How to set up and configure user accounts on windows 10

You can create a local user account (an offline account) for anyone who will frequently use your PC. The best option in most cases, though, is for everyone who uses your PC to have a Microsoft account. With a Microsoft account, you can access your apps, files, and Microsoft services across your devices.

If needed, the local user account can have administrator permissions; however, it’s better to just create a local user account whenever possible.

Caution: A user with an administrator account can access anything on the system, and any malware they encounter can use the administrator permissions to potentially infect or damage any files on the system. Only grant that level of access when absolutely necessary and to people you trust.

As you create an account, remember that choosing a password and keeping it safe are essential steps. Because we don’t know your password, if you forget it or lose it, we can’t recover it for you.

Create a local user account

Select Start > Settings > Accounts and then select Family & other users. (In some versions of Windows you’ll see Other users.)

Next to Add other user, select Add account.

Select I don’t have this person’s sign-in information, and on the next page, select Add a user without a Microsoft account.

Enter a user name, password, or password hint—or choose security questions—and then select Next.

Change a local user account to an administrator account

Select Start > Settings > Accounts.

Under Family & other users, select the account owner name (you should see “Local account” below the name), then select Change account type.

Note: If you choose an account that shows an email address or doesn’t say “Local account”, then you’re giving administrator permissions to a Microsoft account, not a local account.

Under Account type, select Administrator, and then select OK.

Sign in with the new administrator account.

If you’re using Windows 10, version 1803 and later, you can add security questions as you’ll see in step 4 under Create a local user account. With answers to your security questions, you can reset your Windows 10 local account password. Not sure which version you have? You can check your version.

Create a local user account

Select Start > Settings > Accounts and then select Family & other users. (In some versions of Windows you’ll see Other users.)

Select Add someone else to this PC.

Select I don’t have this person’s sign-in information, and on the next page, select Add a user without a Microsoft account.

Enter a user name, password, or password hint—or choose security questions—and then select Next.

Change a local user account to an administrator account

Select Start > Settings > Accounts .

Under Family & other users, select the account owner name (you should see “Local Account” below the name), then select Change account type.

Note: If you choose an account that shows an email address or doesn’t say “Local account”, then you’re giving administrator permissions to a Microsoft account, not a local account.

Under Account type, select Administrator, and then select OK.

Sign in with the new administrator account.

Setup and configure another user account in Windows 10

I want to create and configure a user account in Windows 10 as follows:

User must not be an administrator.

Only selected applications should be visible with full access (except uninstallation) to the user.

Only one folder should be assigned to the user for saving files and the user should not be able to access any other drive or folder.

The user must not be able to make any changes in the computer.

Pls guide me and discuss how to proceed for all these steps.

1.User must not be an administrator.

Create a local user account. By default your local user account is set as a limited account, meaning it cannot install applications or make administrative changes to the machine.

2.Only selected applications should be visible with full access (except uninstallation) to the user.

There is no build-in way could achieve this goal. You might concern to use some third-party tool to achieve this goal.

3.Only one folder should be assigned to the user for saving files and the user should not be able to access any other drive or folder.

You can change folder permissions to restrict user access to folders.

Using those permissions, you can control whether a user can access a folder and its content or not.

Find the folder you want to restrict and open its Properties from the right-click menu. In the Properties window, go to the “Security” tab and see if the user account you want to restrict is listed under the “Group or user name” section. If it is not , add the account.

After changing the folder permission, the target user can no longer access the target folder. As the picture below:

Why Do I Want To Do This?

Millions of Windows users never create secondary accounts on their machines and use their primary administrative account for everything. This is a not-so-secure practice and one most people should get out of the habit of.

Creating a secondary account for yourself (so you’re not always logged on with administrative privileges) is a great idea and one that significantly increases the security of your machine. Creating separate local accounts for your kids or other users means that they can set things up the way they want, have separate user folders—Documents, Pictures, and so on—and ensure that those dubious Minecraft downloads they find on shady websites don’t infect your account.

