming up, when you have free time, and the days that are better left untouched.

    When viewing Heat Map, the default calendar is the sum of all events across every calendar you have in Timepage. Along the bottom of the screen, however, are small, outlined circles that represent each individual calendar – by tapping and holding on this area and moving your finger from right to left, you can see each individual calendar’s events right on the Heat Map. As you move, the calendar will be identified at the bottom.

    Below the Heat Map is a running list of a day’s events, which also displays the calendar color and time.

    An iPhone calendar not syncing with an Outlook calendar is a common problem experienced by many users. It can also occur with other iOS devices like an iPod touch or iPad.

    Sometimes events entered into the iOS Calendar app don’t appear in the correct Outlook calendar while at other times an Outlook calendar on iPhone may be missing important data.

    Fortunately, there are a variety of strategies for dealing with this annoying bug.

    Causes of Outlook Calendar Not Syncing With iPhone

    Some of the most common causes of iPhone calendar events not syncing to Outlook properly include:

    • The incorrect calendar is selected when creating an event.
    • Data not syncing to the server properly.
    • An Outlook account not connected to an iPhone.
    • The iOS default calendar is incorrectly configured.

    How to Fix iPhone and Outlook Calendar Syncing Problems

    Here are all of the proven strategies for fixing iPhone Outlook calendar sync issues listed from most-common and easiest to least-common and more time consuming. It’s recommended to work through these solutions in order to effectively pinpoint the cause and correct it.

    Change to Wi-Fi. For iPhone and Outlook calendars to sync properly, the data needs to be sent to the online servers, then re-downloaded to the other device. Data syncing can be delayed when your iPhone is on a cellular connection to save data so try to connect to a Wi-Fi signal and see if that works.

    Disable Airplane Mode. If you’ve had Airplane Mode turned on while watching a movie or during a flight, none of your data will sync properly, as your iPhone will be unable to connect to the relevant online servers. Check to see if Airplane Mode has been turned on, disable it if it has, connect to a cellular or Wi-Fi signal, and wait a few minutes.

    Turn off your iPhone’s Low Power Mode. This setting is activated when the device’s battery gets low. It disables most background activity including downloads and data syncing between services.

    Charging your iPhone usually disables this mode automatically but you can also manually turn it off. Go to Settings > Battery and tap the Low Power Mode toggle switch.

    Close all of your iPhone apps. Sometimes apps on iPhone can get glitchy and the best way to fix them when this happens is to close them completely and then open them again.

    Minimizing an app on iOS or switching to another app doesn’t mean you’ve closed the previous app. To close an app fully, perform a long swipe from the bottom of the screen to the top to pull up all of the open apps, then swipe down on each app to close them.

    Restart your iPhone. Restarting a device to get it to work properly is a bit of a cliché but it works.

    Simply pressing the power button on an iPhone just puts it to sleep. This isn’t a restart. To restart an iPhone you need to shut it down completely, then turn it back on.

    Install the latest Outlook app updates. App updates frequently contain fixes for problems such as the Outlook calendar not syncing properly. Sometimes they’re even required to make sure that apps work properly with new iOS operating system updates.

    To keep your iPhone apps up to date, open the App Store on your iPhone, tap Updates, then drag the list of apps down and release your finger.

    Ensure you’re logged into the correct Outlook account on your iPhone. Go to Settings > Passwords and Accounts. If Outlook isn’t present on the list of accounts, tap Add Account to add it.

    Check your Outlook permissions. Even if you’re logged in properly with Outlook, you may not have granted the service full access on your iPhone. Go to Settings > Passwords and Accounts > Outlook and make sure the Calendars toggle switch is turned on.

    Check your iPhone’s default calendar. Go to Settings > Calendar > Default Calendar. You may have several calendars listed here, including a few Outlook ones. The calendar with the check next to it is the one where new events created on your iPhone will be placed. Make sure your preferred Outlook calendar is the one checked.

    Make sure you’re using the correct calendar in the iOS Calendar app. If you’re having trouble with your iPhone calendar not syncing with Exchange or Outlook, you may want to double-check how you’re making new entries within the iOS Calendar app.

    When creating a new event, tap Calendar to make sure your Outlook calendar’s name is checked. You may have been saving events to the wrong calendar.

    Perform a manual iTunes sync. If you have the latest versions of iOS and Outlook installed on your iPhone, calendar data should be syncing via the cloud in the background.

    If you’ve tried all of the tips mentioned above and nothing’s worked, you may want to try a sync via iTunes. First, connect your iPhone to your computer via its cable, open iTunes on your computer, then select Devices > iPhone > Info > Calendars > Sync calendars from > Outlook > All calendars > Apply.

    Currently it is technically impossible to use Siri in other apps, only Apple’s own apps can use Siri. But Siri can save events into the default calendar of your phone. So to use Siri with CalenGoo there are two ways:

    Configuring Siri to save the events into your Google Calendar

    First you have to sync the iPhone calendar with Google Calendar:

    1. Start the “Settingsapp and open “Calendar > Accounts”.
    2. Tap “Add Account”, choose “Google” and follow the instructions.

