You probably know that you can read PDF documents on your iPad, but did you know that you can also save PDF files to the Books app on your iPad? This is useful for saving free ebooks in PDF file format from websites like Open Library. You also can save anything from bank statements and college course syllabi to scanned documents and tenant agreements. It’s not a stretch to say that your iPad could become a portable document management system!

Here’s how to save PDF files on your iPad:

Open a PDF document on your iPad. You can do this by accessing a PDF file on a website in Safari, opening a PDF attachment in Mail, or opening a file in Dropbox, to name but a few examples. If you don’t have a PDF file available and you’d like to try following along with this tutorial, you can download a free ebook from Open Library.

If you’ve opened a PDF file in Safari, tap the sharing icon, as shown below.

The PDF file will appear in Books, as shown below. Tap the file to open it.

Congratulations! You have successfully downloaded the PDF file to your iPad and stored it in the Books app. It’ll stay there until you delete it.

You don’t need a dedicated app to turn webpages into PDF documents on your iPhone or iPad. That’s because Apple has a convenient feature in the Share menu which permits you to do just that, right out of the box and in seamless fashion.

In this tutorial, you’ll learn how to save a webpage as a PDF document using Safari on your iPhone or iPad.

How to save webpages as PDFs on iPhone and iPad

Step 1: Launch Safari on your iPhone or iPad and visit any webpage you wish to save as a PDF document.

Step 2: Tap the Share icon.

Step 3: Now choose Create PDF.

Step 4: The currently visited webpage will be turned into a PDF document for you to view or save.

How’s this useful?

There are many ways saving webpages as PDFs might come in handy.

For starters, you might want to save a webpage as a PDF in order to attach it to an email message. I’ve been building a personal archive of various web resources in the PDF form for years and can envision using this nifty little feature on a daily basis.

But why stop there? You can use this in select third-party apps that implement iOS’s native Share controls and work with content that can be exported as PDF.

For instance, I was able to save combined iOS screenshots from the LongScreen app as PDFs. And in Camera+, photos you take can be exported to iBooks as PDFs.

No matter how you look at it, it does feel like Apple’s implementation of this feature has some untapped potential. With that in mind, here’s hoping Apple adds more versatility to the PDF creation process so we can control how these PDFs are created.

On your iPhone, iPad, or iPod touch, you can use Apple Books to save, sign, mark up, and share PDFs.

You can add PDFs to your Apple Books Library on your iPhone, iPad, iPod touch, or Mac, then access your files on any of your other devices using iCloud Drive. Learn more about using Apple Books.

Save or import a PDF

You can save a PDF from your email or a website into the Books app. You can also save a webpage or email as a PDF, import PDFs from other apps, or use your Mac to add PDFs to your Apple Books Library.

Save a PDF file that’s attached to an email or on a website

  1. On your iPhone, iPad, or iPad touch, tap the PDF to open it.
  2. Tap the share button .
  3. Tap Copy to Books.

Save a webpage as a PDF

  1. In Safari, open a webpage.
  2. If you want to keep only text and images in the PDF and remove extra elements, tap the appearance button at the top of the screen, then tap Show Reader View.
  3. Tap the share button .
  4. Tap Books.

Save an email as a PDF

  1. In the Mail app, tap an email.
  2. Tap the more actions button , then tap Print.
  3. Use two fingers to pinch open on the preview. A larger preview appears.
  4. Tap the share button in the upper-right corner.
  5. Tap Copy to Books.

Import a PDF from another app

Each third-party app is different. Steps might vary.

Look for the share button . Then choose Copy to Books. You might also see an option to "Open in," then choose Copy to Books.

Use your Mac to add a PDF to your library

On your Mac, open Apple Books, then find your PDF file in Finder or on your Desktop and drag the file into your Library.

Your PDF will be available in the Books app on any iPhone, iPad, iPod touch, or Mac, as long as you’re signed into the same Apple ID and have iCloud Drive turned on for Books.

View, mark up, or sign a PDF

On the Library tab, find the PDF that you want to view or mark up. Tap the PDF to open it. Tap the PDF again to see these buttons:

  • Tap the back button to close the PDF and return to your library.
  • Tap the table of contents button to view all pages in the PDF. You can also jump to any Bookmarks from here.
  • Tap the share button to see your share or print options.
  • Tap the Markup button to draw and write on top of your PDF. If you print or email the PDF, it’ll contain any signatures and markup that you’ve added to it. Learn more about how to use Markup.
  • Tap the search button to find a word or phrase in the document or a specific page number.
  • Tap the bookmark button to save your place for later.

How to print or email a PDF from the Books app

  1. In the Books app, tap the Library tab, then find the PDF that you want.
  2. Tap in the lower-right corner below the PDF.
  3. To print, tap Print . Or to mail the PDF, tap Share PDF , then tap Mail.