While you might be inclined to use the Microsoft account for the online features it provides, a standard local account—the kind you had in Windows 7 and previous versions—is great for people who don’t want to link their login to Microsoft and it’s a perfect fit for kids who don’t need all the extras (and might not even have an email address to link to the account in the first place).

Let’s take a look at the process for creating new local user accounts in Windows 10.

Create A New Local User Account In Windows 10

First, you’ll need to access your user account settings. Note that in Windows 10, that this is a separate beast from the “User Accounts” Control Panel entry.

Press Windows+I to bring up the Settings app, and then click “Accounts.”

On the Accounts page, switch to the “Family & other people” tab, and then click the “Add someone else to this PC” button. You may be tempted by the “Add a family member” button, but that feature requires setting up an online Microsoft account and assigning members to your family. It’s a useful feature that allows you to monitor a child’s account, but not what we’re after here.

In the Microsoft Account window that pops up, you’ll be steered toward creating an online Microsoft account. Ignore the prompt to provide an email or phone number. Instead click the “I don’t have this person’s sign-in information” link at the bottom.

On the next page, Windows will suggest that you create an online account. Again, ignore all this and click the “Add a user without a Microsoft account” link at the bottom.

If you’ve created new accounts in Windows 7 and previous versions, the next screen will look familiar to you. Type a username, password, and password hint, and then click “Next.”

After clicking “Next”, you’re kicked back to the Accounts screen you saw earlier, but your new user account should now be listed. The first time someone signs in using the account, Windows will create user folders and finish setting things up.

How to create a new user in Windows 10

1. Open the Start menu by clicking on the Windows icon at the bottom-left of the screen, or by pressing the Windows key on your keyboard.

2. Search for “Add user” and select “Add, edit or remove other users” when it comes up in the results.

3. In the Settings window that opens, select “Add someone else to this PC.”

4. Microsoft will prompt you to add their Microsoft account details, but if you select “I don’t have this person’s sign-in information,” you can then select “Add a user without a Microsoft account.” This is best if you just want to add a user account quickly.

5. Create their username and enter the password they’ll be using — or, ask them to enter their own password for privacy.

6. Do the same process for their security questions.

7. When the account is created, its icon should appear in the Settings window. The account should be active and free to use when you log out of your own account, or switch users.

Click the Start button and then click Settings.

Swipe in from the right edge of the screen, click Settings, and then click Change PC settings.

If you are using a mouse, go to the lower-right corner of the screen, move the mouse pointer up, click Settings, and then click Change PC settings.

Click Accounts and then click Other accounts.

Click Add an account and then click Sign in without a Microsoft account (not recommended).

Click Local account.

Enter a user name for the new account.

Enter and confirm the password, add a password hint, and then click Next.

Click Finish.

Microsoft now pushes you to log into your computer with a Microsoft Account—with seemingly no option to create a local one. There is, however, a workaround.

Microsoft has always preferred that you log into your computer using a Microsoft Account, and it’s become increasingly difficult to avoid. Instead of offering an option to create a local user account on a new PC, Microsoft now pushes you to log in with a Microsoft Account—with seemingly no option to create a local one. There is, however, a workaround.

This has made headlines on and off again over the past year or two, and while Microsoft has been playing down local accounts for a while, the method by which it does so has changed with each new version. While a Microsoft Account does have its advantages—like being able to sync your settings between PCs—some people would prefer not to link their account to the cloud. Here’s what we can deduce from our own testing using the latest Windows 10 installer.

If You Have Windows 10 Home

If you install the latest version of Windows 10 Home—version 2004, aka the May 2020 Update—on a new PC, you will be prompted to log in with a Microsoft Account at the end of the setup process. Unlike some older versions of the installer, we saw no visible option to create a local account on our test machine.

If you click Learn More, Microsoft will recommend that you sign in with a Microsoft Account, then remove it from the Settings app later, which is not exactly ideal.