    Afterward you should see your Google calendars in the iPhone calendar app. Then start the Settings app, tap “Calendars” and choose one of your Google calendars as Default Calendar for new events. Siri will save your events into that calendar:

    And after syncing CalenGoo, you will see these events in CalenGoo, too (or you let CalenGoo display the events of the iPhone calendar, please see below).

    Another option is to let CalenGoo simply display the calendar that Siri uses to save new events. Just turn “Settings > Accounts > Show iPhone calendars” on in CalenGoo to see the calendars of the iPhone in addition to your Google calendars. Then return to the calendar view. That should be all, now you should see Siri’s events in CalenGoo.

    If you like you can configure which calendars should be visible under “Settings > Visibility/Download”.

    Siri Shortcuts

    CalenGoo supports three Siri shortcuts:

    1. Creating a new event in a specific calendar. It creates a shortcut that opens CalenGoo’s edit view and selects the used calendar.
    2. Creating a new event from a template. It creates a shortcut that opens CalenGoo’s edit view and inserts the selected template. Then you can change the date and time of the event and save it.
    3. Creating a new task in a specific task list. It creates a shortcut that opens CalenGoo’s task edit view and selects the used task list.

    I.e. if you e.g. often create events using the same template at the same time, Siri will start to suggest you this as a shortcut. You can then just tap that shortcut to directly open CalenGoo’s edit view and the template will be automatically inserted.

    Whenever you create a new event in the Calendar app on your Mac or iOS device, the event gets added to the calendar that has been set as the default one on your devices. If you happen to have several calendars and use them for different purposes, the default calendar may not always be the calendar you really wish for these events to appear in.

    Fortunately, you have an easy way to set the default calendar in OS X and iOS. It lets you choose the default calendar for your event entries, and all of the future events will be added there.

    Setting the Default Calendar in OS X

    In OS X you can set the default calendar using the built-in Calendar app.

    1. Launch the Calendar app by clicking on Launchpad in your dock and searching for and clicking on Calendar.

    On the panel you should see a drop-down menu for “Default Calendar.” Click on it and you should be able to see all of your calendars. Now, click on the one that you wish to set as the default calendar on your machine and then exit out of the panel.

    4. Once you have set a calendar as the default, click on the plus icon in the app to create a new quick event to see if the default calendar has been properly set up.

    Enter some info in the event description box and then press Enter to add the event to the calendar.

    5. The event should have been added to the calendar that you selected as the default calendar. You can modify the event to be added to another calendar if you wish.

    If you create more events and appointments in one calendar on your iPhone or iPad more than the others, it can be beneficial to set that calendar as your default one. For most folks, this will probably be a work calendar but regardless, the calendar you use most should be your default.

    One of the most common issues I find is when a person’s Mac is set to add events by default to one calendar and his or her iPhone is adding them automatically to an entirely different one. If the person in question doesn’t know what’s happening, this’ll make it seem like iPhone events are just color-coded differently than Mac events, which is pretty weird and confusing.

    The way to fix this, though, is simple. All of your Apple devices that can sync with your iCloud account have a “default calendar” setting that’ll be applied when you don’t specifically change which one you’d like to add an event to. On the Mac, this setting is within Calendar > Preferences under the “General” tab.

    Make those both the same calendar as I’ve done, and any events you add will by default go on that! Cool. But here’s one more thing: A syncing complaint I have to troubleshoot quite often is when a device is set to sync to a calendar (say, a Google one) and that particular calendar isn’t even configured on another of that person’s devices. That’ll make it seem like everything from one device is disappearing into the ether, never to be seen anywhere else! You can check which accounts you’ve got set to sync calendars on the Mac under System Preferences > Internet Accounts .

    Any of your accounts that have “Calendars” listed in grey underneath their names are syncing that service with your Mac. Verify that you’ve got the same list turned on for your iPhone or iPad at Settings > Calendar > Accounts .

    I’m only using iCloud to sync my calendars, contacts, notes, and so on, as I’m not the biggest fan of using multiple services for that stuff. But you do you—as long as all the same accounts are syncing all the same info across your devices, you should be good to go!

    The calendar events displayed in Pencil Planner are pulled from the accounts & calendars you have connected in the Settings app and in the Calendar app.

    For basic usage

    1. Grant Pencil Planner access to calendar events

    If you see your iCloud, Google, Outlook, etc. account in that list, make sure you enable “Calendars” for that account.

    If you don’t see the account, select “Add Account”, and you will be brought to a screen like this:

    From there, you can add your email account to your iPad, making sure to enable “Calendars” as shown here:

    Give your device time to sync the calendar events, then you can verify everything has been synced by opening Apple’s Calendar app and make sure the events you expect show up there.

    Once you have verified that Apple’s Calendar app shows the events like you expect the events will be displayed in Pencil Planner as well.

    Each device will only show the calendar events you have connected to that device.

    For example if your iPad shows the events you expect, but your iPhone doesn’t, follow the directions above on your iPhone to connect your calendar.

    Verify your calendar is connected correctly by opening the default Calendar app on your device and make sure the expected events show up there.

    Create a new Calendar

    To create a Calendar in Pencil Planner, the current accepted approach is to use Apple’s Calendar app.

    3. Tap “Add Calendar” and follow the instructions
    4. Return to Pencil Planner
