Editing PowerPoint slides to make them look uniform can take a lot of time, especially for a large presentation. If you want all of your slides to have the same background, the following tutorial will help you accomplish this in just a few clicks, saving you a lot of editing time.

1. Launch PowerPoint, and open the presentation you want to edit from the Backstage view.

2. Once the file is loaded, right-click on any slide’s background, and choose Format Background from the context menu. You can also get to the Format Background section from the Design tab on the ribbon.

Default slide background options are limited to solid or gradient fills, and yes, you can even apply a picture as a slide background.

However, picture backgrounds do pose some issues, especially since a busy picture may hamper the visibility of other slide objects such as text or charts. Fortunately, PowerPoint provides options to reduce the intensity of a picture background so that any foreground elements such as text can stand apart.

Look at the slide on the top within Figure 1, below, and then compare it with the slide at the bottom within the same figure. The visibility of the text fails often within the top slide. The bottom slide has none of the inherent weaknesses, and in fact works with text of almost all neutral colors!

We have already covered how to insert a picture as background fill and apply the basic formatting within our Picture Fills for Slide Backgrounds in PowerPoint 2016 for Windows tutorial. In this tutorial, we’ll explore Artistic Effects for picture background fills, and how they can improve the visibility of other slide objects.

Follow these steps to learn how you can apply Artistic Effects to pictures used as slide background fill in PowerPoint 2016 for Windows:

    1. Apply a picture as background fill, or open any of your existing presentations with picture used as background fill. Then summon the Format BackgroundTask Pane, as shown in Figure 2. Within the Format Background Task Pane, select the Effects tab (highlighted in red within Figure 2).
    2. How to use an image as the background in powerpoint
Figure 2: Format Background Task Pane
    3. This brings up the Artistic Effects option within the Effects tab, as shown in Figure 3.
    4. How to use an image as the background in powerpoint
Figure 3: Artistic Effects option within the Format Background Task Pane
    5. Within the Format Background Task Pane click the Artistic Effects button (highlighted in red within Figure 3). This brings up the Artistic Effects drop-down gallery with preview thumbnails of different artistic effects, as shown in Figure 4. Click on any preview thumbnail to apply a particular effect to the picture background.
    6. How to use an image as the background in powerpoint
Figure 4: Artistic Effects drop-down gallery
    7. Once you apply an effect to the picture background fill, you can fine-tune the effect to control the resultant effect. Note that the fine tune options will differ, depending upon the Artistic Effect applied to your picture background fill. For this tutorial we applied the Photocopy artistic effect. This effect brings forth the Transparency (highlighted in blue within Figure 5) and Detail (highlighted in red within Figure 5) options. Drag these sliders to end up with an effect that is muted enough to work as a slide background.

Figure 5: Artistic Effects fine tune options
    9. To get back the original picture, click the Reset button (highlighted in green within Figure 5, above).
    10. Choose any of the options explained in the preceding steps. Thereafter, you can proceed choosing any of the following options:
    11. Click the Apply to All button to fill all slides in the presentation with the selected picture.
    12. Click the Reset Background button to abandon all changes you made to the slide background.
    13. More details about the Apply to All and Reset Background buttons can be found in our Format Slide Background in PowerPoint 2016 for Windows tutorial.
    14. Remember to save your presentation often.

How to use an image as the background in powerpoint

If you can’t find the slide background that you’re looking for in PowerPoint’s presentation library, you can use any image of your own choosing. PowerPoint makes this possible in just a few simple steps. Here’s how.

A word of caution before you begin. The image you select will be stretched to fit the slide size. If you use an image that’s too small, the image will be distorted when used as the background. Be sure to pick an image that works. High-resolution images work best.

When you’re ready, open the PowerPoint presentation that you would like to add a background image to. Once open, head over to the “Design” tab.

How to use an image as the background in powerpoint

In the “Customize” group, select the “Format Background” button.

How to use an image as the background in powerpoint

The “Format Background” pane will appear on the right-hand side of the window. Here, select “Picture Or Texture Fill” from the “Fill” group.

How to use an image as the background in powerpoint

Once selected, more options will appear below. Under “Picture Source”, select the “Insert” button.

How to use an image as the background in powerpoint

The “Insert Pictures” window will appear, presenting three different options for inserting an image.

How to use an image as the background in powerpoint

    From a File

Selecting this option will bring up File Explorer (Finder for Mac). Here, navigate to the location of the image you’d like to insert, select it, and then click the “Insert” button.

How to use an image as the background in powerpoint

    Online Pictures

Selecting this option will bring up an online image search powered by Bing. Enter the type of image you’d like to locate in the search bar, or select a topic beneath the search bar to open a library of related images.

How to use an image as the background in powerpoint

Whichever method you choose, locate and select the desired image and click “Insert”.

    From Icons

Selecting this option will bring up the “Insert Icons” window, showing a large library of available icons. Select the icon you’d like to use as the background and click “Insert”.

Regardless of which method you used to locate the image, once you’ve selected “Insert”, the image will appear in the background of your presentation.

How to use an image as the background in powerpoint

As you can see, the image we selected makes it pretty difficult to see the text in our slide. To fix this, adjust the “Transparency” slider until the image works well with the text. You can also fine-tune the percentage (by 1% increments) by clicking the up and down arrow to the right of the slider.

How to use an image as the background in powerpoint

The end result should leave your slide looking much better.

How to use an image as the background in powerpoint

Finally, it’s important to note that inserting the background image only takes place on the selected slide.

If you’re wanting to reflect these changes to the entire slideshow, select the “Apply To All” option at the bottom of the “Format Background” pane.

Once selected, you’ll notice the background has been applied to all slides in the presentation.

    Try it!

You can add a background picture to each slide or use the same background picture across an entire presentation.

    Add a background picture

Select the slide you want to add a background picture to.

    Select Design > Format Background.

In the Format Background pane, select Picture or texture fill.

In the Insert Picture dialog box, choose the picture you want to use and then select Insert.

Note: PowerPoint resizes the image to fill the entire slide background. If an image has a different general shape than the slide it is placed on, outer portions of the picture may extend beyond the borders of the slide and not be visible on it.

Make adjustments to the background picture to make sure text is visible and it’s positioned where you want.

Use Transparency to make the picture lighter.

Use the Offset settings to adjust the position of the picture.

Use Tile picture as texture to repeat the picture across the slide.

If you want the background picture on every slide, select Apply to All.

    Choose the Background Picture Carefully

By default, the picture you choose for the background of your slide is stretched to fit the slide. To avoid distortion, choose a horizontal format picture and one with high resolution.