There was only one workaround that allowed us to create a local account in our testing: disconnect from the internet. You can do this by choosing I don’t have internet during Wi-Fi setup, by unplugging the Ethernet cable, or by putting your laptop in Airplane Mode using a hardware switch (if your laptop has this option—mine had it on a function key in the top row).

In the case of Wi-Fi, this will present you with a small button in the corner that says Continue with Limited Setup. If you unplugged the Ethernet cable, you should be able to press the back button on the account-creation page, at which point you’ll be greeted with a new screen that allows you to create a local account.

Once you’ve finished the setup process, you can reconnect to the internet after being dumped to the Windows 10 desktop.

If You Have Windows 10 Pro

In tests with Windows 10 Pro—using the latest installer available from Microsoft—I was able to click the Offline Account option in the lower left-hand corner of the screen. This will, however, present you with another screen convincing you to sign in with Microsoft, and you’ll have to click the small Limited Experience button in the corner to continue with a local account.

Some users have reported that the Offline Account button doesn’t appear, instead replaced with a Domain Join button instead, which—despite its confusing wording—should also allow you to create a local account as well.

Alternatively, you can even use a single command in PowerShell to view a list with details about every account available on Windows 10.

Open Start.

Search for PowerShell and click the top result.

Type the following command to list all the existing accounts and press Enter:

Once you complete the steps, you’ll see a list of every account configured on your device with their description and whether they’re active or disabled accounts.

If you need to export the list of accounts to a text file, you can append the export output switch to any of the commands mentioned in this guide. For example, net user > c:\path\to\output\folder\list.txt or Get-LocalUser > c:\path\to\output\folder\list.txt .

In the case one of the accounts has been created using a Microsoft account, the account name will only include the first five letters of the email address.

What Is a User Account?

A user account is a collection of information that tells Windows which files and folders you can access, what changes you can make to the computer, and your personal preferences, such as your desktop background or screen saver. User accounts let you share a computer with several people while having your own files and settings. Each person accesses a separate user account with a username and password.

Windows 7 Account Types

Windows 7 has various levels of permissions and account types that determine those permissions, but for the sake of simplicity, we’re going to discuss the three main account types visible to most Windows users that use Manage Accounts to manage user accounts in Windows 7.

  • Standard User: Standard account users can use most software and change system settings that do not affect other users or the security of the computer.
  • Administrator: Administrators have complete access to the computer and can make any desired changes. Based on notification settings, administrators may be asked to provide their password or confirmation before making changes that affect other users.
  • Guest Accounts: Guest accounts are intended primarily for people who need temporary use of a computer.

The Administrator account should be reserved for users who have experience with Windows and who are authorized to make system-level settings changes.

In most instances, the first user account in Windows 7 is the Administrator account. This account has the permission to modify everything in Windows 7.

Create New Administrator Account in Windows 10

During the setup process, Windows 10 prompts you to sign-in with an existing Microsoft Account, Create New Microsoft and also the option to Create a Local Account to login to the computer.

By default, the first User Account created during the setup process will be an Admin Account, which allows you to Install Apps, Install desktop programs, Uninstall Apps and make system related changes on the computer.

Once the computer is setup, any New Local Accounts that you create on the computer will be Standard User Accounts by default and they will have limited privileges.

Hence, the only way to create a New Admin Account in Windows 10 is to Add a New Account to the computer and then grant Admin Privileges to this Account.

1. Create Administrator Account in Windows 10

In order to create New Accounts, you need to be logged-in to your computer using either Microsoft Account or a Local Account with Admin Privileges.

Go to Settings > Accounts > select Family & other users tab in the left pane. In the right-pane, click on Add someone else to this PC option, located under “Other users” section.

On Create Account Screen, select Add a user without Microsoft account option.

On the next screen, type User Name , Password , Re-enter Password, complete 3 Security questions and click on the Next button.