Delete a PDF

  1. Open the Books app.
  2. Tap Library.
  3. Find the PDF that you want to delete, then tap the more options button below the PDF.
  4. Tap Remove.
  5. Tap Delete Everywhere to remove the PDF from iCloud Drive on all of your devices. Or tap Remove Download to remove it only from the device that you’re using.

This fall, macOS Catalina, iOS 13, and iPadOS 13 will offer greater interoperability between Mac, iPhone, and iPad than ever before, with new features like Sidecar allowing your iPad to serve as a second screen for your Mac. With Markup, you can digitally sign PDF documents on your iPhone, iPad or iPod touch.

You can add your signature to a PDF file or manually sign a document pretty much anywhere Markup tools are available, including Apple’s first-party apps such as Mail, Photos, Safari, Notes, Files and others. Apple’s made available similar Markup features in macOS as well so you can feel free to sign a PDF document in Preview using your Mac’s trackpad.

Signing documents digitally is a great productivity feature.

Say you’re out and about with your iPhone or iPad and someone happens to email you a contract, a lease agreement, an Internet service form or another important document that needs signing quickly. With Markup, you don’t need to print out the document, sign it the old-fashioned way with a pencil, then scan the printout to send it back as an attachment.

Before we dive into the tutorial, know that Markup features require iOS 9.0 or later.

How to sign PDF documents on iPhone and iPad

You can add a previously saved signature or manually sign a document.

1) Open a PDF document you’d like to sign digitally in an app that supports Markup:

  • Files: Open a PDF you’d like to sign, then tap Markup.
  • Messages: Attach a photo/PDF, tap it in the bubble and choose Markup.
  • Safari: Open a webpage, choose Create PDF from the Share menu and hit Markup.
  • Mail: Open a message, tap an attachment and choose Markup.
  • Photos: Tap a photo, choose Edit, tap “…” and select Markup from the popup menu.
  • Notes: Tap a document in your note, then choose Markup from the Share menu.
  • iBooks: Open a PDF and tap Markup at the top.
  • Other apps:Create a PDF to markup anything that can be printed.

2) Tap “+” at the bottom of the Markup interface.

3) Tap the Signature icon from a popup menu.

4) Sign your name with your finger, Apple Pencil or another stylus.

TIP: If you already have previously saved signatures, choose one from the menu.

5) Feel free to drag your inserted signature to move it around freely or resize your digital signature by using the blue buttons to grow or shrink the surrounding box.

TIP: To change the ink color, tap the digital signature you just applied to a PDF document and select any of the color circles provided at the bottom of the Markup interface.

6) Tap Done to save the changes.

TIP: Invoke Markup faster on iPad by placing your Apple Pencil on what you’d like to annotate.

Saving and managing your signatures

You can add one or more signatures to re-use over and over again.

1) Open a document from the Files app.

2) Tap the Markup icon at the top.

3) Tap “+” at the bottom of the Markup interface.

4) Choose Add or Remove Signature from the popup menu.

4) You can now add as many new signatures as you like or delete existing ones.

  • Remove a signature: Tap “-” next to a previously saved signature, then choose Delete.
  • Add a signature: Tap “+”, sign your name on the line and hit Done.

Unsatisfied with the way your digital signature has turned out? Hit Clear to start over! When you’re finished, tap Done to save your newly created signature and insert it into your document.

You can have as many saved signatures as you’d like.

As I mentioned earlier, the signature feature is available anywhere Markup is accessible.

For instance, you can easily add your signature to any image in the Photos app. Or, you could sign a PDF kept in a third-party cloud storage service, right from the Files app. Perhaps you’d like to quickly send a signed PDF attachment to someone without leaving Mail?

With Markup, you can do all that and then some more!

On iPad Pros and 2018 or newer iPad models, use Apple Pencil to scrawl your signature.

Turn your device upside down to sign your name in landscape mode

Your saved signatures are kept in sync across your iPhone, iPad, iPod touch and Mac devices as long as they’re signed in to the same iCloud account. Plus, any signatures already created in Preview for Mac will automatically appear in iOS’s signature inserter, and vice versa.

If you use Notes as your document scanner, you can sign any scanned document and send it quickly via mail, iMessage or another service without ever leaving the Notes app.

Similarly, you can use the Markup tools to sign an agreement that was attached to an email message and send it back on its way without switching apps—Mail intuitively inserts your newly signed attachment into a reply to the original email it came in.

Scenario: Your divorce papers finally came through, and you can’t wait to sign the things. The trouble is, your spouse already took your office and your home, and you have no way to print or fax the documents. Or perhaps you need to stick your autograph on some other document, but all you have is your iPhone or iPad.

No worries. With recent versions of iOS, it’s easier than ever to sign a PDF form and return it to the sender. In fact, you don’t even need to leave the Mail app to do it.