The above steps will create a Local Account with limited Privileges. Hence, the next essential step is to grant Admin Privileges to the Standard Local Account that you just created.

To do this, click on the User Account that you just created (it will be listed on Family & other users screen) and select Change Account Type option.

On the next screen, use the Down-Arrow to select the Account Type as Administrator and click on OK .

This will grant Admin Privileges to the Local Account and it can be used as Admin Account on your computer.

When a new member of staff starts at work you’ll need to set up a new Windows user account in order for them to log in and get to work.

In this guide we will show you how to create a new user on a Windows 10 Machine (Also compatible with other Windows versions) via the Microsoft Management Console.

Step 1

The first step will be to load up the “Run” box, this can be done by pressing the “Windows Key” and the letter “R”. The box will appear in the bottom left-hand corner of the screen, once this is displayed, you will need to enter “MMC” into the box, and this should appear as per the following screenshot.

Now you will need to press the “OK” button on this box. It may prompt you to press “Yes” or “No” please press “Yes” in order to proceed. Then this will present you with another screen.

You should now have the following options on your screen.

You will need to scroll down on the left-hand side until you find the option for “Local Users and Groups”. Once found, please select this option and then press the “Add >” button in the middle of the screen, this will prompt you with another box but all you need to do is press “Finish”. This will add the snap-in to the Microsoft Management Console. To finish on this screen, you will need to press “OK”.

Step 4

Now you should have a snap-in called “Local Users and Groups (Local)” on the left-hand side of the MMC screen, please click on this tab and then double-click on “Users”, This will then present you with a list of the current user accounts on the PC.

Step 5

Right-click in the blank space underneath the current user accounts and then click “New User”, this will take you to a screen that asks for the account details you would like the new account to use. This will include a username, password and also a few other details which are optional. Once you have filled in the appropriate areas, please press “Create”.

You have now created a local user account for your PC via MMC.

Step 6 (Optional for local administrator account)

You have now created a basic user account via MMC, however if you wish to make them a local administrator, please follow the below.

Double click on the user within MMC, click on the “Member Of” tab, Click “Add”. Type in “Administrators” and then click “Check Names”. At this stage it should then auto correct and put an underscore under the word “Administrators”. All you need to do now is press “OK” and then the account will become a local administrator.

In Windows 10, you can create a new user with a Microsoft account login as follows. From the WinX Menu, open Settings and then click on Accounts.

A Microsoft account window will pop up. If you wish to use a Microsoft account to log in, enter the person’s email ID and click on Next to proceed and finish the formalities.

In Windows 8.1, to create a Microsoft account, move the cursor to the lower right-hand corner of your computer screen, click ‘Settings’ and then ‘Change PC Settings’. Next, click Accounts, and then choose ‘Other accounts’. Click Add an account.

Enter the account info for this person to sign into Windows. If the person you’re adding already has a Microsoft account, enter it. If the person you’re adding doesn’t have a Microsoft account, click Sign up for a new email address.

Follow the instructions to finish setting up the account.

In the end, you should see a screen like the one shown below. It indicates the process of signing up has been completed successfully.

Create Local Account in Windows 11

If you observe, Microsoft added some new security features for accounts. The feature though good and recommended, leaves little scope for personal choice. They force you to create a Microsoft Account first, giving it more preference over the local account. There appears no apparent way to move past the Microsoft Account screen, especially when you are interested in creating just a local account.

Microsoft warns – If you create a local account, you’ll need a separate account for each PC you use. None of your settings will be synced between the Windows PCs you use, and you won’t get the benefits of connecting your PC to your files, settings, apps, and services online in the cloud and accessible from anywhere.

To create a new Local Account in Windows 11 using Windows Settings, follow these steps:

  1. Press Win+I to open Windows Settings.
  2. Switch to the Accounts tab.
  3. Click on the Family & other users.
  4. Click the Add account button under Other users.
  5. Click the I don’t have this person’s sign-in information option.
  6. Select the Add a user without a Microsoft account.
  7. Enter username, password and click the Next button.