Step one is to look at the PDF. Whenever you receive a PDF or other attachment in Mail on your iPhone or iPad, just tap it to view it in full-screen Quick Look view. Like this: Tap the Instant Markup button to sign the form.

Then, tap the Instant Markup button at the top right of the screen. This works exactly the same way on iPad and iPhone, but I’m using iPad screenshots here for clarity. (And because I’m writing this on my iPad, so it’s just easier.) The only difference is that on the iPad you can use the Apple Pencil to sign, whereas on the iPhone you must use a finger (or one of those dumb styluses).

Once the attachment opens in Instant Markup, just sign on the dotted line using your finger or the Apple Pencil. Instant Markup opens with the black pen tool already active, so you can sign immediately. If the dotted line isn’t in view, then use two fingers to scroll the page down.

And you’re not just limited to PDFs. If the form was sent as a JPG, you can sign that, too, in the exact same way.

Return to sender

Next, you want to return the form to the sender. This is equally easy. You may be tempted to tap the share arrow, but don’t. Instead, just tap the Done button, and you’ll see this pop-up menu: Tap done, and you’ll see your sending options.

You can choose to Reply All, in which case the freshly signed PDF will be added to a new reply-all email. Or you can tap New Message to start from scratch. A standard email-compose panel opens, and you can proceed as usual.

If this seems simple, that’s because it is. It’s one of the few cases in iOS where Apple doesn’t make you tap a million times to get to the simplest thing. That annoying design strategy keeps the iOS interface looking nice, sleek and simple. But it sometimes makes actually using an iPhone or iPad a pain.

Signing and returning PDF forms is way more streamlined. Just tap to open, tap the Instant Markup button, sign, then tap to compose a new email. It’s almost as if someone high up in Apple had to do this kind of thing every day….

As I mentioned, this works equally well on the iPhone. That means you can finalize your divorce from the beach, in between checking out volleyball players’ pecs and buying some “space cake” from a roving beach vendor.

With the modern tools at our disposal today you don’t need print a document, use a pen and paper to sign it and then scan it again before you can send it to another person via email. You can do all this in a few seconds right on your iPhone or iPad, thanks to iOS tools such as Markup and Books. Apart from these, there are also other ways to sign your PDF documents such as using third-party apps.

Sign a PDF on iPhone or iPad via Markup:

One of the useful built-in iOS tools, Markup is a image annotation tool that makes signing documents a lot simpler and easier. It comes with a variety of features and works quite efficiently in different apps such as Mail, Messages, and even Photos. The steps to sign a PDF document are the same for both the iPad and iPhone.

In order to sign a document using Markup, follow these steps:

  1. Find the PDF file you want to sign.
  2. Go to the signature field in the document and tap on the Markup icon located on the upper right corner of the screen.
  3. From the toolbar, select a tool and sign the document with your fingers or Apple Pencil.
  4. After finishing, tap ‘Done’ to save the file. Now you can send the signed PDF document through email, Messages, and other apps.

Note: Markup is also available in your email inbox. For that purpose, open the document in PDF, tap ‘Send’, and then select ‘Markup’. After signing, save your file.

If you want to keep the track of your PDF documents during editing and signing, use the Apple Books app. But for that, you have to save the document first to Apple Books. For this, you need to select the PDF in email or website, tap on the ‘Share’ icon, and select ‘Copy to Books’. The file will be saved in the Books library.

In order to import a file from another app, find the ‘Share’ icon, or ‘Open in’ select ‘Copy to Books’.

After saving the document, follow these steps to edit and sign it:

  • Find the PDF you want to edit in the library and tap the file.
  • After finding the PDF, tap the screen and then the ‘Markup Pen’ icon on top.
  • Edit the document and sign it using the toolbar.
  • After finishing the edits, tap the ‘Back’ icon, your changes will be saved automatically.

Note: To share the PDF using Books app via email or Messages, find the PDF, and tap the ‘Share’ icon.

Sign a PDF Using Third-Party Apps:

Apart from Apple’s built-in apps, there are many third-party apps to sign the PDF on your iPhone or iPad. These apps are very easy to use and you can download them easily from the Apple Store. Third-party apps include:

  • Adobe Fill & Sign (App Store)
  • DocuSign (App Store)
  • SignEasy (App Store)
  • SignNow (App Store)

Each app has easy-to-follow instructions to edit and sign a PDF file. For instance, Adobe Fill & Sign:

  • Tap the ‘Add Form’ inside Adobe Fill & Sign app.
  • Find and tap the PDF.
  • Locate the signature field, and tap the ‘Signature’ icon on the bottom of the screen.
  • Tap ‘Create Initials’ if this is your first time. Otherwise, select the signature you want to use from the menu.
  • Now, drag and drop the signature on the signature field.
  • Tap ‘Done’, after finishing.