To create a Local Account in Windows 10, after you have clicked on Add someone else to this PC as mentioned above, and the Microsoft account window has popped up, you have to click on the I don’t have this person’s sign-in information link to open the following:

In Windows 8.1, assuming you are on the ‘How this Person will Sign Up’ Screen, look for the link “Sign in without a Microsoft account.”

On being directed to a new screen, hit ‘Local Account’ tab.

How to Create a Local Account When Initially Setting Up Windows 10

You can create a local account when you are installing or upgrading to Windows 10. Near the end of the process, you will encounter the “Make it yours” screen, which tells you to sign in with an existing Microsoft account or create a new one. At that point, follow these steps:

  1. Select the “Skip this step” option in the bottom left corner of the “Make it yours” screen.

Note: If you’re using the Home version and you’re connected to the internet, you won’t be able to setup Windows 10 without a Microsoft account, so the first step is to disconnect from the internet.

Windows 10 Home

  1. If you’re connected to your network using an Ethernet cable or WiFi, the first step is to unplug the cable or disconnect your computer from WiFi. For WiFi connections, you can skip the process at the beginning of the setup wizard by clicking the back icon on the Windows 10 Setup toolbar, and then try and create a Microsoft account.

Alternatively, press Airplane Mode key on the laptop to disconnect WiFi or unplug the router for a minute, if all else fails. When you see the “Something went wrong” error message, click Skip to skip the account creation step.

Years ago, I was just starting out in tech. I was located at a remote facility compared to the rest of the company, and we had someone that was demanding domain administrator credentials. I kept telling them no and pointing them over to the people that controlled that access, but it was obvious that they would shoot the person down immediately.

Eventually, this person got their manager involved, along with my manager at the time, and both of them started saying that I should grant this access. So why is this such a big deal? So what if this random person had domain administrator credentials? What does that even mean anyway?

To explain that question, we first need to drill down into the different kinds of user accounts that Windows recognizes: local accounts, domain accounts and Microsoft accounts.

Local user accounts

In general, when we’re talking about anything “local,” we’re referring in context to an individual computer right in front of you — this local box exclusively. A local user account can be used on this particular machine and no others … with some practical exceptions. If you tried to log in with this particular login and password anywhere that those credentials hadn’t been explicitly set up, it would bounce back and say that isn’t a valid username and password combination.

Local user accounts can be divided into two broad categories: users and administrators. Normal users can log into the system, run most programs, print and perform a wide variety of tasks. What they can’t do, however, is make system-level changes. Most of the time, they cannot install new applications.

I say “most of the time” in these situations because Windows tends to be a bit quirky when it comes to the exact permissions required for certain elements. For example, a normal user could plug in a USB keyboard or mouse and use them just fine. An advanced keyboard or mouse, however, which has custom drivers that aren’t already on the system, would be prompted for administrator-level access to install the support packages.

Some people may see the above and be wondering “But what about power users?” The power user group may still exist in your implementation of Windows 10 but is there only for legacy support. As of Windows Vista, it does not have the abilities it once did, due to the addition of user account control.

It’s highly recommended to have at least one additional administrator-level user account on any non-domain system, if only because of password recovery situations. If a user forgets their password, local user accounts historically haven’t any built-in methods for resetting their password without help. This is where the additional account comes into play: as long as you can get into the system, any local administrator can reset the password on other users on the local system.

If you can’t or don’t want to have another local administrator active on your system and have at least version 1803 (the April 2018 update), then you may have another recovery option available to you. As of this version of Windows 10, you have the ability to set security questions related to your account so that you can recover your password.

I mentioned before that most of the time, you can’t use the same credentials on more than one machine when using a local account. The trick to this lies in whether another user account was created on a different system with the same username and password that you are currently using. If this is the case, you can login or navigate to shared resources on the other systems as if you were using a domain account. On small-scale networks using a workgroup structure (a peer-to-peer-style network), this is usually enough for access to network shares and printers.

Once you go beyond this, though, you’re most likely going to want to look at domain accounts.

Domain user accounts

As mentioned above, local user accounts are designed for single-system or very small networks. Once you get beyond this, however, you’re going to want to move up to an Active Directory-based domain network.

This allows you to set up a very large number of users with as many machines and devices as you require, with the ability to allow a user to move from device to device and continuously access their network resources without hassles. Depending on what the user needs to do on an individual workstation, it is possible to assign local administrative privileges to a domain user account. This essentially gives the best of both worlds in very specific situations.

As with local user accounts, we have standard domain users and domain admins to start with. Depending on how big your network gets, it may go further, but that’s beyond the scope of this article.

Small networks don’t normally have to worry about assigning a great deal of permissions across the board, but with domains, it really is necessary to make sure that users only have access to what they need to do their jobs. This isn’t because of any particular animosity or fear of what a user would deliberately do, but rather because of what can happen when a malicious piece of software or an unauthorized person gains access to a user account. By keeping permissions at least-privilege levels, it minimizes potential risks to sensitive data and the health of the network as a whole.

One of the biggest benefits to a domain user account is the ease of password resets. Knowledge of the current password is not required, as Active Directory handles all of the heavy lifting. This one feature turns what could potentially be an ultra-panicky situation into a normal Tuesday morning.

Microsoft accounts

Over the past several years, Microsoft has been heavily pushing the concept of a Microsoft account instead of a local user account or even a domain user account — to the point where you have to jump through hoops to set up a new Windows 10 system without being forced to use a Microsoft account.

So just what is a Microsoft account anyway? Essentially, this is a single sign-on (SSO) account that is managed by Microsoft for any devices and authorized websites you may be accessing. Once you’re authenticated into a system, it will automatically log you in to any supported URL or applications without having to authenticate again.

Microsoft accounts also support two-factor authentication via multiple different methods. This can give you a significant security boost if you only have a handful of systems that you work with.

Password recovery on a Microsoft account is simultaneously easier and significantly harder than local or domain users. Because this is essentially a web-based account, web-based password recovery methods are available, including alternate email addresses and phone numbers. Unfortunately, this also means that there are no other people you will be able to easily talk to for assistance in this regard.

If you’ve got a standalone machine, a local or Microsoft account will do you just fine. If you’re in a large network, a domain account will most likely serve you much better.

  • In the workspace, click the Add user button to open the Properties window.
  • In the Properties window, specify the following:
    • Primary email . The administrator can manually specify the primary email address of an internal user. For accounts loaded from Active Directory, the primary email address cannot be changed.
    • Primary phone . The administrator can manually specify the primary phone number of an internal user. For accounts loaded from Active Directory, the primary phone number cannot be changed.
    • Account settings and password for the user connection to Kaspersky Security Center.

    The password must contain uppercase or lowercase alphanumeric characters, or special symbols (@#$%^&*-_!+=[]<>|\\\\:’. /`

    ()\\ ” ). The password must contain from 8 to 16 characters.

    The password must not contain any sequence of @ symbols.

    After you begin to enter the password, the Show password is displayed. To see the entered password, click and hold the Show password button for as long as you require

    The number of attempts for entering the password is limited. By default, the maximum number of password entry attempts is 10. The number of allowed password entry attempts can be changed in the registry with the SrvSplPpcLogonAttempts key.

    If the user entered an invalid password the specified number of times, the user account will be blocked for one hour. The administrator can unlock the user account only by changing the password.

    If the Disable account check box is selected, an internal user (such as a user with administrator or operator privileges) is unable to connect to the application. You can select this check box, for example, in case of the dismissal of an employee. By default, this check box is cleared.

  • Click OK .
  • The newly created user account will be displayed in the workspace of the User accounts folder.
